Good afternoon everyone, thank you so much for joining us for today's webinar. We will be covering tips and tricks for teachers during the end of the school year. So as this time is approaching and a lot of you are preparing to update your teacher pages, update your content, update your album, update your subscribers list so we definitely want to walk you through how to manage and prepare yourself for the summer session that some of you may be having and what content you should add. Some content you know should probably be disabled, how to copy your classes - we want to walk you through all of those questions, and as usual we have someone from technical support inside of the chat so if you have any questions feel free to ask those questions along the way and we'll be more than happy to assist you. As you previously saw, the training will be recorded so you know for those staff members who are unable to make it you can definitely refer them to the help center and they can find the archive videos there. Continue to register for upcoming training and we are definitely excited about continuing the series of training throughout the month. So let's get started as we all know on the front end of your sites, your users you know either accessing your teachers from your staff directory or from academic section. so with that in mind what we want to do is we want to do is start with maintaining or updating disabling pages that we know for sure are not going to be useful specifically if you all are having summer sessions. So let's do that now. Let's go to page management and pages. So as you know you have gone throughout the school year with adding as many pages as you'd like for your teacher page some of those pages are dated content some of those pages you know include content specific to the semester you're in or the quarter you're in, and you know by the time the school year ends and you're wanting to decide whether or not you're going to use that for the new school year or if it's something that you can just do without altogether. Keep in mind you have something that could be extremely useful to you so it can alleviate a lot of the tedious work that you might have to do. So you click the three lines to the three dots to the right of the page name you're going to see a few options here but unpublished is what you want to start to use. So for those pages that you don't need for the summer session or you don't need for you know the fall semester or the first quarter just unpublish them. As you know, these pages will be disabled from the live site but saved here on the backend, so whenever you ready to put this page you know to use click publish and you're all set to go. Within all of your pages you want to you know make necessary changes to your content, you want to make sure there isn't any dated information here again one of the main things that you want to keep in mind as it relates to all content within your teacher page is to be sure that it's up to date. You don't want to have anything live that is from a previous school year from a different semester or not from current quarter or school year, that's something you can definitely avoid by just browsing through your content and adjusting the content within that specific page using of course the content, photo, and files option you are then able to manage and update your pages. Now in addition to that some of you are adding external links to your inside Pages which is perfectly fine we always encourage you to continue adding or you know some of you are hyperlinking- that's also great, but just keep in mind that you want to double-check those links I'm to be sure that they're current and up to date, that's something that you want to check as well. so again within your pages if you needed for the new school unpublish. if you have dated content here update that content that can be specific to the summer session or the fall session and that will be approaching or if you have links within your content in pages definitely double check those links to make sure they're current and they remain active. Now another thing that you want to keep in mind outside of pages you have you know summer programs that for those of you who will be in the summer session you have programs and your schools offer you know very relevant information that your students and parents may need. I would definitely encourage to use pages or of course posts, now these posts will be this is the quick and easy the option that a lot of reviews to just add content to the initial teacher page so whether it is text you wanting to add or links that you're wanting to add again you have five options to use I would highly recommend that you all use your post to just get information out really quickly to add to the initial page where your little profile is listed. Easy way, quick way for your parents as needed to access that information, posts would be the way to go there. If you are wanting to get a head start on the new school year you keep in mind that if you are adding posts, or you wanting to use them for the summer sessions or upcoming quarters or semesters again edit the post that you have here or delete them all together. Also keep in mind if you're adding links here at that same you know suggestion applies Where You Are checking the links, checking the content here, making sure that you don't have anything dated here. You just want to be sure that everything is pretty much current so that your students, your parents are up to speed with what's happening within that current session. Now a lot of You Are adding  the content which is directly connected to the terms that you have said and don't worry about terms your admin will definitely be sure that your terms are up-to-date and I have a lot of a lot of admins who are reaching out now just to be sure that the terms are up to date and you know all of the teachers have everything you need we are definitely you know we're referring them back to the help center, walking them through how to set up their terms, and for those of you who are unsure of where you would actually see terms - classes is the module where you would see terms. For example right now the current term setup is 2017-18. We're moving forward to the new school year so some of you see previous you'll see previous content added from other term maybe 2015-16 16 17. So the first thing I do want to point out here is another way to save yourself on time is to copy your classes. If you know for certain that this is something that you're wanting the classes and or the assignment is something that you wanted to use for the new school year or for the summer session, just click copy classes. Now if everything that you added within that term, you can just select those classes that relate to the current term. Easiest and best suggestion I can actually give you here because again, for those of you who are wanting to save time with the content that you're adding, specifically with classes and again this is directly connected to those assignments as well - this would be the better option and then for those of you who are using Google Classroom keep in mind you have that same option as well because teachers say, you know what I don't just want to copy my classes that I have manually added, if you want the same option using the Google integration that we provided here that option is available as well. Now if you're adding classes for the first time just click add class and you're going to go to the same process of adding that class details even if it is specifically for a summer session - enter the course name. As you can see the periods are optional, the department that it falls under and then of course your term, the current term will be populated to the right of your department. Add your description and you do have formatting options here as well, add any files and you're good to go. That part doesn't change at all just go through this if you're adding classes for the new term or if it's something that you're wanting to update that process does not change. now keep in mind for those of you who are using Google classroom - I know I said this before but I do want to just reiterate a few points here. It is very important for you to remember that although there is a subscribe button within the classes and I'll show you what that was like in just a moment. Although you do see a subscribe button within the classes if you're using Google Classroom your parents and students still have the ability to subscribe with in Google Classroom so they don't necessarily have to use the option that you know is within the classes. So for example in the profile you have your first subscribe option here - this allows the parents and students to be notified via email of any changes that you made to the General page in the general content. That's the first one. And then remember there's a calendar option here. This does not change from the calendar on your school's homepage so when your users click show all events, there's a subscribe option here. This will actually, let's say for example your parents or students use Google Classroom I'm sorry Google Calendar, they can sync classroom details with their personal calendar. So any changes that you make within your calendar it will update their personal calendars as well. The third option would be the classes so for example Biology Period 1. When you users click that option they will have the course description here upcoming assignments with the due date and then of course you see your subscribe button. Parents sometimes say I would actually prefer to be notified when assignments are due. They definitely have that option here as opposed to being notified via email or subscribe to all areas, they can definitely pick and choose you know what their preference is. You have the general subscribe button,  you have your calendar subscribe button and then you have the classes and assignments the drive option. Now Google Classroom again you're going to continue to subscribe or encourage your parents to subscribe there. So since we're talking subscribers, I would like for us to cover now how you would manage all of your subscribers. Some of you have had had ,any questions about you know what your list look like where you can find them, what to do when all of your lists or your contacts and subscribers have populated to that area very easy to do. You're going to actually click the stats module. All of your class names in your personal Pages listed below, all of your contacts of course you going to see them per class, and keep in mind that the pencil that you see to the right allows you to edit those subscribers. So if you would like to unsubscribe some of your users if you would like to add a single contact you would add their basic information here, email address, phone number, contact type or you have an add in bulk option. Now we've covered this previously,  but I definitely want to walk you through this again because it can be beneficial again as it relates to saving time. The easiest way if you already have a document -drag and  drop that CSV file here. If not, we have provided a template for you to download. Once you do that, all of those list in that particular area will then populate and again you can just go through and edit your contacts that will keep your users up to speed with you know the content that they have to specifically subscribe to if you want to you know remove them altogether, you definitely have the option. Just know that your contact list will be beneficial to you in multiple ways not just to specifically for your classes but keep in mind that announce module that you all have there's an email sender here so as your subscribers increase in number, they're populated to this area as well. So we have various templates that you can use and of course if you wanting to just send out basic email these templates are available to you or there is now a newsletter feature that I would highly recommend you know teachers because you have this feature added on your end that you take advantage of it and keep your parents up to speed with not just happened with not with what's happening in your classroom but you definitely want to keep them up to speed with what's happening within the school in the district. So click , I'm actually going to walk  you you through the newsletter option. Click template. so you're going to start adding your content and one thing to keep in mind is when it comes down to the second section as you can see , you can add your news stories from your homepage. You can add as many as you'd like. Once those are added just drag and drop to change the order. Some of you have seen this before but if you haven't, again I would highly recommend you go and just play around and familiarize yourself with the options that you have using your email sender. Now there is a preview option there. This will allow them to see what this looks like on a mobile device and a desktop. The photo that you have here is attached to the profile photo you added so if you want to swap the photo out with in the email of course you would have to change your profile photo. You have the mobile version of course we have the desktop version. When your users click the news and announcements that we've added to the email they will be redirected back to the school site. Now another thing t to keep in mind is your contacts. We haven't moved away from there I want to go back there so again as your contacts  are populated to that specific area if you click upload new, same process here you can drag-and-drop a CSV file of all of your contacts and there's also a template here. Or add existing. So every list that you have created is populated here. you can add those users below or you also have the option to manually add your users. Some of you will pretty much shy away from that option because that is pretty tedious, but it is available if needed and of course you have your delivery options which is really specific so if it's something that you wanted to send out you know maybe registration for summer school or you know you want to send an email out or just a reminder email out maybe a couple of weeks before summer school starts, this is something that you can do; it's the date and the time if you're sending now or you can send it later date and time. Extremely useful to do. So once all of your emails are sent you're going to have them archived in this area so you can you know go back and get an idea of how many users received the email and a few additional details again if you haven't please go in, verify your email address, update the contact information if needed if you need to update your profile photo in the email just click on the account drop down menu and you can update the photo that would be shown not just in the email sender but also in the staff directory. so it's going to populate to multiple areas. Now with all of these options in mind, I always want to encourage you all to continue using our help center . This can be extremely beneficial to those of you who may be need you know a screenshot play by play of how to, depending on what specific area you have questions in. The beginner area is for all teaching staff who do not have additional privilages. So if you only have the ability to maintain your teacher page, the beginner area is for you. Everything you need that we have either covered with a teacher training or the module that you have access to, you're going to find those details here. Very easy to maintain your pages and access the section menu options on the right and of course contact Edlio support is not just for submitting tickets but if you have any questions and you would like to call technical support you have a toll free number listed there for you and you're able to call Monday through Friday specifically for the your time zone actually is set for you so it varies in different time zones- keep that in mind. Moving forward if you have any questions or you're updating your teacher pages and you feel like you need suggestions, again reach out to us via ticket or call into tech support, we'll be more than happy to assist you and we're really excited about seeing your teacher pages and as you know parents and students find it extremely useful to easily access content here that you have provided. Again if your profile information isn't updated keep that updated so that your parents are in the know.
