hello good morning everyone my name is Jerry I am on the client success team as a client success specialist here at edlio joining me today we have James Simpson who is on the technical support he will be answering all the questions that you may have during the session now for this live webinar discussion today we will be discussing a comprehensive guide Sue user management we will be going how to navigate to user management page add a new user and manage users access in the CMAs how to disable and enable user delete or lock out a user differ between super-admin webadmin and the regular users Add profile pictures for staff reset a user's password introduce single sign-on also known as the SSO for Google my soft and ldap also we will be talking about two Factor authentication as well now this is the area where you have an overview of all the users with Ingress EMS the l e o c m s you to manage what each person has access to this helps you delegate responsibilities clearly it also helps people focus on that on those areas of the website that they're responsible for now cuz designate a few trusted people as web administrators web admins have access to all the features and can help you manage other users you can also also assign one or more users type user types to any accounts to help you keep track of the different roles and what account holders may have in your organization this is a great way to easily populate your website staff directory directory your teachers and staff right now to navigate to user management page you can access user management through the dashboard select site management then you will go into site management landing page where you can select user management and access the user management page or you can access the user management page are using the hamburger menu on the upper left corner highlight highlight site management then select user management and to show an example as everyone should know this is the admin page that you see this is the homepage where you can all the way down as you can see here the site management when you click into it this is the site management landing page and you will click user management and this will bring you here to the user management page the other way is you can access it through the hamburger menu on the upper left-hand Corner highlights I management and clicky user management and it will bring you into the same page here now to add a new user and manage their access in the cmms in the user management page select new user on the top right-hand corner you will fill out all the required fields does username first name last name password which can be temporary until then they will log into that account with the temporary password and change it to their own email select an appropriate for the user either teachers School administrators or other employees and please note that you must feel like one of those following for them to appear in the staff directory feature we will also be able to that access to categories and sections which gives the user's ability to specific to a specific categories and sections and pages and we will also be able to bring additional admin access with give the user's ability to access and manage CERN and the teachers specific news feed or specific calendar event calendars so for example here this is the user management page and as mentioned previously on the top right-hand corner you have new user you click into it this is the page that I will bring you to where you will be able to modify all the user's profile you see these ones these categories. Are bolded with the star those are the required fields that must be filled out which again is username username first name last name password and email now everything else within this page are all auction moving down to users type as mentioned previously that one must be selected for this specific profile to display this person in the main staff directory and this will also give them a few specific permission which you can read more about it on the access level at this link here now moving down to administrator only see a Ministry leaders section as a super admin you won't see this category as a web admin or regular user at all so I will go ahead and I will explain the difference between super-admin webadmin and user just in a bit but by clicking this box you are giving this specific profile the web straighter access which will be able to Grant this profile to have all the access to the features within the c m s right now going down two categories and sections this is the area where you will be able to give users ability to edit specific categories and sections within the page now when I mean Pages it is the pages that you can find with them page management these pages are the ones that you will link to your life site to a content in information for for parents are there end users and as we scroll down you will find additional edits and access privileges this is where you will grant additional admin access to this user which gives the users of what are you to access and manage certain features specific news feeds like news categories event categories and specific event calendars and you will also be able to give them the access to password protected areas now users must login to their account and have permission to view these password protected area these are the areas that cannot be seen by the public you could link these areas these Pages or or links to your life site or once being clicked into and directed into that page that the user will have to login in can of course have permission to access those information and you can also change the status on the user within the user profile you could disable the user which account holders can no longer log into the website Ada and personal Pages remain stayed within the CMS but those pages cannot be seen on public site and their name is no longer visible and the staff directory and you can also log out a an account which the cow holders information personal pages and staff directory staff directory listing remains on the website only difference is that they can no longer log into the website using their credentials and the also forced password reset on the account which account holders cannot login until they reset their password this could be useful in case that they forget their password so we go back to here on the profile if I scroll all the way down as you can see password protected areas and these are the current list of protected areas within rcms within our pages and you could find and modify those password protected areas within the Paige management and again over here you see account status you could disable or enable the account here that you can log out in the account locked out in an account unlock in Forest pass reset and for the last one if you are using ldap this is something that you could happen to Kate the user as well but always remember to save if you met any modification within the profile and gear is also another way to enable and disable in an account which is for example we will use this account activities our community this three dotted three. Next to the profile bar has a few in a few options for you to go into the profile edit profile edit profile photos you can also reset the password link here and disabled users cheer when you disable user it will show up a pop-up message which notify you that the user won't be able to log in and their personal and it will be on the public site and you can click the stable here and get a confirmation that the user has been disabled. Just seeing whether or not you know an account is disabled you will see that with I'm sure it will let you know that these accounts are currently disabled and you could also enable them by going back to the three dots and click enable and the account is back than April right next we will talk about the difference between super admin webadmin and regular users now a super admin each website has one super administrator account this is a unique ax don't with the username admin it is the only account that can add remove or edit website administrators and all other Privileges and access for the super admin account are exactly the same same as other web Evan now with where almonds they have access to all the features within the CMS to manage the entire web site and update regular a user account now as for regular users when you add a new user account by default it will be a regular user without any extra privileges the base basic privileges that they have is only a little piece of the website for the pages their photos and video and their calendars all right next we will be talking about how to add a profile picture for staff now there are two ways that you can add profile pictures or change profile pictures for any status within the staff the user management one is directly from the user profile on the user profile page have the profile photo on the top right upload a photo and these are the format that our CM as support and this will give you an option to be just the crop a line to control how much of the photo you would like to show their crop and safe or there is a shortcut where you could change photo within the Justice user management page you will find the staff member that you would like to change or add a profile photo to select a placeholder icon or existing photos that are next to your name and you can up the photo from there but with that option you will not be able to crop the pictures at all so just show you examples I will go to myself and as you can see in my profile on the right hand side this is my profile I could click into it I could drag or select the picture here in this case I was selected for my computer and upload this picture as my profile picture now as you can see there are ways you adjust this crop outline and you could ever fights off here to show you what the life display will look like for your profile picture and whenever you're ready and this looks good your crop the save and that is your new profile picture. The shortcut is within the user management page you can go ahead and hover your mouse over these icons as you get to see the kind of pop-up that gives you the option to change your picture as well you can remove the current page or upload and chop file here in this chaos case I will upload again from a computer and you will see that here it is priest that you will not be able to crop or change how and you are simply click save there and also another way is the 3:00. It again this also is another way to change as well next we will talk how how to reset a user's password now in the user's manual management please you will find the staff member who's password you wish to reset then click the three. Again next to the next on the right side of the profile bar there is option where it allows you to click email password reset link the pop-up message one from you that the select a user won't be able to log into this EMS until they reset their password then you will click Send a confirmation message will appear that the password has been or the password recently has been send and you will be able to see all of the users in the requires password reset group until they reset their passwords so sample here as you can see the three daughter next to the right side of the profile bar there is an option here where you can email password reset me and this is the message that pops up user won't be able to log in do they reset the password you will send and the confirmation will allow you to know that this has been sent and to find out who still needs to reset the password there is a section in this filter your requires password reset and these are in the current users that are still in need to reset their passwords all right next we will be talking to single sign-on for Google Microsoft an LG 80 now SSO also known as single sign-on for Google allows organizations that uses Google account for Google Apps G Suite email to log into their MDOC Ms and Microsoft does the same as well than Microsoft SSO allows the organization that uses office365login to the edlio p.m. now with ldap which is active directory your use me your Leo admin site can be configured to authenticate users through your existing ldap infrastructure I won't go into too much details about these because these are more towards the security side but people district schools users uses SSO 214 Simplicity and of course for extras Journey this reduces the number of passwords a user has and the number of locations a user is managed which simplifies the entire Administration this also reduce the numbers of attacks Services because the use only login once a day and only uses one set of credentials you also have the ability to setup two-factor authentication which also known as 2fa or MFA is a method to provide two different pieces of information to allow you to login more safely we provide an app-based two-factor authentication that you can register from your user profile page now here are the listings of authenticated apps that supports rcms and for more information you can go to help.
