Good afternoon everyone thank you for joining us for another edition of our My Edlio trainings where we tackle very specific modules and give you a very detailed overview of how to manage these modules whether you are an admin or a teacher or support staff with specific privileges set up by your District or by your school. As usual we will be recording todays session and for your staff members who were unable to make it or if that's something that you want me to send them to you know have as a recap later on, this will be posted in The Help Center just shortly after we have completed out here. In addition to that we also have someone from tech support inside of the chat so if you have any questions as we go along, we will do our best. By all means reach out to them and they will answer your question immediately. So what I want to do today is we're just going to give a brief refresher training to our admins. A lot of you or first-timer so we are extremely happy to have have you all with us, so we're going to start off with our calendar so as you all, know when you log into your admin site you can find your two options one of which would be under the Plan module, and calendars. So for those of you who are wanting to maintain your District or School sites by manually adding your events, very straightforward, just click  add event, and add the details below. Now for those of you who have multiple calendars that you would like to add as you see we have multiple categories listed you can make this adjustment in your settings. I'm going to go to site management, settings, and in the settings tab, you want to click on the events tab, and you have a few options here but we're going to focus on the categories first. So again you may have multiple calendars that your District or school would like to add and of course as you know you know all sites are unlimited space so you can add as much as you need, so I would just click Create New Event. Add the title, and this can say something like Staff Create section. Staff is now added to current section so multiple things happen here: the first important thing that you want to make note to is if you go back to plan and calendar add event that staff calendar is now added to the list so you can click staff and say this particular event belongs only on the staff calendar, or you can select all and it will populate to both specifically. Now for those of you who would like to integrate multiple calendars I'm going to go back to site management and settings, events and you have two options here: set up the Google or Office 365. Very quick and easy process you click under option and it's going to be directly there, you select as many calendars you'd like to populate and it's not going to change the layout of your site. I get that question a lot when I'm doing training but just know that when your users either scroll down to the event section or they click view all your events that you integrated whether it's through Google or Office 365, have now populated here. Your categories - same process: you create your category and then click Staff. I would like to integrate the staff calendar for Office 365. And again, you can continue populating as many calendars as your District or school has. They're populated to the category section of your live site they are all color coded so this allows your parents and your students to filter out these calendars. As you know, there's also a calendar view. This is the printer friendly version and then you have the Subscribe button. I always recommend that school staff, District staff, you encourage your parents to come here as often as possible and subscribe to your calendar. This is how they stay in the know. So let's say for example your parents can see in addition to your school calendar or personal calendars. So any changes that you make, whether it's through Google, Office 365, or you're manually updating your calendar They will receive those updates immediately. Now also, another question that I normally get with calendars, for those of you who are integrating calendars, you will not see those events populated here whether that's in Google or Office 365. You will continue to maintain that calendar through whatever platform you have integrated from. So let's move on to our news. One thing I do want to point out for those of you who are saying personal and school calendars here for the first time, keep in mind that as an admin which is what we're covering now, you will see two options in most areas and that's because the system is allowing you to maintain not just the admin content, but the content that's now on your personal page within your staff directory. If for those of you who are not managing personal pages, you can totally bypass that, but just know that it is allowing you to do both at the same time instead of logging into you know a separate account. So let's go to announce and news. Now announce is actually really great not just for those of you who are seeing it for the first time but some of you you know as a school has now started for the new school year we need to clean up our sites and you're adding new staff and creating new content, these are ways that you can you know get your site up to speed up to date and ready to have all the information prepared for your parents and students. So with the news, again, unlimited space. Please note that if you are a district joining us today and you would like to push your news out to the school sites, you do have that option you can submit that to technical support by going to your help drop down menu and contact Edlio support. Now for those of you who have individual sites this process hasn't changed at all. Just a couple of things that I do want to note, for those of you wanting to maybe change the order of the events on your homepage this process is the same as what you see in Pages for example or navigation- you drag and drop. I would also like to encourage you to cut out a lot of the tedious work, some of you hear me mention that a lot but one of the ways you can do that is by using your disable feature, so if something is reoccurring or you know that you are definitely going to use that use that information at the end of the school year for example, instead of deleting it just disable it. You can find it under show disabled news that is set up like an archive for you. So once you're ready to add it back to the site just click edit update your text if you have dated content there, of course that needs to be updated maybe swap out your images click enable and you're good to go. That will definitely save you on time when it comes to adding that reoccurring content back to your site. now in addition to that a lot of you also know that there is a homepage alert option here and that serves as a pop-up alert that you use or see when they initially come to your site and they have to acknowledge that alert prior to moving on I do take Note 2 times schools haven't even put this to use because they just don't know that the option is available so you would create your homepage alert as if you are creating regular noon so just click Avenue and what's your headline here was no school now again for those districts joining us today if you have schools that you're pushing this alert out to your school should be listed below is not a game tech support can adjust that for you but you would select all or just feel like individual school that you want the alert address for and then just below that if she know you're free option text drag and drop a file here or link to an external site or page within your site you can only use once one of the three options that are and then if you're busting into an outside Source you can blow drag and drop your image here which will serve as a thumbnail attached to your alert also keep in mind that using alternative text with your images and your videos very important moving forward we have a very detailed overview in The Help Center that I would suggest all admins in particular take a look and then of course can send those details out to your staff so everyone is pretty much up to speed on why it's important to maintain 88-75 moving forward just going to play the alt button there and my alternative test answer now just below adding your image you have delivery options when you're creating home page alert you do not need to use your delivery options that's only for news I'm just going to save this as is and on the following page there's an option here that says home page default it's already set for 20 so I'm just going to leave this active host you can adjust the time if needed it's saved here so this should be reflected on the homepage what's going to happen in Wonder users come to your site your alert is the first thing they see they have three options don't you again okay and Rico Story Rico Story takes me to the landing page the country that use added if they could don't you again but continue to browse the site this is the first order of business that they see here so they have to see this alert as they continue no browsing through any other continent same thing with the alert if you would like to disable and use it at a later time more than welcome to do that no let's go to another option here is the social media manager so don't think you want me to push your news out for example to Twitter or Facebook options are available to your settings and you will then enter your credentials here or your school account now this may seem obvious and I know you all hear me say this but please be sure that you are blinking the correct account I want to see any personal account on your school and just your pages so just check and double-check that you are connecting your school account and not your personal social media also keep in mind that there is a scheduling option here so you can say for example you know I've added the news to my website Monday morning at 9 a.m. however I would like his attitude social media Monday at 6 p.m. you can set those changes up here not another option that we have I would highly suggest you all take a look here I have you know every now and then I have a few moments to just go check out a few sides and see how everything is coming along and some of you are using your contact list if you have never played around with this section I would suggest you you don't make it did you have that can work for you I have a few suggestions so contact list all users have you know their own ways to manage to edit you update you customize if they bite and great way as an open that you can you know also customize your own list however you will see your staff and have access to your staff list as well so I'm going to create a new list here that is customized just list we're going to call Dad 2017-18 college graduation volunteers created his new list as you see you can maintain the manage this list by adding the contacts individually or quotient of course in bulk by CSV file and also for those of you who are interested in the SAS integration please reach out to see we can even got me some more info for you and your District or School otherwise Dragon property is v-power here or you have another option what's go to page management and homepage widget can some of you were putting this to you but you have another option that you actually if you have a new feature homepage widget suggest you go in and see how this can be used for your schools going to drag and drop the form widget and take that to any area of your homepage for your homepage only saw the signs and the design the widget to nothing change what you can do is Select which contact feel that you would like to get information from the mall I'm going to change the title of the how to say parent volunteer or we can also say students if you would like to create a contact list for student volunteer for prom hair now I'm going to link it with custom length and I'm also keep in mind that you can use your email sender use the contacts for email sender as well and movies list will be archived you can access them there as well so I'm licking it to my graduation list same on the homepage I don't have a wager so what happens here is your parent your students complete this form it is their contact information is now populating back to the crust respecting created again you can continue building this list throughout the year at the same time you also have a button widget now for those of you who have forms which can be found under the Community module you can create a form here or if you have an external site or a page within your sight some of you are also familiar with using Google forms I get that question a lot more than welcome to use you know that link so let's say for example the admissions process we would like to make this more accessible we went to add this to the homepage I was going to copy this week go back to the widget page management page widget in Dragon drop the button to the site I'm going to change the title to say read our commissions processing paste the link no one home page number but so again if you all have surveys that you would like to connect to you if you all are you know creating list of a certain grade level up your parents or you know you want to create a form that says parents a through F you know subscribe if you're building a newsletter and you would like to be more useful to you than these are all ways that you can make the best of the widgets on your school Pages again if you're looking for more suggestions please reach out to us so we'll get it with your contact list you can also use them in the email sender so under an ounce you can find it here teachers along with admin also have access to the email sender so that my to email their parents alone option is available quick new email you can use the templates below for the email or create a newsletter the newsletters slightly different because it allows you from your school site so I'm just going to text you in the first section there's some formatting options that you see here second section this is where we're pulling news from the school site you can connect as many articles like once they're at it just drag and drop third section add more checks there is a saving exit button that is equivalent raft dressing your email or your newsletter so you know a lot of teachers sometimes ask you know can I just start reading this with the little information here and there and save it come back later absent and I know you know that the option is available for them as well and then there is a preview email as an admin since you're sending this out for the school from the school for example you should your School logo details here this is giving you a mobile view and a desktop view and in the footer you have your contact information information you know can be adjusted Within your email sender continue and this is where we're adding contacts upload new photos of you are starting from scratch just drag and drop your CSV file here add existing all of your contact list can be found below and then keep in mind that if you would like to you know have list created just for emails that option is available but of course you can manually add your separating dirty mother dresses by, they're also delivery options below I would definitely suggest that you all you know especially if some of this is time time-sensitive and you are only a team of one going to bed a lot as well even though I normally suggest that you all delegate some of these responsibilities gives you do have you know what team of people share you know some of Michael's West you should delivery specific date and time for this to be pushed out and you never have to worry about it we've covered our contact in the email sender let's go on to another area that we actually just update I want to walk you through other page Management in a password protected area so for those of you who have you no experience with a password protected section new area what is protected so here I'm just going to Quick add pages in feature can see the thing populated below the arrows expand you have additional content here to choose from what does much as you'd like selected and then who has access of course you can type in the names or actions and all users remove all user lot of you mainly districts have you know a large amount of content that you do not want accessible to the public this is definitely the route that you want to take and even for you know individual School some of you have a staph infection that you want to make available your staff can use the same credentials that you created for them to login to the site to access that protected area how to change or somebody you would like to know maybe create something for your parents that is also available I would suggest that you create one generic account all parents should have access to that again we can protect as many areas as you'd like and it's definitely simplified so moving forward if you all have any questions again you know just reach out to us and we also encourage you to take a look at the help drop-down-menu any help center this also gives a very detailed overview of how to as a screenshot play-by-play there so if you don't know if it's already been in contact support Deborah Bieber answer your question area that I do want to cover is site management Insight navigation a lot of you have created you know content within your pages and wondering why don't I see that counted in my drop down menu this is something that you will definitely hear me repeat instead of along the way I'm doing a session and that is your pages are no what is the same with your drop down menu when you're adding contact when your editing your content what year centrally maintaining here is your section menu so you create within a new section it's populated here or you edit account it will only show hear your second step would then be to go to site navigation and link to the drop-down menu another thing is that you're drop down menus do not have to match your section menu they do not have to marry each other so let's do that let's go to again for insight management Insight navigation for those who are following them all in your head a few things to keep in mind you cannot delete or add to your current menus tech support we need to handle that for you what you can do is change the titles of your menus you can change the order of your menus and you can change the content within your menus also some of you would like to you know it did some of your actions within the menu that's also available in the back in so if you click edit you can edit the title of the menu you can drag and drop the entire menu when you go to add a new item you should see a pink Arrow there that let you in debt in debt your menu options when you're adding to the menu of court options to link section page so that everything that you created your going to find the content below URL of course that's an external or page within your sign Dragon drop the doc here in the future page all of our features can be found here again you're linking to one of the four selective feature done and apply your changes if you want to change the order of them individually and process drag-and-drop is not restricted to just as one minute you can pick it up or down chicken and save your changes and that is how you manage your drop down menus also user management is another thing that I want give a brief overview on underside management adding your users here managing their privileges here and you're populating your staff directory a lot of you have your style but you're saying you know our teachers are not managing Pages at this moment but it's asking me to create or give them a username and a password yes that is how you're creating that profile just know that you not have to give them that username and password that again just populated so if you want to categorize them as you see here we can do that not just by creating the users and giving them privileges but the second step would go would be to go to site management and staff directory quick directory option and you have the user type inspection option first name and last name additional profile info is it of course you can change it layouts here anytime you want to see these changes reflected of course just refresh your homepage and you're good to go new things I do want to remind you of before we wrap up all users have unlimited access to technical support have a limited access just go to your help drop down menu quick on top support you can reach tech support by creating the ticket and I will suggest that you are very detailed when it comes to some of them changes for example if you're having trouble with a video include that video and specific about where you like the video to the attic or if it's already added to the side let them know where you would like it teachers you know if you have files or photos you're having issues with a cash those as well would like to call tech support for is a toll free number here you're able to call the hours that are listed are preset for your specific time zone you're able to call between Monday those hours Monday through Friday Again
