As we get started, please know that each session will be recorded and available in our help center. So you can check in there in our video section and review or you can just send it on to your staff if you'd like. Also for those of you who do have questions, feel free to use your chat feature. We do have one rep from tech support inside the chat ready to answer your questions. So let's go ahead and get started. Again, today we will be covering forms, which can be found under community and forms. Now for those of you who do not have forms set up just yet, this is paid a feature, feel free to reach out to us and we can get you set up as soon as possible. Now, forms, very easy to manage, very easy to set up. Just click new form, and it's the same drag and drop feature that you're using within Pages, within your site navigation. A few of the areas within the CMS allow you to drag and drop your blocks around the page and that's what we're going to do here. We're using fields to the left. So first what we want to do is maybe add something like a title to this form. We're just going to call this registration. So a lot of schools actually, you know, had a registration, something tangible that their parents will take. But if you, you know, are wanting to remake that registration form within our forms feature, you're more than welcome to test it out here. Again, all you're doing is dragging and dropping. So contact, drag and drop, any fields that you are not wanting to use, click delete to the right. All we're doing is clicking that trash can. And of course we have additional options, short answer, long answer. So if you have something short answer, if you're wanting to be a little more specific, instead of using the contact for example, you can say, you know, first name and last name or just first name or last name. Long answer if you have something that requires a bit more text, you would use the long answer in that regard. Number if you're requesting any type of link or want users to upload some type of, on the document there is a file upload option here as well. And then just underneath that you will see that we have group questions. So a lot of you have forms that require multiple choice questions. We do have group options. You can choose which group best fits your form. if it's multiple choice, again, you just drag and drop. Now with the multiple choice, be sure that your questions and your options are entered here. If you would like to add a hint you can do that below, and additional options, and others are listed as well. All of your questions, as you see, if you click them individually. If you would like to make them required, there's a checkbox just above that you can check off And then you have text. Just, you know an empty box what allows users to add. If you would like to add additional text you can do that here, as you see this is very similar to what you see in pages, your formatting options. You can use them to adjust your text, clear your formatting if you're copying and pasting from other documents. There is an embed option here as well. And if you would like to add inline images you can also include that option below. Now, once the form is completed, just click save. It's going to take you back to the original landing page for forms. Every time your form is completed, the responses will be per form. You're going to see your number increase. Now if you click the three dots to the right, you have various options here. I would like to start with advanced form setup. You have a few specific options here, some of you have already seen this area, it looks very familiar to you. But those of you who have not, if you have users who serve in other capacities; they're not admins but they need to be notified when certain forms are completed, you would enter their email addresses here. Now I do want to point out, there's an extra step that you need to take here in the event that you're giving someone privileges in forms, or two forms rather, and they need to be notified when the form is completed. Under the user management area, you're adjusting the privileges there. Now I'll walk you through that in just a moment but be sure that both options are pretty much covered for that user. You are not only listing their email address to be notified when the form is completed, but you have also given them access to this feature as well. If you would like to customize your confirmation email to the respondent, you can do that below. Public form. Now you can customize your buttons. Instead of submit you can say something like click here. Or done. Security. Some of you would like to include captcha, you can also include that below, and then of course you can customize your thank you page. Now, for those of you who would like to include links. A lot of schools ask about, you know, the options to include a PayPal for example. You can actually do that here on your thank you page. Thank you. Your response has been recorded. To make a payment to XYZ, click here. You can hyperlink it if you'd like or you can just spell the link out, maybe in its entirety. Both options are available below. And then you have scheduling. A lot of you would like to set a specific date for the form to be open and closed, and then of course you can customize your messages here. Again, all of these advanced options are pretty straightforward, but I would definitely suggest you go through some of your active and live forms that you have on your site now, and just be sure the content is up to date. If you would like to set open and close days, you can totally do that. Or if you would like to set users up so they are notified when the forms are completed, you can definitely add to that form. We're going to go back to the three dots to the right. And at this point we want to click, well your responses also. Your responses would allow you to see all of the responses per form, and you can export those responses as well. I know that was a major question across the board if, you know, the export option was available. In addition to that we're going back to the three dots on the right, and we are going to go to share form. Once the form is completed, you have set up your advanced settings, we want to share the form now. Now, you can add this form in a newsletter if you'd like. The link, just copy the link here, or some of you would like to add this link within pages, or to your shuffles, news. You can add this form wherever you'd like. So I'm just going to copy the link here. And I also want to show you an extra area that you can use forms for, which could be really useful across the board. So we've completed our registration form. So what I'm going to do is go to page management, and widgets, homepage widgets. A lot of you didn't realize that you can connect them here, but again this could be extremely useful for those of you just wanting to, you know, get your forms visible on your site so users can see them immediately when they come to the homepage. So we're going to use the button widget, going to drag and drop that to any area on the site. We're going to change the title here to say registration form here. Paste the link, and save. So again, this is just one way to get your registration forms out there, or just forms in general, out to your site. Refresh, and now you have a button. So when your users click this button it's going to take them directly to the form. Our registration form is below. They complete the fields, submit the form, and it goes directly to the users that you've included to be notified when this is submitted. Okay, so let's say for example we're not necessarily wanting to create a button, we just want to put this in site navigation. For those of you who are very familiar with how site navigation works, you know that we're going back to site management, site navigation. For those of you seeing this for the first time, this is where you go to manage your drop down or mega menus. So once you're here, let's say for example I would like to add this under the admissions drop down menu, I'm just going to click new item here, and we're going to call this registration form. As you know, you have four options to link, we're choosing URL in this case. We're going to paste our link below, done, and apply our changes. So, going back, live site, refresh, under admissions, under admissions we should see our registration form here. So again there are multiple ways that you can add this form. All you're doing is pasting your link and it will then be visible, whether it's under your drop down menus, in your pages, in news, as a widget. You're more than welcome to, you know, just play around with how you feel like your users will go to first in that specific area and access those important forms. Now, what I want to do is also walk you through where you would go to give your users access to the forms. Again, a lot of you know we're going to site management, and user management. Again, for those of you seeing this for the first time, you're coming to user management to give your users access. And you're managing, you're essentially managing their privileges, what they have access to, this is where you manage that. You can either click create user if you're creating this profile from scratch into your details below. We're going to scroll all the way down until we get to admin access to site-wide features. As you know, these are listed in alphabetical orders, all you need to do is click forms here. The user does not have to be a website administrator, they can be support staff, they can be your administrative assistant, they can be a teacher, they can be someone in library. If you feel like this user needs access there, just check off forms alone. Again, they do not have to be a website administrator. Now for those accounts that are already set up, pretty much go about it the same way. You're just clicking their name, edit profile, scroll all the way down, click forms, and save. So again, forms is pretty straightforward and I would definitely suggest those of you who are very familiar with forms and you've added them to multiple areas within your site, to go in and be sure that your content is pretty much up-to-date. You don't have outdated content, whether it's within the text, or dated images, or captions there. Some of you have linked your images or linked content that is outdated, you want to be sure to go through your forms, go through your navigation and be sure your forms are updated. There are even within pages, you can go through your forms there. Again, you're finding that option under community, and forms. Initially all admins will have access here. If you want users to have just basic privileges but in addition to that have access to forms, you make those adjustments under site management, and user management. Once the form is completed, to share the form, or to post a form within specific areas, go to share form after clicking the three dots to the right. To view the responses or export the responses, you can do that by clicking view responses. Last thing to point out here, be sure once you complete a form, see how it works for you by using the button widget. Again, you just drag and drop, paste the link of your form below, save. If you are interested in activating this feature again, reach out to us, let us know. Give us your information and we will get that set up for you as soon as possible.
