hello and welcome to this study hall on ongoing app learning my name is Taylor I'm a trainer here at edlio and I'll be leading you through today's record session now if you need more assistance Beyond today's um intro to your app session please reach out to your communication specialist OR tech support via branded app at edlio.com or through the intercom tool on your dashboard where you're going to be able to search the help center and open support tickets when we jump into the dashboard in just a second I'll show you where you can access that now today the goal is by the end of this training you will be able to feel comfortable in the app dashboard and navigating basic features and key functionalities of your app including 1-way communication so how we can send a push notification to our school uh community and post on our news feed our 2-way communication how we can uh uh adjust the conversation settings so that um exactly who we want to be able to have conversations on our app are able to and I'll show you how you can create some conversations I'll show you how you can edit your app menu slideshow and toolbar using app builder and we'll take a look at how you can create and edit your calendars and your daily messages so with that let's go ahead and jump into our app dashboard hello and welcome to this edlio study hall on ongoing app learning my name is Taylor I am a support at branded app edlio.com you can also search The Help Center or open support tickets via the intercom tool on your dashboard which I'll go ahead and show you how to access now in today's recording recorded session by the end of the training the hope is that you will feel confident in the app dashboard on basic features and key functionalities for your app including 1-way communication so how to post to your newsfeed and send a push notification um how to edit your app menu slideshow and toolbar via appbuilder how you can create and edit your calendars and daily messages and how you can adjust app wide conversation settings and create conversations for that 2-way functionality now of course there are many many more features that we won't get to in our modules to but I definitely encourage you to reach out to your communication specialist um and to attend other ongoing app learning study halls live where you're able to bring your needs your questions your Curiosities and your priorities to the space so you can get your questions answered live either in an ongoing app study hall or working directly with your Communications specialist so with that let's go ahead and jump into our dashboard so we can look at some of the modules we're going to highlight these uh key modules today so with that I'm going to go ahead and take us into our dashboard um now here I'm here in my dashboard as an admin and that's why I can see all of these features over in my hamburger menu um a few things I want to point out at the top um if you have any notifications these might have to do with your sink from your is system important notifications on um self-register users all really important notifications on your users in your people records um we won't get to people records today again I recommend reaching out to your communication specialist um scheduling a pre-launch call if your app is not launched so that they can help you make sure that all your accounts are ready to go and your invitations are sent and you're going to see any notifications here in your notification Newsfeed now if you want those notifications to go to your email you can come to your account and profile and have any of the app notifications also go to your email so that you don't feel like you're missing out on them if you don't come to your dashboard just make sure to save your changes when you are done now um You can uh come up here to share your app in order to grab the widget for your finding your app on the Google Play store or the Apple App Store or 4 for um accessing your app from the web as a web version The Universal link is going to be really useful to allow folks to find your app um in the modality that's best going to work for them these are going to take us to the same place which is going to look at the app from our computer we're going to use this to follow along in training and this can be very useful to um also do further training at your school um to show folks how they can use your app no um we have some marketing and Analytics that I recommend um you go ahead and take a look at you can access the app launch kit to look more about how to use these marketing materials we're going to go ahead and jump directly into um looking at our 1-way uh communication which is our news feed so as we know saying push notifications is a huge benefit to having an um being able to send those alerts out to your community we are going to be able to control our news feed by going to the hamburger menu features and app news feed now before we learn how to um create news here in the app news feed I want to look at a few um settings for our news the first 1 being feeds feeds allows us to set up all of the news that is automatically being pulled into our Newsfeed if you are a edlio website CMS customer all of the news that is posted to your website is automatically brought over to your app so you don't have to worry about that you can go ahead to your CMS um post your news to your website share it to your social media and you don't have to take any extra steps it's going to automatically be shared on your newsfeed here on your app we can come to our newsfeed and see any of the news that have been created and we have of course a bunch of tests as we go ahead and um uh get practicing on our news now we can also add additional feeds here in RSS feed so if I want to go ahead and add any other um news feeds from the web I'm going to be able to come and add new I'm going to look for the URL of the RSS feed It's usually the RSS feeds usually going to have a little satellite symbol like this and somewhere in the URL you're going to find forward slash RSS that if you want to share the weather if you want to share local news if you want to share global news with your high schoolers let's say um every time that this news feed whatever news feed we are pulling creates a news item we are going to have a news item reflected on our app and send a push notification to the app category that we select here now we're going to get into what categories are in just a moment now maybe we want to share an RSS um feed but we don't want to over push notify folks let's say we want to share local news and so that's in integrated into our school's culture but we don't need to send push notifications for that you do have the choice to go ahead and turn that off so again if you have an edlio Sams you don't have to worry about setting those up nor about seeing them here they're going to be set up as an API feed so that your images get brought over um API feed is a best practice your RSS feeds are for any additional feed behind beyond your website that you might want to add you can also connect your social medias so your Facebook your Twitter or your Instagram such that every time something posts into our Central School 22 Instagram that posts 2 um all of these sites in our District in my case I am in a district app where I'm an admin that had manages many different apps so that's what I'm seeing here if you are a school with just 1 app you're just going to have 1 School site listed so um that is correct don't worry about that but in general the social media feeds are going to um be useful if you are um not posting to your social media from your website or from your app why do I say that because if I am a CMS customer and I post um to my website I know it's automatically coming to my app that news story and I can also push to my social media so if I came and connected my my Instagram Facebook or Twitter feed here I would simply click new and I would be able to connect my Facebook to connect Instagram or Facebook now in order to connect my Instagram or Facebook it has to be a business account but if I go ahead and connect this Instagram here but I've already shared that post to my Instagram it's the app is going to see oh there's a new post on Instagram and it's going to pull that post in twice so I bring this up because um this allows you to pull from your social media such that everything every time something is posted on this Instagram it's going to create a news item and send a push notification to the app and the category that we select however um if I am posting to my social media directly from my website or directly from my app that I'm going to show you how to do um this is going to uh duplicate those efforts and I'm just going to have to keep coming back to delete those duplic patience this having this here gives you the option to keep the posting order that is going to best work for you but again it's probably most efficient to post from your app and push to your social media so that you just post once and push everywhere um again you can decide what is more most comfortable for you if you've been used to posting primarily on Facebook you can go ahead and connect that feed in the meantime and still post mainly on Facebook knowing that it will end up on your app fee now another place that uh connecting your social medias might be useful is if you have a secondary Facebook let's say your PTA or your booster club has a Facebook page um that is not the main school or District news um they're posting a kind of secondary social media that would be a great example of coming and connecting that Facebook and now every time booster club posts on that Facebook we can have it post to our app under the indicated category now the last type of uh feed we have are event alerts event alerts allow us to have a push notification every day day or every week as we turn these on um such that um everything from our calendars is going to get rolled up into alert it's going to send a news item by default it's going to send a push notification if we want to turn that off we can um you know your school Community better than us and if they're going to appreciate that push notification or if every morning at 8:00 am um they're not going to want to receive that push notification you can edit it as necessary now we can also edit the time in days that this notification is sent we have uh default Monday through Friday maybe we want to include the weekends maybe uh only Saturday maybe we want to go ahead and have the um event uh alert be on the preceding night 7 p-m the day before so on and so forth it's going to um say here's what's happening tomorrow and then pull all the events that is happening tomorrow or here's what's happening today and all the events that are happening today depending again on when you set that alert to send from the calendars that you choose the same for our weekly alert It Is by default um set to Sunday at 5:00 pm our school has moved it to Monday at 7 AM whenever we think is going to work best for our school Community to receive what is happening that week it's going to be 1 push notification with 1 news item with all the events pulling from the calendar for that week now you see limit visibility this means that when tomorrow's daily alert posts yesterday's rolls off we have limit visibility 1 day if you hover over question marks anywhere in the dashboard it's going to go ahead and give you clarity as to what that means and um you can go ahead and edit that so if you want today's and yesterday's to post you can extend to 2 for example but that's going to keep your uh Newsfeed really clean because we only have the relevant event for today posting and everything else um gets unpublished afterwards now again what calendars is this pulling from what we're going to go get into our calendars in today's session but um we can go ahead and um indicate particular classroom calendars maybe I just want the main school events calendar to post to the Daily alert settings and I'll have kind of my secondary um classrooms to post in the weekly alert or I can just use every calendar for both alerts that is um the most common setting across schools and districts to make sure your bases are all covered you're going to go ahead and click uh update settings and save settings when you are done now that we have covered feeds let's look at our categories categories are how our news is um tagged on the news feed so we have 2 different of categories we have our site categories these are our um full uh app categories that you as admin can send what do I mean by full app everybody unless we choose otherwise are going to be opted in to these categories and they're going to receive all news that we share their now I'm on a demo site so I've got many categories your site probably has many less than this and that is perfectly fine if not even better I'm going to show you how categories work in just a second but let's say we want to create a category for our summer school I'm going to go ahead and click new give my category a name and all my summer school news is now going to be tagged as summer school if I am in a uh District app where I have multi sites for my different schools I can push this category across those additional apps automatically I also have the option to allow teachers to help me post news in this category now that's only available to me if I just keep this category in my specific site so in Leo high school I'm going to allow teachers at Leo High School to help me with this summer school news category so let's say Diana and Josh working summer school they're going to go ahead and be able to create news even as easily as from their phones to help me uh as a web admin distribute the labor of posting all the summer school updates that we want our families to know now if we keep this checked all users are going to be opted in by default if I uncheck this folks are going to go have to find this category and sign up in order to see the news that I post in this category and receive push notifications most of the time for a site category you're going to want to keep everyone opted in by default now if your app has secured access we can already limit the news shared in this category or and the specific news item itself we're secured access across all of our our features our app builder everywhere on the app we are going to be able to indicate do we want all users to be able to see this category do we want specific types of roles to be able to see this category do I want a very specific group of lists only folks in English to can see this category so on and so forth now summer school has a variety of participants in my district so I'm going to leave it at as all users and if I want to share a particularly sens positive um news item about summer school I can always limit the secured access of the particular news item later when I create that so I'm going to scroll down and press save and edit or okay to save now I want to create a my category mad categories are going to be most useful for teachers to be able to push news and push notifications onto the app you as a web admin are going to be of course able to post into all the site categories automatically pushing those news to all subscribers whereas teachers can create as many my categories as we want but as a student or a parent I'm going to have to um sign up for that category now that's great because then I'm not going to see all the classes and all the clubs at Leo high school that I'm not a part of um you know uh giving me a bunch of information on my Newsfeed that's not relevant to me my newsfeed is going to stay very clean and it the caveat is I'm going to need to know how to sign up for that category so let's go ahead and create the category and then I'm going to go ahead and show you how you can subscribe as a user to your category we're going to go ahead and create a new category now this could be the name of your class the name of your Club each teacher can have as many categories as they would like let's say I'm teaching Debate Club this upcoming year I'm going to create a my category for that can even give my categories a nice little image we always recommend using iOS 7 image uh as that's going to pull in your school's branded colors and I can search the image Library um to give this a nice little icon all right I'm going to go ahead and press okay to save now we do have a recorded teacher training for the app so if you would like your teachers to train on my categories as well as some of the other features that we have for teachers including conversations Hall Pass and classrooms um you can ask your communication specialist for that recording now let's go ahead over to the app and see how I can sign up for those news categories I'm going to go to my menu click my profile and come down to notifications the notifications are going to show me that I'm enabled uh opted in to push notifications by that's by default everyone's opted into push notifications for all of these site categories including our summer school category that we've just created if I keep scrolling down I'm going to start to see all the teacher my categories and as as you can see they are um shown up with the teacher his name alphabetically and then that teacher's category categories showing up um uh alphabetically as well so if I'm doing debate this year um um the admin asked me to sign up I'm not currently seeing any news from debate I'm going to have to opt in to either see news from debate or C news and receive push notifications when a teacher posts in Debate Club to be able to see anything posted in Debate Club on my Newsfeed now a really helpful resource to be able to understand this flow and to be able to have your students and parents sign up for their teacher my categories are going to be tutorial in the app the tutorial is going to show me how to switch between different schools if I'm in a district app where to find my newsfeed where to find my menu where to find my profile and how now in my profile to adjust my language everything in my app is going to be translated into my language of choice everything that you create um native to the app so all news all conversations so on and so forth and how to customize my news feed and it's going to take us through that same flow that I just showed you now so that tutorial again in your um profile settings can be very useful to help folks know all of these options now um another resource that is very helpful to uh helping folks know how to sign up for a teacher Mike category is in your marketing documents so your hamburger menu marketing and documents here are all sorts of useful Market documents um that you can get ideas and tips on how to use best practices in the app launch kit you can talk to your communication specialist um to get a copy of that you can go ahead and use all these marketing documents to go ahead and get people onboarded on your app and specifically the teacher opt-in infographic to encourage folks to sign up for those my categories should your teachers be uh creating those and and sending news to their class uh class classroom and clubs on the news feed all right so we've gone ahead and we've created our category we've subscribe to it now let's go ahead and start creating news I'm going to come to my hamburger menu mass communication and create a new message if you don't have email text invoice as a part of your app package instead of mass communication it is going to say create news and the flow is going to be very similar we're going to go ahead and if we have mass communication give our message a title this is just going to be an intitle for our in internal title for our message report and I'm going to select the channel right now we're just focused on posting to our app so I'm going to go ahead and post to my app if I also want to post to Facebook or uh xak Twitter I can connect those here and when I post to the app it will automatically post to those social medias as we discussed a little bit earlier with those social media feeds now I'm going to go ahead and continue and here's where I'm going to decide which category I'm sharing this news Category 2 um so I'm going to go ahead and share to our summer school category now if I want to share automatically across multiple apps I can go ahead and select all schools or I can select my schools manually so that I'm sending to all the schools in my district or the schools that I would like to in here we see all of those categories at those additional schools if I just post something as Leo high school and I don't choose any of these subcategories then that's when that news item is going to uh list as this General tag now if you'll notice when I go to um customize my news feed by going to my menu to my settings and to Notifications there's no way to opt out of General there's no way to opt out of Leo High School meaning if I want to make sure that everyone on my app sees a notification I might choose to share it just in that General category because I know that there's no way that folks can opt out of seeing that particular news item so that's just a pro tip there all right um so we've selected our categories now this is a sensitive item that I just want shared to let's say um it's just relevant for staff roles now when I share this it's going to post to my summer school category but only teachers admin and staff that are logged in can see this or maybe it's even more specific information I want to go ahead and just share it with the folks that are in the English to uh classroom Target list I'm going to go ahead and leave this as a public item so everyone in the app can go ahead and see this and I'm going to go ahead and continue and build my notification I'm going to go ahead and drop my headline and my body you can see I can have up to 500 characters in the title and Unlimited in the body now best practice is to create a short and sweet um um Newsfeed uh item here because our Newsfeed of course is made for sharing brief items but if you need that space to to share more news you're going to be able to do that it's not going to cut you off now you can go ahead and add hyperlinks you can add tables I can even add an image from my computer or from the web by dropping a URL that image is going to pull directly into my newsfeed so that can be um really helpful to grab folks attention to this news item so there we go we added all the content that we want we can also attach additional content clicking add down here I can add a uh video or a file from my computer um those blue items again these is items that I'm pulling from my computer so if I want to add a PDF um I can go ahead and add any PDF um that I need to uh further explain the information maybe a syllabus maybe a course description maybe an event description a uh field trip form so on and so forth um I can continue adding further information if I want if any grey items show up for you here those are going to be in-app content so for example I can share my calendar from my app I can share contact cards from my directory I can share a location on the map on my app um I can share quick links all sorts of again in-app content that I can share to um my news feed whatever options show up here are the options that are going to be available that the app is recognizing that it can share with your uh School community now that is only available when I am sharing to 1 app specifically I'm pushing this um news item across multiple apps so that's where my um options are limited if I was just sharing to Leo High School let's go ahead and go back and just share to Leo high school so we can see how that option is going to look um again the gray options would show up right here now I'm going to go ahead and save my draft let's say I want to come back later and I'm going to go out I can even create a template if I want to share let's say a Monday bulletin or a Friday rapper up I can create a template for my app newsfeed and create that template in the exact same way we just created our item I can add my schools Insignia I can add a table Monday Tuesday Wednesday Thursday Friday um meal schedule snack lunch so on and so forth I can go ahead and save that template when I'm done and I can pull the template as easy as I can pull my draft when I come into new message um if I have a template it will show in a box just as my draft is and I can go ahead and pull that in and continue to make my edits and publish so it's going to show me exactly where it's going it's publishing to 1 app site to the new feed if I want to schedule that for later batch my work I can go ahead and do that if I want that to be recurring um every week on Friday um every day customizable I really like our recurring option because it you don't have to do the mental math of thinking if you have a a strange interval how when it's going to post it's going to show you exactly here and you can even set the exact time if you want this item to be pinned on the top of your newsfeed you can go ahead and do that if you wanted to roll off your newsfeed after a particular amount of days you can also set that up now let's go ahead and send to our app now we can send to our app here from our dashboard we can also create news from our phone you have the ability in app builder to add a create news title for your admin and or teachers we're going to go ahead and create news and here we can create news in the exact same way as we created on our dashboard so again if you have mass communication you're going to have the option to send to your app news feed along with email text voice and social media and if you just have create new um you're going to have your options of sending to your app newsfeed plus your social media we're going to go ahead and give in the case of mass communication that internal um title again just as for our message report so we don't have to remember what did that day oh yeah I sent the debate Club first meeting announcement and then I'll go ahead and choose where I would like this to go any additional channels and what category I want this item to be tagged in now I want to go ahead and have this tagged in my uh debate personal category so let's go ahead and find that here all right and here I'm going to select my category so I'm going to look for my category and I can see the difference between a debate site category is going to have that globe a little bit meaning it's a global category for the app and if I see the person that means it's my my category I want to post into my Mac category so you can see how that would look if you have teachers and staff posting to my categories so we're going to go ahead and create our message now we can go ahead and add any additional media from our device this is a great reason to go ahead um and have create news on your phone because you can how your teachers and staff to share pictures videos and files directly from their phone maybe you've taken a picture at a pep rally or a video at a field trip they're not going to have to share that media with their computer and upload it from their desk tap or laptop they can simply upload it from their phone here they can also add that in-app content that we discussed here so I can go ahead and uh link to my calendar I can link to my contact to a directory folder any um information any content that you've included on your app features comes up here as an option in uh your um uh create news so I can go ahead and link to our map to let folks know exactly where the event I'm talking about takes place and they'll be able to go and open it in Google maps to find it if they're not familiar maybe I want to encourage people to send me a message if they have questions I can link my contact card so that they can go and um uh have send me a message if they have any questions I can go ahead and simply find my contact and then link that there let's go ahead test account for ease of time but again I can keep adding additional content here um linking any uh links pictures that is going to be helpful with my message now I'm going to go ahead and have those same settings things that we saw on the dashboard I can go ahead and review my summary if I'm in create news I'll even be able to preview my um my news story and then I can go ahead and send I know it's sending to news category in 1 app and I'm ready to go now I'm going to go ahead and be able to send another or finish and let's check out what our news looks like so here I have um the news that we shared to our summer school category we've got our headline our body we've got our image that shows up as sort of like a featured image in the news feed here and when I click this I can read all of the text and I can access that PDF file that I added along to this message I can download it or open it in my browser on my phone now with my my news category um you're always going to see the name of the poster and then the name of the air category and that nice little iOS 7 image shows up right there so it's kind of a nice to have there are many other places in the app where our iOS 7 image is going to be really important to add for Aesthetics purposes here it's just kind of a little um delightful touch and then we can go ahead and read our message and I can click it to access that additional content so if I want to know where is the school Cafe ah yep here it is if I need Google Maps directions it's going to take me to Google Maps so on and so forth the contact cards are also going to be really helpful to go ahead and um uh email this person open a conversation with this person if this person had any um my categories I would see here what they are and if I'm subscribed if I'm not subscribed I could go ahead and subscribe alright then if it's relevant to me and of course those messages will see in just a moment under conversations now back in our dashboard if you need to edit any of your news items you're going to come to your hamburger menu features and app news feed and here you're going to be able to see all of your news items if you want to pin a new item to the top you can go ahead and do that 1 item can be tinned to the top of the newsfeed at a time I can edit my newsfeed I can copy my newsfeed if I'm going to share a Spirit Week announcement um again next week I could go ahead and copy that and schedule that to send out next week I can also come and edit because let's say I have a typo or I want to add another image I can make all of those changes and come down and apply those changes and it's simply going to change um the those edits that I made but let's say my typo was more serious I put the wrong time I need to share the correct information with folks I put 4 pm but it's really 3:30 I can go ahead and click save and resend and now folks are going to get a second notification ation when um I go ahead and resend so I don't have to copy this um news item and double up in the newsfeed I can simply resend the push notification with that correct information of course I can also delete um and with my mind news I'm going to have the same options but I can't pin my messages to the top because a teacher's uh news can't trump our app Wide News and that is how you send push notifications to your news feed um and access 1-way communication within the app now in our feeds we talked about calendars so let's go ahead and look at how we add calendars to our app we're going to come to our hamburger menu and events now here I'm going to see all the calendars that I have in my app now you'll notice I can have individual calendars and I can also have folders of calendars if I want to add a calendar I'm simply going to come and click new I'm going to drop a name of this calendar maybe it's my summer school calendar if there's an iCal URL I have a calendar on Google on Microsoft and another icon how service I can go ahead and pull that URL and drop it here that's going to create a 1-way Communication Service communication connection so every time I create edit or delete an event on that IAL it's going to automatically be reflect on my app so that I can make things really easy for me if I don't have an IAL I'm going to be able to manually add events and I'll show you how now as with everything we're always going to want to give an iOS 7 image to our calendar here and now if I wanted to share this calendar with just specific folks again we see our secured access everywhere across the app I'm going to press okay to save and now I can come in to my summer school calendar to edit it by clicking View I didn't add an iCal so I need to add events I'm going to be able to add events manually by clicking create event or simply clicking on the day and adding my event information I can add the date the time so on and so forth I can add a location from my map feature to let folks know that's going to happen and when we add the location here we're going to have that ability for folks to open it directly in Google Maps so that's really awesome if you have the location Linked In Your iCal um then it will also display the location they won't be able to directly open it in Google Maps but they'll be able to copy that address and bring over to the maps of their choice if we have any descriptions hyperlinks images we want to add to this event if it repeats we have all of those choices I can go ahead and press okay to save my event now if I have many events and I already have them in let's say a spreadsheet I can come and import those downloading this formatted Excel file dropping all of my events um saving that on my computer and then dragging it here and that's going to populate my calendar now if we go back to calendars we can see all the calendars that we have I can open a calendar simply by clicking on the I I can switch between which calendar I'm looking at here if you prefer a list View to a calendar view um if you want to go ahead and Export those calendar events to save for perpetuity you have all of those options now when we get to app builder in just a moment we will take a quick look at how you can edit your menu options when I go to open my events on my app we can see coming all the way out of our news feed that we can see all the calendars that we have so all of those folders all of those calendars are right here on my calendar because it's pulling all the calendars from this feature every calendar that has active events is going to pull onto my app um so using folders by creating a folder and then moving my specific calendar to a specific folder is going to help folks be able to navigate all the different features we have here I'm also going to be able to link um this folder or a particular item as its own menu item on our app so its own menu item in the grid menu for the summer we can put summer school right at the top so folks that are in summer school can access that calendar with ease so those are all choices we'll see when we get to app builder now before we go there let's go ahead and take a look at Daily message daily message is a feature at the bottom of our features list and daily messages it reminds us right here are not push notifications they uh don't have secured access that means that everyone sees them at the when they come into their app there's no push not ation received just simply open their app and they're going to see these messages but it's a great way to complement the push notifications you send and the news feed um to send reminders today is block schedule a tomorrow is early release remember to sign up for parent teacher conferences or on the days that we don't have a particular um uh reminder maybe we want to go ahead and share a inspirational quote or um some sort of daily announcement we can go ahead and simply click on the date that we want to add our daily message I want to add today so you guys can see what um this looks like I'm going to go ahead and pull um a long quote so you can see that um you can add as much um uh characters as you need to your daily message the app will simply make space for this so I'm going to go ahead and pull my quote if I want wanted this to display multiple days in a row I could go ahead and do that if I wanted this to repeat every week I could go ahead and do that if I wanted this to display to my additional apps in my district I could go ahead and set that as so and I'm going to go ahead and save my message when I am ready and let's go ahead and see how that looks on our app and there we go we can see uh right under our slideshow build our daily message so that's kind of adds a nice little moment of delight in our app now we can also import similar to our calendars using a formatted Excel file all of the daily messages that we want to for for our high school app if I want to push that across multiple apps I'm able to do so let's say we have a really awesome month where remembered all of our announcements we added some really awesome inspirational quotes and we want to go ahead and save that for next year I can export record it next year switch the dates to match and the year that comes and then import it again to make my app management as easy as possible and that is your daily messages now let's go ahead and do a quick review of your conversations so you can know how these 2-way communications work so so far we've been looking at communications that we push out to our family conversations allow them to respond to us we're going to go to our hamburger menu conversations and settings so that we can understand understand how conversations can be set up we can make the feature available um at all hours or I can select specific days or specific hours that I want folks to be able to send messages let's say only weekdays from 6:00 a.m. to 10:00 p.m. now outside of these feature availability hours folks will not be able to send messages so that's something important to know also important to note that each person will be able in their profile to set their own conversation availability hours so you don't have to send feature availability hours to manage folks um work life balance I as an individual user can say I just want to receive push notifications Monday through Friday at 8 AM to 4 pm outside of these hours people can still send me messages as long as the features available they'll just see that I'm offline so that's the difference there now conversations is monitored in 2 ways 1 is an automatic keyword monitoring if I click show I'm going to see 400 plus words of profanity and all the possible spellings if I need to add any additional words that we need to monitor for let's say crisis words let's say um inapp appropriate words that are more um new maybe uh Tik Tok words whatever the case may be you're going to be able to add additional words to that 400 plus word lists and anytime those keywords are used across any conversation whether that be 1-on-1 group or public the folks that you put in alert recipients are going to be alerted so you're going to want to make sure to post at least 1 email maybe you want to put a few of your leadership team so that you have folks who are alerted when those keywords are used now you're also going to be able to self-report issues in conversations and I'll show you that in just a moment now every user if they have an unread conversation let's say I send you a conversation today and you never open it from me regardless of who you are in the app a student a teacher a parent at 8:15 the next morning you're going to get an email that you have an unread conversation reminder I can change that time I can double up those or I can disable them my translation is going to be uh on demand as default I can also change it to automatic um on demand let's folks receive the conversation in the language it was written and translate to the language of their app should they want to automatically is just going to translate it for them automatically of course I'm going to remember to save my conversations before I move on and I could save it for those other sites if I'm in a district app now let's move over over to our role settings because these are where things get really interesting here I can see every role and if these roles aren't so clear to you yet um go ahead and reach out to your communication specialist so you can get um some clarity on the folks in your people record everyone has a role that is logged into your app you need to be logged into the app in order to have a conversation because app needs to know who you are and here we're going to be able to say who can talk to who so by default my teacher admin and staff all my staff roles can have 1-on-1 conversation group conversations public conversations and can manage those conversations if I hover over this question mark it will clarify that managers can add or remove participants from any time from a conversation with whom with everybody so by default all these are going to be checked now me as a school can uncheck the boxes that I don't want folks to be able to open conversations with in contrast a parent and student um roles by default are not going to have be able to open group or public conversations so what that can they do they can open a 1-on-1 conversation with staff roles so they can open a 1-on-1 conversation with teacher admin or staff now if me as a teacher I need to bring in my co-tec with the parent I need to bring in that parent to to the conversation with the student opened with me um because our state requires parents to be present for that conversation remember you're a manager go ahead and leave on that setting and you'll be able to add folks to that conversation if you make any changes to your default go ahead and Save and then we can go ahead and start practicing conversations you can have conversations here in the dashboard or you can have conversations on the app it's exactly the same and a lot of folks might find the app more comfortable but for any folks that uh don't like to use their phone they're going to be able to have the same functionality here on the dashboard when creating a conversation I can come to my app locate the conversation feature I'm going to see all the conversations I'm currently a part of any that have um unread messages I'll see here and I want to go ahead and create a conversation and here I can create a conversation um with a group so I'm going to see all of my lists coming from either my classrooms or my target lists or I can open an individual conversation so I'm going to be able to go ahead and let's say open a conversation with my English classroom I can give that conversation a name if I want I think it's really helpful um to uh just organize your conversations maybe this is about assignment grinder maybe we want to organize an end of your pot and we use the conversation to discuss who's going to bring what I can go ahead and create that conversation and send messages send emojis can add pictures I can send attachments so a lot of different um functionality here now if I want to come up to my menu here's where I'm going to be able to see who is a part of this conversation and I'm going to be able to come and new participants if I want so if I need to bring in um another teacher an admin a parent a student I can add anyone to this conversation here when that person is added to the conversation they going to be able to see all previous messages so you don't have to bring them up to speed they're going to be able to see what is taking place in the conversation now furthermore I'm going to be able to report an issue this is the other way that conversations can monitored you have the automatic keywords and you have the ability for folks to report if a conversation is an appropriate if something um you know someone is bullying them if um you know they feel in whatever way that there's an issue in the conversation going to be able to report it you're going to see it in your dashboard as an admin and the folks that are receiving those alerts for keywords are also going to receive the alerts for the reported issues I'm also able to come to settings if I want to close this conversation that's going to um go ahead and not allow anyone to send any more conversations but they'll still see it in their conversation feature so they can refer back to whatever was shared so if a teacher wants to go ahead and send a message but not have the entire group be able to respond because that's how group messages work um everyone would be able to respond they can go ahead and close the conversation and if they need to open it again they can always come to settings reopen send their next alert here and close it again they can also delete the conversation if you don't want people to be able to see this conversation at all anymore then we're going to go ahead and delete and that's going to completely remove that conversation from everyone's apps how can you as a web admin review those conversations well you're going to come to your hamburger menu conversations and site conversations and here you're going to be able to see all the site conversation that have tooken taken place across the app you're still going to be able to see deleted conversations they're grayed out but I can see all of the details how many participants how many messages were sent the issues that were reported who was participating how many attachments were shared and what they were so on and so forth I can also review reported issues here clicking on that issue seeing exactly when it was reported so I can see where in the conversation um they might have been triggered to report that issue to help me identify what happened and those are your conversations we want to close out quickly just by giving you a very brief orientation to the app builder um you can go ahead head and uh work in The Help Center I'm going to show you how to access this to play around with all of your remaining features you can work with your Communications specialist with any questions you have and when you're ready to go ahead and play around with the way that your app is set up we've got the ability to edit our slideshow um to put some captions there to edit any of our menu items as well as our toolbar we're able to do that all in our app builder here in slideshow Builder we can go ahead and add additional images here are pixel um size limits you can simply add an image from your computer if you want to give it a caption that is where you'll put ticker text so the tinkering text we see here and we can even make this clickable so when I click on that image it takes me to this link um I have lots of different options maybe that that photo is timebound it's only relevant in the summer I can just set the visibility dates or um we just want to retire an image temporarily I can unpublish that image and then come back and republish it later making it easy for me to kind of switch up and refresh my slideshow without always having to add new images now my menu Builder has all sorts of items here and I can edit all of them I can change the order of my M menu item I can remove an item from my uh app builder menu here I can um limit who can see a particular item maybe my bell schedule I just want um limited to folks who are actively logged in and at the school can go ahead and do that I can um uh go ahead and limit even to a specific group of people in my lists here my target lists so a lot of different options if I want to create a new item I'm going to go ahead and create new I can create it in either section you can see we can organize our sections the sections are relevant just in our side menu here but can be helpful for folks uh to organize especially if you have a lot of widgets now when I add a minute and item I have uh several choices of how to add I can add a link um I can drop a link here if I'm taking them outside my site I want that to open in an external app I can add a feature so if I want to add all of my calendars I can go ahead and add that if I want to add my staff directory so on and so forth I can add a folder so maybe I want to just link that specific calendar folder about all things Tech I could go ahead and change the label of uh what this is going to look like on my grid menu and choose a nice iOS 7 image for Tech and now when folks click on that item they'll see the spec specific calendars that are in that folder or maybe I want to share a specific item uh let's say our specific calendar for summer school I don't want people to have to scroll through all the calendars to find summer school I simply want to create a summer our school calendar item I can drag it to the top so it's really easy for our summer school enrollment students and families to find that calendar give it an iOS 7 image and voila those are my different function options now we also have call and email but those are much more popular to use in your toolbar your toolbar has an uh maximum of 5 tool that you can add with the same function option um many schools and districts choose to link a phone number to call and in an email to link to so if I click that phone I can automatically call that number if I click that email icon I'm gonna open to Direction email to that email your website's your social medias um maybe you want to link Transportation information if there's a transportation number email or link um if you want to add a parent portal a student portal an absence reporting um mechanism maybe you want to situate um there's been cases of situating a substitute request form so that teachers when they need to request a sub really quickly we can go ahead and create that form in our forms here in our features and then find that form as a content link it here and then give it a nice little image um that uh looks like a substitute and just make it visible to our staff roles again you can have up to 5 making sure to save changes when you are done now there's a lot more to continue learning on your app I want to increase encourage you um to use the help resources whenever possible you can come uh to look at the help docs and this has a lot of screenshots to help you um jog your memory from today's session or continue upskilling you can also look for the uh small chat icon in the bottom of your dashboard where you'll be able to search the help center and open messages that message will open to Eddie our AI chatbot who's going to help you search the help center to find the help resource that's going to answer your question um uh you know immediately and if you still need to open a question with our team or open a tech support ticket maybe you need help with your um sync to your people records maybe you have some questions go ahead and open a message there you can also always come and attend another study hall session ongoing learning with your app please
