So today we're going to be talking about communication tools and the best way to get information across to your community as you can see here on our help center we have a quicklink at the top that has all the information about communication tools that you'll need and we'll be going over these today as well so let's go ahead and get started when you log into your admin here you're going to have all of the different modules to navigate to in order to get that important information across to your community. So let's go ahead and start with newsletters newsletters which was previously called the email sender is a great way for you to send out information via email in a really nice format so let's go ahead and create a newsletter here our newsletters will give you the option to create newsletters with images in them with your news and your announcements as well so when we click on new newsletter it's going to go ahead and open up all of our different templates here you can see the first two are going to give you the option to pull in your events calendar and your news feed or you can go ahead and just have it pull in the news. When we click on events and news it's going to prompt you here to add all of your content so as you can see on the left-hand column this is where it's pulling in your calendar events It has a little calendar icon here and then you'll see here the little newspapers and that's going to be your news so if we click add events we can select any of the events that are on our calendar to add to our newsletter So we'll add these three events here and you can see how they've been populated here when we come over to our new stories we'll click add news and just like how we added our calendar events will select which new stories we want to be pulled into our newsletter additionally anytime you see these six dots, this is going to give you the option to drag-and-drop so you can actually reorder your events or your news items. Anytime you see the little grey lines here that's going to be where you're adding in your content so just like in the page management area you can use our rich text formatting up here to further enhance the look of your content I'm going to go ahead and just add some placeholder text here as well and let's say we want to make this bold and underline, choose our color we can center that as well if you need to add any bullets or extra styling you can do so here We'll go ahead and add a little more down here we can also add some text here and below our calendar events here so now we can also come here and we can preview our newsletter before we send it out so when we're previewing here you're going to have the two options. you have what it's going to look like in your inbox here so you can see our events have been pulled and our news has been pulled here and you can also see what it's going to look like on a mobile device we can come back here and if you want to create your newsletters in advance and save them to send out at a later date you can do that as well you can click save and exit and then you can always come back to your draft and at that later if you decide you want to change the layout you can do so here and it's going to still keep all of the content that you've added but it's just going to reorganize it into the new template that you choose we'll click continue and then hear this is going to be who is going to be receiving this newsletter so you're going to the option to either add in recipients one by one if you have a contact list already created then you can choose the add existing or if you use CSV files you can add all of the email addresses from a CSV right here when you click add existing it's going to show you all of the contact lists that you already have created It'll go ahead and populate everyone that is in that current list that you selected and our subject line and again you have the option to either send now you can schedule it for a later date and time again if you're not sure you want to send it right away you still have that save and exit button so you can save all of this information that you already created and then send it at a later date so you can see here I've saved it we have it as a draft and should I want to come back and make edits I can do so right here in our newsletter all right moving along the next piece of communication that I want to talk about is going to be found in announce and it's going to be our news so you're going to have your news on your your news feed on your homepage and this is another way that we can quickly get out information to your families. so we're going to select add news and here we can create our new news story you have the option to set up multiple news categories so if you have let's say your regular news and announcements but then you also have one specifically for athletics this is where you're going to be able to select which news categories you want this actual news article to go out to I will give it a short headline the short summary it's just going to be max one or two sentences about what your actual news articles going to be about and then we can add our text and just like in pages and then the newsletter you have that formatting options here if you need to cite a source or links in one you can add that URL here you also have the option to add a photo and that's going to show up on your homepage wherever you have your news feed let's go ahead and add a photo here it's going to be the featured photo that shows up on the homepage I'm just going to go ahead and drag and drop our image here add our alternative text We'll go ahead and click save and you're going to have the option to either post this news article now or you can schedule it for a later date as well so let's go ahead and click save and this is going to be the screen that also gives you the option to easily push out this news article to multiple channels so if you have Facebook and Twitter integrated with your website you can push it out to your social media manager if this is something super important that you want it to be the first order of business when your visitors come to your homepage we can do a home page pop-up alert you can schedule this otherwise it will expire by default in 24 hours if you're using broadcast you can also push this news article directly to your broadcast. The school news app is also going to pull in your news and alerts and your calendar events and any of those announcements so you can push this out to the school news app as well and again the Newsletter feature we can go ahead and we can add this directly to that newsletter that we already created so when we come back to her home page we'll do a refresh here and you can see our welcome back to school news article is our homepage pop-up alert if you click don't show again it's going to go ahead and close out the screen so it doesn't keep popping up every time you come to the homepage otherwise clicking okay I'm going to make it go away for now but anytime you come back to the homepage it will pop up again or we can click read full story and you will see that article that we just pushed out to our news and announcements when we come back to the home page and scroll down your news and announcements section you can see here our news article is now in our news and announcements feed if we click show all news we'll see all of our news articles otherwise if we just click on this one it'll just open that article up you can see here and when we click into it we're directed back to that news article that we just posted Alright so our next area that I would like to talk about is going to be our Spotlight message the spotlight message is going to be the area on your homepage that is spotlighting one specific thing whether it's a principal's message or a mission and vision statement you can use the spotlight message for anything that you feel is super important that you want to permanently live on the homepage until you edit it again so our Spotlight message here right now it's highlighting our senior of the day but if we want to update this or are welcome back school principals message we'll come back to our admin we'll come to announce and Spotlight message some of you you may have more than one Spotlight message on your homepage so those will be listed right here. Today we're going to go ahead and update this one and then any of the content that we want here We can format our text If we want to add a different image we can just go ahead and remove this one and then just like we did before we can select an image and drag and drop that Add our alternative text If we want a read more link displayed, we can go ahead and check that and then you can name it whatever you would like this is going to be what it's defaulting to otherwise you can create a custom link and then we'll click save We'll refresh our homepage So you can see as we scroll back down to that Spotlight message we have our new image we have our title, we have our content and the read more link here so when we click on that it opens our Spotlight message Alright, if you haven't set it up already you do have the option to set up your social media manager so it will go ahead and pull you'll be able to push out those news and announcements to both Facebook and Twitter so to set that up we come to site management and setting and scroll down to social and then this is where you will connect both your Twitter and your Facebook we do highly recommend when it comes to setting up your Facebook account that you go ahead and you use the Facebook developer accounts. This is just going to ensure that your Facebook and your Edlio website is perfectly connected so that all of that information that you're pushing from your news to your Facebook account makes it to the right location we can also come to announce social media manager and after you've connected your Facebook and your Twitter this is where any posts that you're pushing out will live here so if you want to just go ahead and bypass the news feature and you just want to post something directly to your social media we'll do new post you can add photos you can add a video you can add whatever message you like and again if you want to schedule it for a later date you can do. So we'll click we're do a tweet and we'll go ahead and add a photo here this will be our featured photo for the tweet and our delivery options I want to post this now so now you can see I have posted my all hands on-- we are back to school and when we do some refreshes if you have your Twitter feed on your homepage you'll be able to see that tweet there alright and finally the most important communication tool that I want to talk about is going to be broadcast broadcast is going to be our three channel communication system So broadcast gives you the option to send out a voice message, a text message and an email directly from the broadcast module this is a great way to get out super important information to anyone that is in your contact lists and you can send one two or three all at the same time so when we click new broadcast you're going to see here are three different channels that we want this broadcast to go out to and let's say I just want to send it as a text message I would just uncheck email and voice click continue and then you'll see we automatically show where this is coming from so this will have your school name here and it is going to give the option for your families to opt out of receiving any future text messages default language is going to be the language that you are sending it from and you can see here as with any standard text message we're giving you 266 characters for the text message however if you go over it will send that text message in two separate texts so try to keep it short and sweet so you're not sending too many text messages to your families at one time we do offer translation as well so you're going to have all of these different languages that you can translate to. so we're going to go ahead let's use Spanish and click add and you'll see right now it's auto-translating so if you want to double-check to make sure everything looks good go ahead and click that down arrow and it'll have that auto translated for you and if you need to edit anything you can just go ahead and click in here and edit that as well we'll click continue and then this is where we're going to select the contacts that you would like this to go to so all of those contact list that you have previously set up that you're using for the newsletter email sender feature and any other contact list do you have set up you can either add individuals manually or you can select an existing contact list and then it'll show how many contacts are in that contact list how many text messages you have available and then if you'd like send it now or schedule to send the text message at a later date you will also have this option for the email and for the voice message as well So to wrap up everything that we just talked about our help center here has our communication guide and it is going to show you everything that we just talked about so that's going to be creating a page with important information, sending it to your news your homepage alert have a homepage widget have our email sender newsletters, your social media manager, the school news app and of course Broadcasts.
