hello and welcome to this edlio webinar my name is Taylor I am a trainer here at Elio and I'll be leading you through today's webinar on intro to Media so a few things before we get started is you'll notice that while your chat in Zoom is disabled your Q&A function is enabled so please if you have any questions throughout our session head on over to your Zoom menu if you see those 3 dots for um the more options to your menu um there you'll be able to access the Q&A and 1 of our awesome client success team members Danny is in the Q&A to answer any of your questions we'll also have time in the end for a live Q&A so again don't hesitate to drop any questions or Curiosities that you have in the Q&A secondly this recording of This webinar is going to be on the help center that's likely where you sign up for today's session I'll go ahead and um show you where you can find The Help Center during our time together today so if you want to share with a colleague if you need to get up to go to the bathroom take a call um we're excited to have you here with us and know that you're going to be able to review this recording there so with that let's go ahead and get started with the content today in intro to media in a half hour we're going to cover all of the media in your Sams so your photoshops your photo albums and your videos we're going to be looking at everything that's in the media module that pertains to your homepage whether you have a featured video or a photo Shuffle we'll get started looking at how you can end it that as well as how you can also store other visual assets creating a photo album or a video gallery that you can link to your site and how you can also link those videos um other places like your news so with that let's go ahead and jump into the dashboard all right so here I am in my uh School dashboard I see the name of my school up top and I'll be going into the hamburger menu to access all of the features that are available to web admins um that is the account that's going to be able to access your media um Shuffle in excuse me your media module that pertains to your homepage if you have a teacher account you're also going to be able to go ahead and upload photos and videos and Link that to your teacher page but today we're going to focus on media as web admin now heading over and over to your homepage you can always click the homepage button up here and take you over to your homepage you more than likely have either a photo Shuffle or a featured video right on here at your homepage so the most um seen media that you have so we'll go ahead and get started today reviewing how you can edit either of those options that you have here on our demo site we have a Photoshop so we can see um we have a few things going on some of our photos have captions I have the option as a user to go ahead and click through my photos some of those photo captions are hyperlinked can take us to um other Pages maybe a form some other information about in this case summer school so on and so forth I'm going to be able to edit here in my hamburger menu going down to media and opening Shuffles all right so here I'm going to uh notice my first Shuffle here um you might have multiple because you might have multiple shuffles on your homepage or you might have um multiple photos that you can go ahead and switch out on your homepage that might not behave like a shovel so the photos might not um rotate through in this dynamic Shuffle weight but maybe you have a photo um in your footer that lives here in shuffles and it's usually named pretty clearly as such um homepage Shuffle uh footer photo um if you have any hover boxes things like that so that is what you would see here in chapels if that pertains to your homepage design and even though that might not be a shuffle in the way that it uh rotates through photos if this pertains to your homepage um then you likely know what I'm talking about but um it's going to be here so you can go ahead and swap out those images in the same way that we are going to work with our homepage Shuffle at the top we're going to go ahead and open the category that we want to work with and here we have all of our photos in our homepage now um let's go ahead and just work with these 4 for now so if I want to add an additional image I'm going to come here to upload media and I'm going to be able to upload a picture of any of these file types from my computer or cloud service pay close attention to the shuffle dimensions and making sure that your photo is high resolution having your your photo as close to these pixel definition Dimensions excuse me is going to um definitely helped with the resolution of your photo now your photo being high resolution high definition does not necessarily mean it's a very large photo photo you'll notice each file can be up to 15 megabits each um but you don't necessarily want to upload a bunch of very large sized photos here as then your homepage is going to load slower for folks with lower internet connections so you're going to go ahead and upload 1 of those photos and then um it's going to to of course populate down here now we can have our photo um display in our Shuffle in a random order so every time someone comes to our site it's going to open to a new photo or your default is going to be that your photos are going to be ordered as such 1 2 3 4 and you're going to be able to Simply drag and drop to control the order of your photos wonderful if you need to delete a photo of course just hover over this trash can here and you can go ahead and pull that out of rotation now when you upload a photo um you'll come here to slide layout and you'll make sure that photo has sufficient alternate text alternate text is really key when we're talking about media as that is the principal point of accessibility of your site um when it comes to accessibility of your edlio site we want to give all photos and videos alternate text so that when folks that are using screen readers to engage with your site because a vision or cognitive impairment this alternate text is what's going to tell them you know show them what's going on in this image so all of the other texts that we have on our site the screen reader is going to be able to read and folks will have access to all of that textual information and we're giving them some visual information here with our alt text so if you have never gone through um your Shuffle alt text or of course if you're open up uploading a new photo you're going to go ahead and give the best practice is between 2 to 8 words of alt text no more than about 10 words now another tip here best practice is that if your image has burnt in text as my image here in the image it says back to school we want to offer that information back to school here in our alt text we'll go ahead and put our 2 date words go ahead and save no need to write anything in your alt text like image of as the screen reader will already um dictate to folks that they're looking at an image a few other things let's say you want to get a caption on this image we're going to go ahead and simply click here and enter our caption we can make our caption a hyperlink and the image a link ourselves a link itself and if you want to make this image a a hyperlink or make the caption a hyperlink or both would be my suggestion maybe we want to give a option that lets people know that the clicking on this image is going to take them somewhere such as please sign up for open house by clicking here so on and so forth we can go ahead and then um bold that caption um we have some formatting choices here and then of course our hyperlink option where we can go ahead and drop any uh URL whether that's outside website or Insider website let's say we went ahead and created a forum for folks to sign up if we wanted to make the image a hyperlink we'll go ahead and click link and again enter that link address here clicking save if we move down to slide transitions here we're going to see some of those choices that we saw on the demo site for example are we giving folks arrows to click through the photos maybe a carousel option to see a little tiny thumbnail of the photos numbered slides dots so you can play around with what looks best um for your images on your homepage design you can even uh go ahead and indicate on what side you want those dots to land so again what looks best with the design of your site and for your needs or if we want to give folks no navigation control then the image will simply be on screen for the duration we have here that of course we can go ahead and use these plus and minus symbols to adjust finally we have the transition Behavior so how photos transition from 1 to another we're going to be able to go ahead and um choose between the options in this transition drop-down you can then go view on live site if you want to make sure that the changes to your Shuffle or to your liking everything looks good to go then make sure to go ahead and save those changes here and that is your Photoshop all right if you have a featured video um at the top of your photo of your homepage or maybe you have a featured video somewhere um embedded in your homepage design in order to go ahead and uh adjust indicate which video you want to pull into your homepage we are going to go to our hamburger menu media and videos and again in both um video and photo albums we're going to see this personal versus School bifurcation again personal is going to relate to um folks with personal Pages AKA teacher pages being able to also um whole videos from the web or from their computer and then link those to their teacher page we'll focus on our school videos today which is going to allow us to edit our feature video on our homepage and if that's not the case for a homepage design we can also come here to upload videos for a few different destinations 1 is that we can then pull those videos onto our new stories you can check out our resources in The Help Center on news if you have any questions or want to refresher on how to create really compelling news but let's say you have a a video from a really awesome pep rally you want to go ahead and attach that to your news without uploading it onto YouTube or Vimeo you can use our uh video service here within your CMS to go ahead and upload that and then pull that video from your video gallery here in your dashboard to that news a third way you might use your uh video here within your media module is for your video gallery and we'll get to what that looks like in just a moment let's first go ahead and review how to upload a new video or audio we're going to come and click our new video or Audio blue button on the right hand side and you're going to notice we have 2 options we can either upload a video from our computer in this case um it's just giving us the ability to pull that from our device we have several accepted video and auto audio file types and each have a Max file size of 2 gigabytes um you can have unlimited number of videos in your edlio CMS so that's a really awesome benefit and each up to 2 gigabytes which is a lot of capacity that's up to 2 hours more or less of high resolution video um folks uh with lowered Vis Video Revolution resolution have fit whole school board meeting videos um onto their video gallery so on and so forth once you upload that video from your computer we'll go ahead and give it a title and again that alt text description you can also give a description of the video itself and then the CMS is going to do all of the other accessibility work for you it's going to autogenerate closed captioning just confirm if this video is original language is English or Spanish um and those closed captions that are autogenerated are going to automatically generate transcripts once you have all that information we can go ahead and save Now list file in featured videos versus recent popular video listings and search this is going to relate to how it displays if you use that video gallery option that we're going to review in just a moment if your video is already on the web then you don't need to necessarily download it and re-upload it or um embed it directly into a page or news however those are both options so just a pro tip you're able to go ahead and pull videos onto the web and embed them into your little video gallery as we're going to do right now but if this is just a video that you're pulling from YouTube from Vimeo that relates to um let's say a page or maybe to a news story in all of our content blocks you can use the um media option to automatically embed a video right within your content block if you have any questions on that again head over to the help uh help center and check out resources on news or um come out and and attend 1 of our upcoming trainings or study halls on pages and we'll go ahead and show you how you can do that this again is if you want this video um in perpetuity in your video gallery we're going to go ahead and identify video on the web that we want so here we have our a Leo video that we want to go ahead and share I'm going to click that share button click embed and then go ahead and copy all of the embed video code here I'm going to head back over to my dashboard and drop that paste code here I'm going to give this video a title if I want to give it a description um you'll notice that I don't have any accessibility uh options here I'm relying on the closed captions that are already attached to that video wherever I pulled that from so YouTube Vimeo Etc so you want to go ahead and and make sure that you reviewed that video to have sufficient accessibility settings already associated with it and then we'll go ahead simply pull it on to our video gallery as such and voila for a video that we have uploaded um from our own computer we want to go ahead and review those closed questions because it is um you know the uh AI That's going ahead and pulling those closed captions and it doesn't always get all of our intonations correct so we want to go ahead and review those closed captions as a best practice when we're uploading those videos after you've saved your video how can you review those closed captions we'll simply come to your 3 dots we're going to uh edit the video 3 dots across our dashboard always helps us edit and I can come down and edit my captions here so maybe I have some grammatical errors Texas proper nouns aren't capitalized it made uh 1 Word into 2 words didn't quite um pick up on our very human uh intonations there we've gone ahead and saved those changes and we go back to the video our itself and we'll notice that by default we can um make sure that this box stays checked where all changes make to my closed captions those those little important edits automatically reflect to my transcript so now both resources are going to be correct wonderful now going back to your featured video on your home page if that is you you're simply going to make sure that the video that you want to displayed you want displayed is clicked here such that the status is a blue star that says featured in place of just active what if I want to switch my video simple I'm going to go ahead and unclick that star the page is going to reload I'm going to identify the video that I do want pulled onto my homepage and then it's again going to reload and I'll notice okay great my desired video is now my featured video if we look at the video gallery itself so that link right there what are we going to see all the videos that we went ahead and had marked as featured are going to pull to the top and then all the rest of the videos that I have in my video gallery on my dashboard are going to populate here in chronological order of how I up uploaded them so most recent videos and we can go ahead and again link this video gallery somewhere on our site for folks to see for example to our site navigation menu Etc all right with that let's go ahead and check out our photo albums we're going to go to media and to photos our last remaining item in the media module so our photo albums can um look a few ways can go ahead and have a bunch of photos in 1 shared area or we can create sub albums that help us organize our photos just like with our video gallery if you want to use either of these features you want to share this media with your school I would recommend situating these features on your site navigation menu so a quick review about how to do that you're going to go to your hamburger menu down to site management and up to site navigation and in this case we're going to go ahead and find where we want um these uh media to be situated on our site navigation menu we're going to go ahead and click new item and they're both here in our hamburger menu meaning we're going to be able to find them here as a feature page we're going to go ahead and select our feature and pull our photo album on to our site navigation menu That's to say in media with your photo albums um with your photos these are albums that we're creating for folks to view these are not photos that were holding on uh you know in our dashboard to then use on our Pages or on our homepage these are external facing photos that we're going ahead and creating we can go ahead and create a uh a sub album let's say we want to go ahead and start to create albums of our athletic seasons and then once we create that album simply we start uploading those from our computer or cloud services here are accepted file types then we can go ahead and pull all of those on once my photos are uploaded I'm going to need of course to put alternate text and if I want I can also include a caption so you're going to wait until your photos are completely uploaded and here they are and then we'll go ahead and click see all photos which is going to take us to go ahead and drop that alt text again best practice 2 to 8 words so we'll go ahead and add this really quick clicking the little alt box at the top we'll go ahead and save do we want to give this a photo a caption in which case we want to go ahead and click to edit caption and we can go ahead and drop our caption in and we'll go ahead and save that caption if you want to rotate your photo you're going to be able to rotate clockwise or counterclockwise so on and so forth we can go ahead up here next making sure to add our alt text for all of our images captions again our optional alt text is mandatory if your accessibility settings are turned on which we always recommend that they are so you can take full advantage of the accessibility settings that come with your CMS and make sure that your site is ADA Compliant and there we have it we have added photos to our album um so let's go over to our website and see how these albums versus the photos that we have have in our main album look let's go ahead and find our photo album feature page on our site navigation menu and I can see the albums that I have created are going to populate above any photos I have in my main section so I can click on that swim season album and there are the photos that I've created we can see if I click on the album excuse me on the photo that I uploaded here I've got my action at the bottom I can go ahead and filter through those photos now back in our photo our uh photos here in our dashboard if we wanted to have more photos in the kind of main photo album so we click photo album and you see these photos without clicking any particular category you're going to do exactly what we just did but upload here under where it says main this is the main album and then you'll be able to do again the exact uh same thing upload those photos from your computer or cloud service give them alt text and captions if you want to edit those later simply click the photo I can scroll down and click to edit caption so on and so forth I can even go ahead and change those move those photos if I want to a different position between the photos I have here so um while this doesn't have the drag and drop um that you see throughout the dashboard in other places you can still move this by going ahead and clicking move oh let me go ahead and click move to my last photo position 4 and there it is all right but let's say you want to go ahead and create photos for different departments for different um programs or for different pages and not necessarily have all your photos on this same page here my last tip before we go ahead and open the Q&A is that you don't only have your main photo album your main feature here through your media module you can also go ahead and add a many photo album to each of your page sections so we're going to go into page management let's say all of those Sports photos I want to move to my Athletics page instead of having them here in my main photo album to keep my main photo album for all school events for example wonderful let me go ahead then and find my athletic section and here add a photo album to this section so you're going to have a new page and add a photo album I already have a photo album added I can go ahead and add photos weather in my main album or in a sub album in the same way that we just created those sub albums in the main photo album area and now my athletic section is going to have its own mini photo album let's go ahead and see what that looks like so when I open a page in my athletic section and then I scroll down to the photo album here I just have the photos in that album that I've created so I can come back to my dashboard and add all sorts of photos there um that are just specific to sports I want to go ahead and add alt text all of those things so that they show up again so that if you feel that you really want to use the photo album feature but you don't want to have everything all in that 1 uh common album you're going to be able to create those section specific albums in page management in the same way that we've learned today upload that photo give it your 2 to 8 words of alt text go ahead down um make sure that's saved and then that will be now in your athletic section so with that we have gone through everything that we um have for you today in the media module um I want to remind you of the to link these separate photo albums for example have all of the element middle and high school albums drop into a district photo album that is a great question Lisa so um I'm assuming from your question you already have created let me jump back over uh here to our dashboard it seems like you already have um from your question created photo albums in each of your school's sites and you want to go ahead and uh link um in your District site all of the albums from each of your schools so each of your schools has photos in their own cms's media unfortunately um you would have to go ahead and uh re-upload the photos if you wanted them all in the same photo album let's look at our better example here if you wanted the photos to be displayed like this from a cross elementary middle and high you would need to bring them into the district's um Media School photos however um 1 option that um I think would be your best solution is going ahead and grabbing the URL of the photo album for each of the schools so you again you can easily grab that URL by uh going to the photo album linked on a site navigation menu even if you only link it to go ahead and grab that URL and then on your District CMS you can go ahead and create maybe a page section um let's say you want to call it photos and then you go ahead and in that page section let's go ahead and just create 1 of our sections for for these purposes let's say we want to call these districtwide photos we'll go ahead and add that section and we'll go ahead and add a new page linking to each school's photo album oh excuse me by dropping the URL here and then we can say these are the elementary photos saved and we do the same thing with middle and high and so now we could even make then uh link our own District photo albums we have all of them in um our uh new District photos section and as far as how you link that to the site navigation menu it can really be the same linking your photo problem you would go ahead to your site navigation menu and now uh link this District photos section from your page management I hope that answered your question thank you very good question if there's any klar applications please feel free to put it in the Q&A we'll keep the Q&A open uh a few moments longer so get any last minute questions in there another reminder that um if your accessibility settings are turned on you'll always get that missing alt text alert and it will not let you publish any media without giving that alt text if you don't get that alert as a web admin then maybe you want to go ahead and turn your accessibility settings on that's going to allow you to go ahead um and always be reminded and take off the um you know mental load of remembering oh did I make that page or my Shuffle or XYZ item accessible because it will always ask you you're going to go to site management to your settings right here your second item is accessibility and make sure your Ada settings are enabled you can read a little bit more about that and save that here if you want to learn more about the um accessibility settings in of your edlio Sams and how to make your website as accessible as possible definitely
