Website management is more than updating content on a school website. It involves using your school website as a means to achieve your communications goals. 

Website management includes: 

  1. Following your style guide to maintain consistency across your site.
  2. Maintaining website best practices concerning navigation, visual layout, and content organization.
  3. Ensuring website accessibility and preserving ADA compliance.
  4. Verifying correct spelling, grammar, and tone. 
  5. Checking for broken links, outdated documents, and accurate school and staff information.

Instead of creating and monitoring a process in-house or hiring a full-time webmaster, our professional website management team can do it all for you. Our Content Autopilot team makes the website management process easy and affordable.

We have found that requests usually break down into two types:
 
1. Content Provided: Do you have the specific content updates you need to be done? From adding news items, updating board members, or even creating new pages with content you have - we can add it for you. 
 
2. Content Creation: Do you need a welcome letter from the new principal who can’t seem to find the time? We can write it! We can go through pictures you just uploaded from your phone and pick the best ones, and even find a place for them on the website where they will get appreciated! The key is, don’t spend too much time thinking about it; just let us know what the end goal is, and see what we can do with it. 

 

Examples of content that we update:

  • Static content (history items, department pages, policies, etc.)
  • Dated pdfs or documents like publications (e.g., newsletters, strategic plans, press releases)
  • Board agendas & minutes
  • Links to external sites (unless they are broken)
  • Photos
  • Online forms
  • Videos (if files are provided)
  • New calendar items (within the past 12 months)
  • New News/Blog items (within the past 12 months)

 

Excluded Content:

  • Teacher & Class pages
  • Homework
  • Widgets
  • Clipart & Gifs

Your school’s voice is heard through your website content, which includes: word choice, style, tone and content, along with the design. Here are three important aspects to school website copywriting:

  • Tone: Be positive and conversational. Avoid educational jargon and terms that parents may not be familiar with. Avoid third person and passive voice. Be friendly and inviting. 
  • Audience-focused: Each page’s content should focus on the needs of your audience. What are they looking for? What questions should you answer? How quickly can you provide the answers they seek? Nothing should be more than three clicks away.
  • Professional: Have your content proofed for grammar, punctuation, and readability. Create or adopt a style guide, and make sure all contributors consistently follow those guidelines.

We have a team of people who are available to take the updates as they come in and get them on the site right away. This usually means the same day, but we say no more than 48 hours with the exception for larger projects, which will be assessed on a case-by-case bases.

The team is available to M-F 9 am-6 pm CT, and any requests submitted on the weekends will be handled first thing on Monday (unless this is a holiday, in which case it will be handled on the next working day)
