Learn how administrators and teachers can use various Edlio Websites communication tools. We share tips for using tools including the School News App, Email Sender, Social Media Manager, and News. These modules are included with your Edlio Website and can help you more effectively reach your entire school or district community.

Hello everyone and welcome to our My Edlio help webinar! Today's topic will be communication tools and I just want to remind you that as we are learning together you can always ask a question using the chat window and we have a tech support representative here to help so. As we get started again our purpose today is to go over all of the communication tools that can be found on your Edlio Content Management Site, and our goal with communication especially during this unique time is to keep informed and Times of in certainty. So there are lots of ways that you can use your CMS to communicate out with your community on the first place that we're going to begin so if you look at your admin site you can see all of your modules in the middle and any time you click on your logo. Your modules will appear so today we will start by using their hamburger menu and we will start the First Communication tool that we will go over today is to under the  Announce tab News and Alerts. So when we click on using alert we find this is a place where we can quickly post a news article that will be pushed out and available on your homepage immediately. So we will walk through one together if you click on the blue button add news. You will first be prompted to choose a headline so the headline that we would like to choose is remote learning starts Monday March 30th we want our community to know this is the Day begins. And we would like to you have three different options so you can add more content more details. You could link to a file by uploading or dragging a file here or you could link to a page that you have previously created. So for this purpose we will just add some more content and we will scroll down and let's add a photo I apologize. Welcome to remote learning and we have options we can post now or we could choose to post later today or another day. The post will expire on a certain day if we choose that so for this we will just post it now. And because we have our alt text enabled we must add alt text for this photo. And then this will enable us to submit the photo onto our site. So we click stay and now we will go in and manage our news-item. So there are lots of ways to announce this news the first one we will I will show you as social media manager. So if you click on social media manager, this gives you an opportunity to connect your social media accounts if they were not previously connected. So it will direct you to our settings which is also found under the hamburger menu site management and settings and you can connect your account so this means this news item will go directly to your social media feed. Let's return to our other ways to announce this news let's practice creating a homepage alert. A homepage alert is used for more urgent news you have the option of editing or turning it off at any point. So when we click on homepage alert if it lets us decide when this alert will expire, so default is 24 hours but we would like this homepage alert to show up until the day that remote learning begins so let's choose that. And we want it to expire in the evening in case someone gets on late, so when we click post this will now show up on your homepage and I'll show you the moment. So we go to our homepage and we refresh and now any visitor that comes to your site will see this pop-up and they will have some options they can click okay, they can click read full story or they could collect don't show again. If they click okay the pop-up will show up any time that they returned to the site, if they click don't show again this means that it will disappear forever. So this gives visitors a chance to see this is very urgent news we want you to see this first so let's click okay, when we go back to our homepage alert we can choose to turn it off or we could also go on and edit this at any point. The next way that you can announce news is broadcast so lets talk about what a broadcast we'll look like. A broadcast is a chance to send out an email to send out your news item as an email a text message or a voice alert. To get information multiple areas all at the same time, so as we create a new broadcast we're going to tell a community that remote learning starts Monday March 30th and we're going to choose email. When we click continue this gives us the opportunity to compose a message, to choose our centers. I'm sorry are recepients and as we we could preview the email before sending it out to see what our visitors will see. And then when we click continue after of course we've used all of the formatting options that are available you can hyperlink part of your text so we click continue and connect it to a contact list. So for this one we want our parents to know about remote learning beginning and let's send it now. Every time you use up send a broadcast email you get a report on this status how many people read the report, I'm sorry the email. Very helpful tool you can download it. So two other options for broadcast you could also send a text message which is limited to 160 characters, this is this is sent to only contacts you've included their cell phone numbers. The other option is a voice alert and with voice alerts you have two options. One you can record your own voice or two you would receive a robocall and add your text-to-speech. Visitors your community would receive a robocall if you choose the voice broadcast. So let's go back to announce and under news and alerts. So we still have our same news-item and we're just talking about different ways that we can send that out we've talked about social media manager home-page alert and broadcast app alert is another option that you have here using the school news app and the school news app has been activated for all of our Edlio customers. So please speak with your client success specialist if you are interested in learning more about how to use your activate and use your school news app. This news feed is published, I'm sorry pushed to your communites phone anytime a news alert is added as long as it's activated by the parent. They will receive a notification, you will also on the new school news app you have a calendar section and it's much easier than logging into the website to find out about the news that's available. So we would like to send an app alert to be pushed to your community's phones. Let's return to the last thing that you can do with a news item. Under announce, is email sender. Email sender is a quick easy beautiful template that you can use for sending out email newsletters. You can use a contact list that you already have created or you can manual add your recipient. So when you have his template you can click on the green box and then go over to add news, and it lets you automatically pull any news items that you have previously created whenever you click on the gray you are able to edit and add some text and I would love to tell my community about receiving our weekly School newsletter. And another opportunity to add so you can preview the email and this gives you an opportunity to see what it would look like on different types of devices. This is what the email newsletter will look like when your community opens up their email. They have an opportunity to unsubscribe or manage their preferences, this is what it would look like on a cell phone. So let's return to our message if we would like to make any edits we can still do so you can save an exit so that you can send it later or you can click continue and please take some time to look at the other layouts that are available. So when we click continue this is where we get to choose our recipients. If we have a contact list we've already created for example we can use our parents again or we can add from a CSV. A coma separated values template where you can add contact information. Your client success specialist will be able to give you more details about that. And again you have options to send now or send later so let's send it now. So lets add we had a problem with one of our contact list okay. So we will figure out why that isn't sending I think there must have been a mistake on one of the email addresses. So let's return to announce, under a hamburger menu we have finished our news and alerts section. The next point that I would love to go over right now is Spotlight messages. So if everybody could go to hamburger menu announce and Spotlight messages. And I will close out of some of these. Okay. So we will go to Spotlight messages when you look at your homepage. Every Spotlight message that a CMS is given it's coded on to your homepage so this is something you need to speak with tech support or your client success specialist about is a section on your webpage that highlights something specific. For example some people use this as a place for principal message some people would put a mission statement for their school and I've chosen for this one today to have a section for information about remote learning. A lot of schools are starting remote learning either this week or next week so this is a great thing to do with your Spotlight message so I will show you how to update your Spotlight message. So when you go to hamburger menu and Spotlight messages, it shows you which you've already been given so we would go into our mission statement and we would have to edit it to change it to be something else because you're given a certain number of Spotlight messages. And this is a place where you could go in and edit if you'd like to change the name, you would change the name there if you'd like to change your text you can do so there with all of the formatting options. You also can attach a photo by dragging your selecting and have a place for additional files. So let's go in and look at what it would look like to create one for remote learning, so we changed our title to remote learning starts Monday March 30th by clicking on the pencil we have the text that your community will get to read when they see that. Due to the closure we're continuing by use of online learning. You can attach a photo, that will be a read more link which means it's continued once you click on the link and you get to choose how the link opens if you wanted to open on a spotlight message or on a custom link. If there's another site that you have so let's choose Spotlight message page and we will save it and this is what it will look like on your homepage. So once you click remote learning homepage this will take you to a second page. Within your a CMS, where people can go to find out more about remote learning. You can build your section menu for each content area to have their own page, but this is our landing page where you can embed PDF for your policies and procedures. And just give more information so that is our Spotlight message. The next thing that we will look at is I'm going to show you how to add a homepage widget to your site. There are two different types of homepage widgets, so again lets go to our hamburger menu and scroll down to homepage widgets. And we have two different types of widgets, a widget is a small button that will live on your homepage. And this is a way to get information out very quickly to any visitor. Their attention is pulled right to this widget so the first one that I want to show you is a form widget. You drag it onto your home page and you would have to go back and forth to adjust the perfect location. This is a place to pull and collect information from visitors and gather into a contact list. So we went to call our form widgets something, so lets say sign up for news letters remote learning here. And you can choose which fields need to be pulled which are require and which are hidden. So if we've chosen this and then they would click subscribe and the last thing that you have to do is select a contact list where all of their formation will be pulled into. So we can create new list called remote learning contact create a new list and now when we click save changes, we would go over to our home page and refresh a few times and now you can see in the left hand side sign up for newsletter on remote learning here. And the visitor would have an option to minimize it by clicking the X it would turn into a narrow and then make it return to it. The other widget that you have available to add to your homepage is called the Button widget so let's talk about that. When you drag the button widget again you have to choose the location perfectly, this time we're going to label it. We would like to give our visitors a button that shows them exactly where to go. So we have under academics and you get to choose where to place those we have our remote learning page. So here I'm going to select all I'm going to copy and then return and paste my link here. And I get to choose if this link will open as a new tab or if it will open the link in the same window and I'm choosing as a new tab. As soon as I I will return to my homepage and there's my button. And I would like to adjust the location just a little bit, so I'll scroll and move it down a little bit click save change and hopefully be in a better position. So now if a visitor comes to my site and they know their student is starting Monday, they can click on this page and automatically receive information. Another thing that you can do with the button widget, you can put a link for an external site as well. So if you have updates from your school district or from the state about different things you can link as well. So we now understand how to add homepage widgets. And the last thing I would like to show you before we finish today is newest platform. So again just let me wrap up the CMS side everything that we've done today can be found in announce: news and alerts. These are where the news and alerts are it works items are and another page management homepage widgets. These are the main things that we did today so these are the two places that you can go. So today let's over, to this is our newest platform for parent engagement. And if you are interested in this you can speak with your client success specialist; this is a parent engagement platform which is different from I guess the distinguishing factor is communication versus engagement. Communication is I have something at an information point transmit to you and you receive the information and when we talked about engagement we talked about it being a back-and-forth I'm truly getting to see both sides. The parent side and the classroom side. So this gets out information quickly as well and it provides a space for parents of students in a particular class can share on this feed, very similar to a social media feed. How learning is impacting each student. So the community can download this platform on their mobile phone or computer they can participate in the conversation feed, they can receive notification settings whenever something is posted they can communicate via inbox with their child's teacher. And there's a translation feature that assist teachers and communicating with parents, who might speak a different language than them. So they would go into their language settings as soon as they set up their account and scroll down to language. And if my parent has traditional Chinese if this is the language that they feel most comfortable in they would change their setting to Chinese traditional. And every email in their inbox would be read in Chinese traditional. And every time they type a email it would be in their language however; when their teacher opens up his or her inbox they would be able to read in in there language preference. So this takes away the barriers that make it very difficult for true connection true communication to happen between a teacher and a parent. So as you can see Edlio Engage provides an opportunity, for example to go on a virtual field trip. Since we are in a unique situation right now, students can join they can receive a calendar invite telling them that this day at nine o'clock, we're going on a virtual field trip and then when they arrive to the edlio platform all the information would be in the feed in the feed ready for them to use. So at the last thing I'd like to show you back on our admin site is our help center. This is always the place to go to again that was next to your account drop down box. You have your help center and this is the place to find out about the upcoming webinars. We do have some coming up in the next few days so make sure you scroll down to see the next events. This is a great place for you to see past webinars that are recorded, you can watch the webinar has any time you have something you need to learn more about or you have questions about. You can click search here and type in something like how to add a calendar event, how to find your spot light message and it will take you immediately to a page that can walk you through this process step by step. The last thing that you can do on the help center. You can view help articles which are very helpful to just browse and see all of the catergories and find out which ones you need to learn more about. And you can click on it and again it will have videos embedded and other links that connect you to places. Under notifications you always want to make sure that if you have a notification right here that you click on it because this is the most recent features that have been added or any kind of updates that come directly from Edlio specifically for you.
