In this webinar recording, we show you how Edlio Pay simplifies how your school or district collects and tracks donations and fundraisers.

Good morning everyone!  Thank you so much for joining us today for our Edlio Pay webinar.  Today we will be covering Edlio Pay and specifically focusing on how to create various donation products as well as fundraising products to be sold online to parents and community members. We have a technical support representative in the chat today who can answer any questions you may have.  The webinar is being recorded and will be accessible in the Help Center. So we're going to go ahead and get started.  So just a brief overview of Edlio Pay. It is the solution to offer to your parents or community members to be able to pay for school fees online.  Here is an example demo Edlio website where you can link directly to the web store right from your website. Under the Online School Payments this also entails the Management Portal.  So as school users you have access to create these products to be able for the parents to go online for sale and purchase through the web store. So that is the brief overview of Edlio Pay and what all it entails. So we're going to log in and start off as a bookkeeper and talk about donation items. Going to select my school.  We're going to be using Sunnydale High School. Under the the Management Portal under transactions.  We will click on OSP products. I have a product already set up here, but it's for donations to school. I'm going to click on edit so we can talk a little bit about this product set up. So it's very easy to set up a donation. This is a very simple, straightforward donation. The circles with the red circles with the arrows are the required fields.  So we have the activity name as donations.  Our sponsor, the available dates for it to go online for sale. Sorry about that.  I was not sharing my screen.  So now you should see under transactions, OSP Products, and our donations to school.  So we've got donations, we've got our sponsor teacher, and then our price type.  So the variable price is what we have selected for this item.  Meaning that the purchaser is able to input the amount that they would like to pay. So one person could pay $100 and the next person who purchases the item could pay $50 because we're leaving that open to the purchaser. We would choose our fund account.  So with your accounting program that you were using at your school, you would be able to enter in the exact account number for easy reporting purposes. So you would click on save. We'll take a look at this item in our web store.  So when the parent or community goes and browses to the web store, or to your website and then links to the web store.  They will click on their school name, and we're using Sunnydale High School, and we'll find our donations. So this is our donation to school that we looked at on the management side. We can click on it, add a description.  This is for band donation, and this is where we can enter in our price.  So we can type in $50 as a variable price.  The next person could type in a $100, and then add it to the cart. We also can set up recurring payments. So under the product, under additional options.  We can set up a donation to be a recurring item.  So for example, I have created a recurring donation for Sunnydale High School. So we see this to you and you can put that in the name if you would like.  So you can have your regular donations, and then you could have recurring donations. So will click on donations.  We do need to add in a description, for athletics. We can put in the price as the purchaser, and this is where it's recurring.  It gives the purchaser the option to schedule their next payment.  So they can choose to have the money hit their card on the first of the month.  It will tell them their next scheduled date, or the 16th of every month.  Once they add that to their cart, at any point once they check out under their account, they would login., and go to their account profile here, and on the very bottom they have the option to review any recurring payments they have. So you can see here that the next occurrence for the charge to hit my card for the grand total is for those recurring donations.  At any point they could cancel that donation, or edit, remove, and change that card for the donation to charge to their card. So that would be the options on the web store.  We're going to go back under transactions and OSP products. Now we're going to walk through creating a donation with various options.  I've had a lot of conversations with a lot of schools during this time around donations and it would be nice to be able to have a donation that has multiple options of a payment.  So different price variations within the main donation.  So what we're going to do is we're going to add a new activity, and we're going to call it donations for Sunnydale. We'll say this one is $10. We'll put in our sponsor/ teacher of those donations. We'll put our available dates for sale and then we can see the choose our price type. So we're going to type in $10. We're going to choose our donations account, and then we're going to, we don't require student ID for that.  So we're going to click on Save, and now we're going to copy this item. So we've made a a product here for donations, and we're going to simply use our copy function because I'm going to add other various prices. So I am going to say that this one is for $25, and all I need to do is change the price,  update any of my description, and then click on save. We'll also do another copy, and will add one for $50. So again all we need to do is change any description here, the price, if you had various fund account differences within your options you could do that as well, and we will click on save. Now what I'll also do is we'll add and other.  So we'll copy our product. I'm just going to say this is a other.  So basically I'm going to change this, and update Donations for Sunnydale, then have other.  So this is a this is going to be an open price. We'll put in our email, available dates, and then we will change this to a variable. So within our options, we can actually leave this open for the purchaser to type in their amount. We'll click on save, and then we can copy, and also make this recurring.  An optional recurring. We'll click on save. Go under additional options, and make this our recurring payment, and then click on save. So at this point, we have created a $10 donation item, a $25 a $50, an other with a variable price leaving that price type open as well as a recurring donation.  So if we go to our web store. Under Sunnydale High School.  You're going to see these as all different options. So you're going to see the $10, the 25, the 50, other, and recurring, but wouldn't it be nice to add all of those options under one product called donations for Sunnydale? We can definitely do that on the management side. So back under, to our Management Portal, we can go under transactions, and OSP product variations. We will find the exact donation that were looking for. So we'll click on edit. So we're going to make this donations for Sunnydale the $10 one our main product, and then we would name our list name. So basically what you're choosing from, from the drop-down.  So I'm going to name my list donation price options, and then I would come over here and add the various products and ID.  So I'm going to label it for $25 and then I'm going to label this one for $50, Then any other items that I would like to add I can do that here. So we'll click on save, and now under Sunnydale if we scroll down and we click on our donation for $10.  We now have a $25 option and a $50 option.  So you can make various options here for your donations. So back under the Management Portal, you can also do a fundraising options. So under transactions, we'll go click on OSP products, and we'll say that we're doing a popcorn fundraiser. So we'll scroll here.  We have a long list, but we're going to use our popcorn fundraiser for all flavors, and we'll show you what this looks like.  So we've created this product.  We're saying this is the main product for all flavors.  We've assigned a price, and generally when you're using a base product here, you would want to put the price or the most price that is the most common that the parents or purchasers would chose.  So you would, you know if it's $10 that they're going to purchase, or some sort of flavor, then make sure that you put the most common price here. Then if we go back under transactions and our OSP Product Variations, We'll choose our popcorn fundraiser for all flavors.  So we can see here under our base product, we see our check mark that this all flavors is our main product, and that is what will show in our web store. So if we click on edit, we see that we've got our list name how we did with our donations.  The popcorn fundraiser and it's all flavors.  So we have added these three additional products. So we did a fundraiser for cheddar, the Chicago flavor, and the movie theater butter.  This is the label that we have added that will show in our drop down. You would click on save, and then under the webstore; we go to Sunnydale high school, and we're wanting to purchase that popcorn fundraiser. We now see it here.  Popcorn fundraiser all flavors.  We would click on that, and then this is where they could choose which flavor that they would like to purchase. So if we want to do the cheddar flavor. We could say we want two of those, and then we would just simply add that to our cart, and then we could continue shopping. If you wanted to, on your web store under Sunnydale High School, add a category for donations. You would be able to do that as well.  So these are user-defined at your school.  So we have school fees, we have field trips, and we have school clothing. If we click on one of these categories, on the management side we have added these products specifically to school fees. So if we go back to our Management Portal, we can set up that category type.  So under transactions, we would be able to go to OSP category, and we can add a new category. We're going to say this donations. So all donation items for purchase would be our category description.  So basically what is the purpose of this category, and then we can go through and find any of our donations that apply to this category. So we will add our donations for $10, our Sunnydale for the other, recurring, if you've got a food bank donation you can add that there. Any other recurring donations, anything that you're collecting donations for and then you would click on save. So now we have a new donation category. So if we go to our web store, we now have an additional category. So as a purchaser if I'm going on to Sunnydale High School, I can click on donations, and then I'm able to see the donation options that are at Sunnydale High School to be able to purchase. So if I click on Sunnydale other, I can put in my price type, and then add that to my cart. You'd be able to do same thing with fundraising if you went to the OSP category.  You can create a new category.  You can add in fundraising, and put in if it's for the new school year. Then again pick and choose what items you have for fundraising. So we're just doing that popcorn fundraiser.  So it's just a way to make sure that you can give the purchasers a streamlined purchase experience to exactly what they're looking to purchase.  So now I've got my fundraising.  I can click on it, and I've got the popcorn fundraiser going on, and we can access that item there. Under the Management Portal, you have various reports.  Under reports you can always run the activity date range and it will show any purchases made within your date range and the exact item.  So if you're doing a fundraiser, and you're curious, you know, if anyone has purchased that for a certain day or you know throughout the week, you would be able to run this activity date range report to see all the items that were purchased. You can also do that by running a sponsor teacher report as well.  So if you have the sponsor teacher that is in charge of the popcorn fundraiser, you could choose that sponsor/teacher, and then look up their specific product, and this example this is a field trip, but you would be able to see all the purchases, and the grand total of how many purchases, and total collected. So very easy way to look that up. Back under reports. Under Additional Reports, we've got transaction reports.  So you can come run a transaction based on product. So you can choose transaction by-product, put in your date range, Choose if you want to see product per page, and then you can choose to see your donations.  If that's what you're looking for or if you're wanting to see the sales for the popcorn fundraiser. You would be able to choose your items, and then report on those specific products, and what has sold. So that's for a scholarship and then you can also see these recurring donations. Back under additional reports, you can see transactions by product variation. So if you're wanting to look up specifically the donations made for the $50 you can run that by specific product variation.  We also have various product reports to show fund accounts, what category they are part of, what variations they have selected, and then various reports for export friendly directly to Excel or CSV file.
