hello welcome to I might have videos of the okay webinar today I will be going over how easy it is to process a refund so it's going to be a pretty quick webinar but really Vital Information regarding refund so I today we will be going through that in the management portal it don't worry if you get pulled away we will have a video of this presentation available in the help center shortly and if you need to ask a question please click the chat box and then you can take your question in the chat window and will either answer them at the end of the webinar or as we go and also if you do not get your question answer today we do our best to follow up. All right so we will get started I'm going to stop sharing the presentation and move into sharing the management portal here in one moment all right so you should be seeing my screen again here is Mansion portal where you would typically sign in if you have done. bookkeeper Basics training before they should look familiar to you if you haven't we do encourage you to take the bookkeeper Basics training as it will go over all of the you know first level of how to set up products and all of that but this is the management for you will see the SMS management portal up here it is ugly okay and is the same thing verse in the process of streamlining The Branding found the right we're going to login so I'm the bookkeeper at Harbor High School and I login I go to the dropdown select my school click login alright 10-hour login so we will go up to and go to payment inquiry okay so with refunds if you already have the order number you don't need to do this step of getting going to in Korea getting the order number but let's say that you don't know the order number for the you can go to inquiry and then payment inquiry to pull that order number so you can process the refund so we can search by student name here so we will search by student last name, first make sure that you leave that spaced out I'm doing just type the name in Click the magnifying glass and here we can see all of the transactions that have been made for Daphne Conrad so it we can process or okay so we can also see when we do the inquiry we can see the in a little bit of a highlight of the information regarding the order so we have the order number the date of the order to make the purchase what school was for they paid the amount that was paid the subtotal and how much of that was the fee to this is the total this is how much they paid for product this is how much the fee was charged the grand total and then if there was a refund over here there will be a refund in the right-hand column disease that have a $0 there has been no refund processed those that have an amount over here on the right hand side there was some type of refund that was processed okay so that's how you can pull that information order processed in order to process that refund so we will go with you disorder right here see what this is for June 11th to the date all right and so we can see that there is a field trip to Jamestown and donate to the library that was purchased under this order number and let's say we're going to refund this field trip okay we know nothing's been refunded because nothing is checked here on the right if there was a refund this box over right would be checked that was already refunded so we will just take the order number right here and copy we can right-click and copy or you know ctrl-c and then we want to go back up to the top and go to transaction and then refund and then we can Pace the order number right here in the Box clicked a magnifying glass and now we've brought up a transaction with the information we will click detail Emily quick detail a box pops up with the information about the order we can get a donation to the library and the field trip now I can mark this box and refund all of the items in that transaction needed accidentally process it more than once I can mark the individual transaction that I want to refund and I can also marks the box but put in a separate total maybe you're only refunding half you know for whatever reason you know me it's something worth like if you can't block her certain date we do a partial refund something like that in this case we are going to refund the whole field trip okay so we just click that box the amount but pop up here and then over on the right we would write the so we could say field trip cancelled and then in the Box we could say no longer having field trip do you choose closure or something along them lines are due to school virtual only whatever you want to put in there and then we'll cook refund over here on the right and then it will ask me if I'm sure if I want to refund the line item that I selected for the order I'll click okay another refund will be processed it will say the order number that has been refunded and returned so that means that the parent will now eventually see this money process onto their card that they used to make the payment with it may is not going to be a media it can take a couple days because this go through whatever card company to use for their visa MasterCard but that's how you would process that refund now I showed you how to run that inquiry on how to find the order number another way to find the order number is the parent can actually pull it if they go to the store to the parents tour she should be here and then they click the person up here for their account they give them sign in and then they can see the list of all the where's that they placed and so they could find order number here as well and look at it and be able to tell you which order number they needed in order to process a refund also if they go Hughes order tribe I know so if they go to an order that's been refunded see probably okay yes it said they going look at an order there's been a refund when they score the bottom it will also show them here that a refund has been processed so if you processed a refund for them and they're waiting for it to show up on their card they can always log in and look at their or their order history and scroll down and they can see that that's been refunded okay so that's also an option as well to pull the order numbers or for the parents you get that information now as far as you once these refunds have been processed you may need to run forts for you know a certain activity that you're refunding the whole thing I'm in order to do that you can come up here to reports and then you could do a couple different things so you can either run the report based on the spot teacher activities and so I can sponsor teacher cartoon magnifying glass then you can run this report and see all of the purchases that have been made for the field trip so for example we have this kindergarten field trip here maybe this kindergarten field trip where you need to resend it to we need to see everybody who made a purchase for that field trip we can then run this report and see all of the purchases and make sure that we can play all of the refund for that okay so that is a possibility and that will give you that real-time report another thing you can do if you can come to report and do the activity Rings report and here you can run based on the date so if you know what day let's say that we're doing is for the school closures for example we know what day we were selling items for something that now we need to re-sign to everything that within that window so we could go back to the beginning of March through today and click display and this report will show you I'm all of the purchase that were made by date for every product so you can see what still needs to be refunded for purchases that were made within that date when dough and if it's already been refunded it will show up over here on the right under return with an R so this these tickets have already been refunded as a field trip so you can also use this report to see a date range and then again just as you would any other reports you can export it up here by clicking the rectangle with and exporting it as a PDF or an Excel document for you to sort and then one other report if you want to really boil it down to specifics you can go to report and then all the way down to additional reports and then run the transactions by-product products Electra port and click display and then here you can choose you know the date that you know the product went on sale real you know you can get through today you can select how you want to sort this report and we do have more information about reports in the at the okay Health Center we have trains all the different reports that you can run just as a reminder and then we can just go down here and find what you know maybe we're resending this whole field trip to school 9th grade field trip so you would highlight them all moved them over to the right okay and then this shows with all the transactions that need to be refunded for these field trips so you can also use this report as well and again once you're done you can run this report and it will show you if they've been returned over here on the right and down at the bottom it will show you the total number and the total amount and then additionally any information regarding refunds will show up on your statement so that's about it
