Alright, everybody. Thank you so much for joining us for this My Edlio webinar. My name is Danny and I am a member of the Client Success Team. Now let's hop right into today's topic and that is a little spring cleaning the birds are chirping flowers are blooming yes spring is here and what better time to clean up your edlio admin site than right now with a little bit of spring cleaning and today we're going to highlight how administrators can home theater admin site with Simba's Pride has to clean up any old Pages outdated users are user content and so much more of this will make the transition into the end of the school year so so so much easier and I'll help you get a head start on the work ahead right let's get started all right now I am logged in as a web admin here on the Elio College Prep site we hop over here this is Ed Leo College Prep looks just like any other edlio site here so you can scroll through the site they will be using today and this is the admin site that will be making all the changes through now or when we were talking about spring cleaning in a while I think we're the best place to start is with your user management re-evaluate who has access to your admin like here so let's hop over to user management we can get there by going to the hamburger drop-down menu going to State Management user management okay awesome know this is user management here yours might look a little bit different this is a demo site for us here at at at Leo so we have a quite a few a Adam Interiors might not look like this usually we only see like maybe like 1 to 3 when I'm in per se but against yours might not look like this here we have our web admins down here we have our regular users know if you are a regular user when you log in and what you see it's not going to look like this is going to be a lot more limited you as a web admin you have access to you know a lot more of the site to edit so really you know the the few that were sitting right here is for web admins when is hot back over to user management okay now the first is going to look at your spring cleaning is it does everybody that's in your user management that is a web admin should they be a web admin and one of the things that we do really preach here is he a make is as far as website security is watching that down right we we only want to give people access to the entire set your who should have it lets me know somebody is just going and maybe there's editing a few pages that are their own personal Pages or maybe they post news they don't necessarily really need to have full on admin access to the site we can go ahead here and just give them access to specific parts of the Citrus the section just the news feature calendar feature things like that so show you how we can go ahead and do that it will do his will go and we'll go ahead and click into a profile here right now again I am logged in as the super admin account for this site and what does that mean as a super admin username admin every has a user named Adam that is going to be your super admin really the only difference between a web admin and a super admin is it the super admin account is the only one that can add or remove admin privileges to anyone on the sea do you have to be logged into the Super admin account to do that was so you are aware that many you login I need don't see that those permissions there you are not the Super admin again has to be username admin in order to make these at these changes so I'm going to go in here profile let's say no for Savannah here we don't need her to be a full-on website admin we just have Savannah here editing a few categories in a few sections of your page management so I can go ahead and just keep her privileges at as a regular user and just go down here so I want to hear and unclipped her website admin a checkbox here down here we can give her specific at access different sections or when a full-on category here all right it's cool. So these are all of the pay. These are all of the categories in sections within your page management scroll down here again Ian is a lot of action here in Toledo College Prep you might not have this many categories in sections in yours scroll down here we can go ahead and add additional at an access privileges we can make them and give them the ability to go ahead and edit sir news category different event categories for calendar things like that different site white features that we have in our future Pages a we just want them to build accidentally okay then like that is where we can check that off so we don't have full on admin access we can still give them access to specific admin a privilege has we'll go ahead and say that so next time Savannah logs and she's not going to see everything that we are seeing here right now she might see if these things cuz I will give her access to some pages but she's not going to see all of this because she's no longer a web admin back over to the user management you can also get there a hamburger drop that many before here also scroll down here to Siteman user management the next thing I want to do is show you the staff directory for at the Au College Prep I remember your user management ties back to your staff directory anyone I stood here in your user management can be added to your staff directory we go in here what if their profile come down here to user type if we check off these here they will be added to your staff directory this case right here Mister Johnson he is not added as a staff member cuz he's not checked off into these boxes here I'll go ahead and I have as a teacher save that all right go back in here so we can hop over to the staff directory for the easily this is what the staff directory looks like right now so again these are all of the users here an attitude user management as we scroll through here statue of trees are critical to your site and ensuring your community can find everything and everyone they need is important has to be up to date movies surprised how often we find schools they said aren't keeping their staff directory up-to-date now let's climb through here now let's say we have somebody a user who's no longer a teacher at your school no longer a staff member but they're showing up here senior staff directory go ahead and check those boxes that I just showed you before that we did for mr. Johnson or I'll show you how we can go ahead and either disable lock out or delete a user will come back over here to our user management all right. You looks like Misty flowers hit this person is no longer an employee at the school in the moved on to another opportunity what we can do here is going to edit profile all right we scroll all the way down here all right. Here we have our account status this is where we're going to be able to disable lock out or delete an account right here what is the difference between the three all right now what's that we wanted to keep the users content on the site their their teacher pages their personal Pages we still want to see them in the staff directory but we do not want them to be log into the DMS here as a user we want to go ahead and lock them out right here cannot login all right now let's say we do not want to see their teacher pages on the the public site we do not want see them in the staff directory we do not want them to log into the CMS this is going to go ahead we going to disable there we can still go ahead as as adamant go in and your check on any other the content any pages that they made As Weapons we can still do that if we just disable their account we go down here to delete we are deleting everything we cannot we will not be able to recover their Pages nothing like that we're removing them from the staff directory usermanager everything so you don't really only had to leave here for a full nuclear disabled and walked out are probably are better options if you know you're going through spring cleaning you're still not sure if you need to pull any content from their their personal Pages these might be your better options here again getting on whether this user has gone on to another opportunity or or whatever the situation may be now next up will come back over here like teacher management romantic over here to the staff directory real quick sure how we have some users that have other pictures but the other ones they just have this the silhouette here this Grace silhouette know if in your user management here user does not have a photo what is their profile Elder Shabazz that gray silhouette a lot of schools they want to have you no pictures everywhere for everyone some schools will have the admin going and add those pictures themselves will have the users the teachers login and add their other profile their profile photos themselves works best for you you know but in this case I'll show you how you as a admit to go in and edit the profile of the users you can add a profile photo for them here so come down here let's go ahead and will do sir I will so here we can edit their profile how to make sure he's a teacher and showing up in staff directory there at a photo work over here at this pencil icon or we can go out here and select a photo looks like for my computer upload or photo of mr. Alvarado here all right you can crop the photo if you like Ron Centric that's right crop and safe over here to the staff directory let's see you'll go find there's Mr Alvarado right there fresh this come down and there is Mr Alvarado photo there there we go going into his profile all right so you going to have you cleaned up your user management you've disabled locked out or deleted and the user accounts that you didn't need do you made any adjustments to use the permissions that you needed to be added a new profile photos that you wanted to now it's going to take a look at site navigation to school up here to our site and have a lot of schools that we see we'll just keep outdated content on their website not a good look not a good idea that's the Scorpions Here we have ice this all looks pretty good here with over academics looks good their activities that right there I am seeing things right here all from 20 21 22 it is not a good look to have is that this is from two from spring and summer of last year so this is not a good look to have this year all right the top back over to our site nav will go ahead and remove those items so though hamburger drop-down menu State Management set navigation all right we're going to scroll down here leave these in activities here so we have these School clubs for a 2021 spring / summer 2021 clubs and activities 2021 summer camp spot what's go ahead and delete these cuz then it is not a good look for us to have these in her say navigation all right we're going to say that what's come back over here and refresh their ice we no longer have those outdated activities here under site navigation one thing to note though just by deleting those site nav items those pages still live in the CMS we have to go and delete those pages as well while they might not be up here people might either have them look more after they might go search they still might be able to find those pages so we want to go in and either delete those pages update them for 2022 or unpublished and we'll go take a look at how to do that now so they'll hear the hamburger chop that menu management Pages all right and what's the I know some of these were here in clubs and after-school activities all right how to read a 2021 Club fair day I know this one this is isn't happening for a little while here but this one we can go ahead and unpublish this so that way we go on publish that we can come back to this page we can edit it updated whenever we want but it just won't be searchable right now so people won't be able to access that Pages since I'm publishing it we're not deleting it we still come back in the updates and the 2022 Club Fair Day rolls around we have the opportunity to go in here and just make any minor and is that we want to it so get we're going to unpublish that we do not have to delete it all right we come down here soon fall activities 2021 this one this is just the 2nd I want to go in here what's a down here I know we're not no longer to have this fall student organization fair in the future so I can actually go in and delete this page right here I'm going to keep this chess club in annual tournament page up here we won the the the tournament last year we want to keep that one up from not going to unpublish that one I'm going to keep that there for now but what I'll do is I'll put update distance to fall activities 2022 and we'll leave it as is for now take me back over here summer camp 2021 why don't we do this summer camp every single year here and you know it's just about coming up the time for registration for that so instead of dismiss or on publishing publishing yet I'm going to go ahead and edit it now so I'll go ahead I'll take that title will come in here all right just go through where we have to make any updates all right I will update the dates here that makes sense for this year is go through anything else that needs to be updated or updated to 2022 again goodbye to just go through any continent is the updated go to your page management go through the fine tooth comb you know even if you just bring it up break it up a little bit at a time just finding these things can be helpful and again makes your school Community think that you know you you have a vested interest in this content you know you want to keep it fresh you want to keep it updated right which is the other goal of all of us right now we might not have time to do this but he's doing a quick come over like this you know twice a week I can go a long way in just making sure your site is up to date and gives your school Community the most up-to-date information I could publish that there but I already went ahead and deleted this page Merced navigation I want to put it back in there let's go back over here I want to go ahead and add this to our side navigation work on these three dots at the site navigation alright automatically in a populated here in the most bottom container here I'm going to want to drag it up cuz I want to put it back in that activities citing a container that we have to keep going up here with staff parents we could have put it there but I want to put up your activities here we go put it right at the top save that I said is now back in an hour navigation to maneuver fresh air refresh again boom boom right there at 2022 summer camp spot updated content ready to go and ready for our parents to come in and sign their children up for the 2022 camp all right now just about wraps things up for today I not get into the highlight of the two places we think are the most important to look at when doing spring cleaning for your site your user management getting in there and just seeing who is Adam produce who know who has access to what are trying to limit that as as best as you can adding a profile photos going in and making sure your staff directory is up-to-date and have any photos there that you like and then I threw your page manager been going through you know it's easy to keep adding content out the year and not remembering to go in and seen any of it but whether just unpublishing a page deleting a page or updating content on it you know it's it's completely up to you I understand navigation as well checking through there making sure that is all up to date I want to thank you all for joining us today we hope to see you at the next one take care
