Alright, everyone I think we are ready to get started! Thank you so much for joining us today for this is very special My Edlio webinar-- The Broadcasts Breakdown: A Crash Course in School Communication. My name is Danny I'm a member of the client success team here at Edlio today we are joined today by are super talented at technical support team member James he will be in the chat meaning of amending the chat today if you have any questions please feel free to throw them in there as we kind of run through beat webinar today how you can put them in the chat Q&A feature whatever works best for you now as we go through today's webinar again you know you might have some questions and then please feel free to throw them in the chat I was going to join by someone else here in just a little bit will get into who that person is in just a second a very special guest we are very excited about today's webinar now we're going to be covering and Leo's super versatile add-on feature broadcast we'll show you how this to allow Zevia website admins to send out voice text and email alerts all from your edlio admin site now we all have a number of takeaways after the last couple of years I think one of the biggest one is just how vital a direct communication with your school Community is and I threw as many channels as possible and your area website is just one way for your school or District out to accomplish that I want to focus on taking that to the next level right I want to show you how you can accomplish disseminating that information with broadcasts all right now let's go over today's agenda going to cover what is broadcast and how you can use it for your school second part of the agenda today very exciting we are going to be joined by a Leo broadcast Superuser Mario Matos from Maspeth High School in Queens New York City their hours talking to him about his experiences with broadcast awesome best practices tips and tricks for making the most of your broadcast experience and not last but certainly not least we're going to pop into the Ed Lee ocms and check out broadcast in action and also will send out a phone call text message and email and one shot together so you can see just how it works all right I know what is broadcast is a one-way unified communication to a fully integrated with the Helios EMS and send out a text voice mail and email messages, starting here at it is a multitasker delivery system that text wasn't you know district and schools can quickly reach out to parents or other members of your school community events in and around school and classroom at broadcast delivers messages cell phones landline email addresses call the primary message Target is parents Guardians things like that anyone can be subscribed with a phone number or email address the contact information to send out these broadcast these messages comes from your existing contact list in the early ocms using an SIU student information system to manage the school contacts they've already integrated that into your at Leo CMS you are good to go so they school closures delays announced that over broadcast I'm special events things that you want your school Community to attend reminders things like that send a broadcast also a real quick as my point out we have a new feature or a new feature has been out for a couple months now but Auto notices are you'll have asked and we've answered we now have all the notices if I could play the Hallelujah Chorus I would hear is that other notices is a scheduled at data-driven notification systems districts and schools can integrate with their there yes to automatically send personalized messages for things that is like attending a boat lunch balance alerts over email text and voice calls at the nice companion piece to broadcast here all right now real quick and how it works wraps going to jump into see what this looks like in person here in a second what's the quick rundown now the first thing to do is select your channel choose email text boys are all three or you can choose that you two going to just do email text no boys at any any combination of the three you can do that's going to go in and compose your message we offer a robust translation feature in there as well you can makes your reaching all members of your school Community are then from there you going to go in and choose your recipients again that is coming from your contact list in your  get mad so you want to make sure those are built out time again already have your sis sync with it that is great that you are good to go you just pull that Lister from yes I guess it's like that as a recipient when you're going to send out for broadcast message now I was a little cool over here on the side one of our very satisfied customers to how useful and user-friendly as they do broadcast is all right but now let's get into the real start the show today lets me a real-life broadcast super user so we're kind of straying from the normal webinar format today normally do you know we have cameras off and we're sharing screen to think like that but today I'm going to turn my camera on and they see here we have Mario his camera on as well Etsy hello Mario good to see you when you got to stop sharing my screen here on my screen that you how you doing today Mario we good thank you so much for being a part of this webinar today we really really appreciate it by the beer awesome tell us a little bit about your school and your your role there Maspeth High School the New York City public school we have approximately 1,100 students 80 teachers my role here is the webmaster on the social media specialist what channel is New York City School District we have contact for technology related stuff also the Google Enterprise liaison for the school with with the deal we talk like you are a lot of hats there a lot of rules very busy. How long have you been in that role I've been here since September 2011 awesome awesome okay okay now I know how long has mess with been with Ed Leo summer of 2015 on since then we did a redesign about three years later 2018 and I'm pretty sure where do for one's Terry Smith awesome yeah I'll share Maspeth High School site here in a second actually to now because you are a broadcast Superuser on yah we we saw it usage and you'll have a really really utilize it in a way that that we saw was was a truly impressive and was kind of wanted to get your reaction your your experience with it look at top top question at what channel do y'all use the most text voice or email the most in order text email and then voice connect with your school Community it's definitely helped us connect with our parents were in the past before covid PTA meetings took place in person we were lucky to get 10 people here on On Any Given night the very first time we used broadcast to let parents know that we're going to do a virtual meeting PTA meeting we had over 60 people there awesome so I guess you don't time you've been in a really kind of such run up there but how have you seen communication with your school Community change and evolve since since you know so the entering this role when we started it was basically sending paper home with students and open that that paper in their backpack would make it to their hands going to trust their lot of trust email became General 1 Avenue to use of what we ended up trying to help parents get email addresses to that wasn't a choice but once the broadcast feature was made available through that gave us the opportunity to go further with our robocalls and it was the first time we were able to send text messages and the input that we've gotten from students in particular is that sometimes it's a text is the best way to get our our messages out and you know within 15 ft away from there so I'm sure that is absolutely the best way to get in touch with people typically I know you've touched on some like what type of announcement are you typically making with broadcast notifications school-wide if we had anyone who tested so that was a constant message that went out to our to our school Community we send out notices about the PTA meeting we use broadcast to announce that our newsletter is ready for viewing what I have planned for tomorrow and Friday is that we're setting up a a live stream for our graduation so we're going to use broadcast to get that message out and send the link out to the school community to join our hands and your graduation so I'll set it up early send one message out so that everyone is aware that it's happening cuz we have been asking questions and minutes before the event I can see stop at Bass and minutes before the event I can have it go out again with the link so if they forgot you know I don't know where to look for it I saw it somewhere they'll get a message just before the event sent the message get right into the graduation cover your bases and make sure you're getting as many eyes on it as possible unlock a great great use of broadcast tricks that you can offer Tina anybody watching out there on some factors of the school should consider when crafting it emergency communications General communication like to their communities I would definitely are recommended for emergency situations in our case we've used it when we had to go remote because we had so many covid cases in our building so we use broadcast the last time Ali's know we're closing the school. I'm out of time this is how your students in children will access to their classes we used it for a notifying families of weather-related closures on and that we were going with that most recently or are who was in a shelter in condition and we use broadcast to get the principal's message out of all the families as to why we were in that shelter in addition what I would definitely recommend schools using broadcast is the translations that's been a game-changer for us the department of Ed here has translation services but requires sending them a document and waiting for somebody to review that send that back go through channels where he is just a flick of you know the three dominant languages that are all within our families here and we got that message message out in those languages not only an email but as well as the text message and the voice translation has to go it sounds like I'll midday really great use of it I'm glad to hear it is going so well at Mario thank you so much again for being here today again now we're going to hop into the other ocms and take a look at the broadcast feature you again so much for doing this take care alright good luck everyone thank you thank you bye-bye OK and Leo Ms cures for Elio College Prep now we're going to do now is hop in and create a broadcast message together you can see just how easy it is all right now. If we hop up here into a hamburger drop that money you can get there by going to announce and broadcasts only going to be active if you are you have the broadcast at on future if you don't have unfortunately will not be active for you right now they're going to get there from the hamburger shop that menu broadcast or we can go right here an ounce broadcast all right it's not working from the top here like I said that we have that auto noticed His companion feature here really great tool I get for sending out lunch balance alerts at 10 and flirts things like that and it would come down here we can see all of the previously sent a broadcast from this school are you going popover actually build one out together will send it and I'll show you some additional features here that we can look at like the reason we review it and then report the messages sense as you know see if when my message was delivered things like that y'all so you want to go in unless they are going to be I'm sending a message multiple times like that Mary was saying you know how he'll go in I have send a message and then as it gets closer to that event date will go in and send a reminder message in go in and just copy that message again you can easily send out the top over here to New broadcast all right now the first thing you want to do is go ahead and give your broadcast a name all right so for this we're going to be doing it at summer school program write out the beauty that you can send it out to choose how big or small you want your audience to be right it's all based on your contact list so you can send it to your entire School Community, all parents Guardians School Employees Etc ain't you particular group that you want that was all based on your contact list in the CMS they were sending out a reminder to all parents of parents and guardians of students who are attending our summer camp this year we want to make sure everyone has their bathing suit and towel ready to go to this broadcast name it's going to put the pool today reminder right now down here we're going to select our broadcast channel Auto Select soft or you just want to do a taxi can do that but in this case I want to go ahead and choose all three on a make sure his car I'm coming as many bases as possible all right now here are your default language for all this is going to be the language that you are typing your message in down here whatever the message you were sending it in that's what you want to watch for the default language is important if you're going to be using the translation feature all right so this feature down here what are the initial language to translate that front alright want to come down here from going to choose who this email is coming from you can set this up in your setting to see if we have some more time at the end of the webinar we can hop in can show you where we can set that up I'll bring my shoes right here meet Daniel Benson will go ahead and add that subject the whole day remind I'm down here so this is for our email channel here this is where you can go ahead and add the message here that cool it with the email function here as you have more options for formatting that you can add photos things like that are we going to keep our message short and consistent for all three channels here to go down here will go ahead and add that translation Spanish and then here we were also selected to make sure that Spanish translation you can go through and add any other translations that you like but we'll keep it simple today and just add that Spanish translation will go here text right there we can see it is Auto automatically translated here for us each channel will come down here with two options we can do here for the the voice call we can go ahead I can answer my phone down here will call me and I can go in and record a message I can play it back listen to it see if I like it I can re-record it if I want we also have this text-to-speech function than here which one I'm going to use right now if you want to use the Auto translate feature do you want to use this text-to-speech function down here all right and I can't we already have that auto translated here give it a second looks like it is there we go all right okay so we have everything set up here for email text and a voice call to go out let's continue all right now we want to go ahead and are recipients for this broadcast message now we can go in here if you are already know the name of the list that you want to add instead of here you can select all right where you guys go through gear and you can search all your list here I'm going to be using the summer camp 2020 to contact list and this case is only one contact in his list. Do you have more in yours but this case just for demonstration purposes rather than have that one contact down here we choose to send it now or like Mary was saying before you can actually choose to send this later so let's let you know again you know you're going to be reminding people of an event at you know do you go ahead and schedule list to go out at a later date and time we're going to snow this now and said look at that just like that I sent out an email a text and a voice call click of a few buttons there in multiple languages there let's see here I actually have my phone right next to me here I have that phone call coming in gentleman fashion Espanol alright pretty cool all right and I can confirm right now I got the text on my phone here as well I know what's hump back over here is Broad a screen here all right that's going to take a couple minutes for this to upload this one will stay sent three out of three right up here but let's go in and look at this one I was sent previously down here we come in the here we can review the broadcast we can go in and see we have here the initial message and the translation this is what that email looks like I can't even see what it looks like text and the boys call you can go in there and see that I have to go back over here we check out the report all right and again confirmation here when these emails text and voice was sent out and received from their recipients are pretty cool to come back and here as well let's see all right there we go we have the confirmation letter that sent three out of three for all three channels all right.
