We take a look at all the tools at your disposal, as well as some tips, tricks, and best practices for building out exceptional staff directories.

all right everyone I think we are ready to get started thank you so much for joining us today for this my edlio webinar my name is Danny I'm a member of the client success team here letting the best ways to Showcase you were amazed staff while also giving your school community and easy way to access teacher pages or the ability to email staff is really up to you decide which information to show you know choose from different layouts an order your staff by Department's position first name last name and I will be looking at two different ways to build out a visually appealing and easily accessible staff directory first we'll take a look at our Legacy staff directory that is the staff directory what is a feature page listing all the members added to your user management that have a user type checked off from there we'll jump into our super versatile staff blocks feature which gives you a lot more flexibility when building out a cup some staff directory will also take a look at staff directory options some best practices tips and tricks and ensuring that your school Community can easily access your beautiful new directories alright so let's jump in you can see here we are locked into an admin site I am logged in right now as a web admin which is important for our next point which is where does the staff member info in your staff directory or staff Box come from to do that is your user management that had to get there we go up here to the hamburger drop-down menu will go to site management user management all right and anybody that is listed here can be added to your staff directory and it does not mean that everybody list here is automatically in that staff directory let me show you what I mean by that all right so we stopped in here I'll click on this user right here 1 hour auto click edit profile right here under user type all right in order for someone to show up in your legacy or main staff directory they need to have a user type so I think you're right so if we on track that that means that one out right here will no longer show in our staff directory I but we want one in there I'm going to go ahead and check off teachers again to make sure he shows up in our staff directory now I'm some instances where you might not have someone checked off that you don't see no you're super admin account in OS a used to have a standalone web admin account that maybe the multiple people use situations like that is when you wouldn't have a user type selected so wouldn't show up in your staff directory all right Jen your users here anybody here can be added to your staff directory right so if you want to start building out your staff directory get users in there you're going to have to add users here for a more exhaustive look at our username function here are we have plenty of pre-recorded webinars be checked the help center you know you can get a much more in-depth look at our user management tool they're all right but now how how do you find the staff director here at cuz if I'm going through all these features here I'm not seeing the staff directory right you're going to find it down here on their site management staff directory okay that you don't need to click that it's not going to bring you to a page where you can edit staff directory you know anything like that so we have our directory options up here what you got to do in a second but right here at this is where you can find the link for your staff directory someone to click on that all right and this is the main staff directory edlio College Prep here are as well there's that one out of that that profile we just jumped into their will scroll down here why do you see here all the profile pictures we have Circle we have their first last name we haven't ordered here by looks like last name then we have the option here to click email and when you go into that you have some form based emails here I want to show you the ways that we can go ahead and modify all of this all right so let's say it if you don't want it approved by the last thing you want to buy first name let's say you don't want School community members to be able to email staff directly from the staff directory I'll show you how we can play with all of those is there and one other thing to note here is that when your school community members are coming to this page they can go ahead and click into any of these here early brought no we brought to this specific user teacher pages which is another great thing about the directory here we click right in here we go right into mr. Benson's teacher page here all right so you know if I'm a parent I'm coming to your staff directory I'm trying to find more information about you know my child's new teacher here this is great do it so I mean if you aren't utilizing teacher pages already deadly recommend doing that and you know it's a great way to introduce you know yourselves your stack your commute to your school Community right so if you're not using Picture Pages already Dudley recommend doing that again we have a great webinar on that in The Help Center when I go back here back to the staff directory this is what this current step directly looks like this again our Legacy staff directory demise of all things you can do with saptarishi which is our staff box feature but this is the Legacy staff directory are now we're back over here in the admin site let's go over your door directory options and this is where we can play with some of the information it'll be on display in that staff directory all right the first thing right here we can give the directory a name so it's go ahead and update that easy peasy using staff I'll write down you can order by first or last name oh I will keep that last name actually down here this is where you can check off whatever information you want to be displayed with your staff. are you all right so title first name last name are always going to be visible anything else here you can kind of play around with them like I was saying before we have this email off. Go ahead and click click that now if we do have it on we can go ahead down here and choose if you want to display the user's actual email address or just display a send email link so if we do that we have this display send email link and form based emailing on its going to bring them back to that form a week we saw before where the enter their name their email address and whatever message they want to send that message gets pushed to the staff member there to their email or I would come down here we can play around with the different laughs can I see we have this one before we have circular pictures there with the largest options available there will also be smaller down here we have the two-column lay out there that we also have square options down here well I want to do this wants to do the two columns square picture layout we see what that looks like I don't see you let's make some other changes here again this is all information you on your phone number is fax numbers you know City Street zip code anything like that that is where you can go ahead and check these off here if you don't want to have any profile photos visible if we don't have to touch there's I always like to have those available all right so let's go ahead and save these changes I know it's go back over to our staff directory again all right now you see we have the squared off profile photos there and again like I was saying before we have our form based emailing here to go ahead and email any teachers so while we're here a best practice I would recommend right here I see we have a new teacher here who does not have a profile for the ever austere whether it's an actual photo or we have new staff coming in right and we don't have photos to add for them to see all right we haven't had picture day yet if you wanted to do everything uniform mean do everyone have any pictures of some sort if you don't have pictures for that person a lot of schools will go ahead and pull up silly a logo you know they're their School logo whatever that is so go ahead and put that as a profile photo as a place until they have a photo of the teacher ready to go for the staff directory all right so I'm going to go ahead over here we'll go back to the admin site back in the admins here I'm going to go ahead and add a profile photo to that users are that does new teacher who does not have a profile photo yet let's go ahead and add a profile photo there so we don't have a little empty black space there with the little gray a caricature there a little outline look up here to have a drop down menu will go to site judgment and then user management all right let's find that new teacher I think his name was new to Sherman and we go all right I'm going to go ahead and click that pencil icon will select a photo now again we're going to go ahead here and add a logo a placeholder until we have a photo of that teacher ready to go how to get this is helpful if you have some new staff members coming in and don't have photos of everybody just yet or ice on cropping that photo save at least now we have something in there besides you know that that great outline of a person there so least we have something there in the meantime but now we have that ready to go all right but no one's actually jump into the star of the show today and that is Staff blocks more and more we are seeing a lot of schools that utilize the staff box feature again because it offers so much more versatility now before when we were playing with the Legacy staff directory I remember I was saying that it is a feature page which means there's not a physical page that we can go to within the same as here to go ahead and edit that will you play around with the directory options we have some settings there we can play around with but if we really want to be able to customize you know I'd specific departments sections things like that you're going to want to use the staff blocks feature to do that to get a bill that out using the page management tool let's hop over there now and we will build out a custom staff directory using staff box together okay I'm going to go up here to the hamburger drop down menu go to page management and then Pages all right now that we are here in page management we're going to go ahead and find where we want to build out this staff directory right it's really just a matter of personal preference let me know however however you have yours organized set up it's completely up to you I'm going to build out a tractor here for the language arts department all right filled out a couple of different staff directory to the first one's going to be for that language arts department and this one up a by leadership and staff are we how we can break up stuff directories what's that box UND like separate things like that are going to do this one in our language arts department right here to language art Squad there's already a staff directory build out here so we can see what that looks like and how we can improve upon it right alright I'm so we just uploaded a picture here we have like a little bio we can see what it looks like here using the public view all right yeah this is fine but we can do a lot better than this go back over to the admins a year I'm just going to go ahead here and just delete that now one of the advantages of building out your staff director here in page management is that get to play with the layout right with the Legacy staff directory you can't do that so up here under play out right now we just have this one selected as the default I love these the hero image layouts I would do that horizontal bar at the top that is for a hero image I want to select one of these I always loved having anything with the hero image I think it just really draws the viewer into the page here the first thing to do is add a banner here a for our language arts departments I'm going to pick up load all right so I made this Banner using canva I know we go up here to this Cog we can choose how we want to look all right now I am always a fan of the full with image again I think it just looks a lot more striking we can constrain it we want as well and we also choose if you want multiple photos that how they want them to look but right now I'm going to go ahead with this full with hero image here at language arts Department Squad all right all right so we're going to leave actually this topic meet the language arts team with over 40 years of collecting teaching experience and master's degrees for each member or language arts team is dedicated to enriching the lives of our students through the written word just a quick almost like mission statement right if you will for for your depart alright then down here I'm going to go ahead and add another Banner right cuz I'm going to break this up by leadership I'm going to have the leadership team up top and then below that I'm going to have staff I'm teachers and wellness what do I add my first Banner for our league skip team mad this block and an upload all right we'll publish a let's go ahead right now I just wanted to give you all a preview of this is looking like right now okay what kind of jump back and forth I sat right there you see we have our full with your image and then down here we have our smart a little little Banner here now to go ahead and add the leadership team for the language arts department using stuff blocks okay never to come back over here to the admin site I'm going to go to my ad and other content block this. I'm going to add a Stack-On then block all right now we got to go through here through that manage staff list now heading to manage staff list to this is everybody added to your user management all right what's the weather or not they have a user types like that is important to note here someone go ahead here and I want to go and click here we're going to say these two these are the leadership team for college prep parts department say that OK Google there names and the option to email them here but if we come over here to that cargo settings button this is where we can I make a few different options you with the layout as well as how we have the option to go ahead and display staff photos so you're going to use the circular images style I like those a lot okay so we have our first bit here let's get out of here this is our leadership team and I want to add regular staff teachers next I'm going to add another Banner made in canva all right I'm going to add another block here staff and is willing to go through here and just add are a teacher's individually and whichever whoever is in the English language arts department here for this school all right again please have their names listed to start but going here is there we can go ahead and add those display we can display the staff photos again if we want to keep it different than we had two circular ones here before that way out if you want wish I could can I think it's good to kind of stay consistent there so I'm going to go ahead and save that all right let's go ahead and publish now let's see what we got when we go and preview the page I already I think this looks a lot better than a the one that was here before maybe just the regular staff directory right cuz we're still accomplishing this sing rights if a parent comes to this page and they want to go ahead and learn more about mr. Benson you're thinking is click that name bring them right to their teacher pages right there who's still composting the same thing it just aesthetically looks so much better I need as a real pop to your site here I love love staff block this is kind of a one way to do it as far as breaking up you know our staff by leadership and teachers now let's go ahead and build another one out here what does Mexico border each teacher individual Internet ads a little bio about me underneath each picture you're all right let's go ahead and do this another another section your eyes so we have our language arts the apartments are built out here let's go back to the admin side all right I'm going to publish that let's go up here to our pages akademiks I ended this one we're going to do in our science department here make a new page blank page listen we are building out from scratch I'm running that language arts one we had a we had a sort of staff directory before send an image of about me thrown in there I'm not that good at this one we are starting from scratch by now the first thing I want to do is play with the layout against going to go up here choose the hero image option here when I click up here to go ahead and add another Banner for the Cure are again we wanted to go ahead we want this one to be a full with again if you want to constrain you can do that as well and all right great I'm going to add an add a page title I remember in our last directory we could have broke it up by leadership and staff is what I'm going to go ahead and add each individual member here I'm at create a little bio on Ernie for them all right so in here I'm going to click at staff and we're going to go ahead and add one staff member at a time here all right so this case will go ahead and add Zach Baker can we want to go in here staff photo in this case will still will do us squares this time alright great I want to click a tad down here at a Content box we're going to go ahead and add that that bio for Zakir Ringo at hearing, play with the formatting a little bit however you want that to be in them again and we have a standard a text editor up here if you've used are you sure know how to use this one as well as pretty easy to use up however you want to go and format this out that is completely up to you all right now I'm going to go through here I'm going to go ahead and ask Walmart near just for demonstration sake I will kind of fast forward through this bit but you'll see at the end here won't have a finished staff directory with individual staff members and then a little about me section down here all right. Remember each time we're adding a cast member adding a new block so add staff I want to go through here all right now we've built that out what's going to head up here we've had a few staff members I told her up you this and see what it looks like aren't we have our little Banner constrained to the width of the page let me go through here like we have images of all our teachers little about me another really great way to go ahead and customize the look and feel of a staff directory in every schools different however you want to showcase your amazing that it's completely up to you you know some schools if they're not using the teacher pages function right cuz if we click into one of these here will see that we have all information about a teacher right you know a good teacher pages you has an about me you know some welcome information whatnot if whatever reason your school is not utilizing teacher pages and you know has to pay his bill. Like that then having a little about me section in your staff directory is a great way to really a familiarize your school Community with your staff or I put put a face to a name you know too little about themselves right humanize them again I really recommend adding a little about me section like that if you're not utilizing teacher pages now I come back over here to our pages I know we are going to do here is go show you how we can add some staff to a specific Club alright let's say we have in this case weren't even looking at The edlio Gazette College Prep School newspaper all right I'm going to go in here to the section click this Paige here all right now we have this page build-out what's go take a look at what it looks like all right now we have our page here with great use of here image some Great Links usage here come now it's images information on joining the staff but all we can do is I want to show you how we can add it stack them over the side here is a quick way for parents to reach out to whoever is in charge of a specific Club I'll come back over the admin site and it's over here in your section menu went ahead and click add over here you add multiple things to your section on you now Brad a photo of carbon content all the PDF things like that the gray with buttons a lot of schools you lysing buttons we have a button over here right now in our  when you had a staff member like that all right click save and just like before we want to go ahead we want to add a staff photos of the make sure that button is that box is checked off and we want to choose which way out we want a smaller circles on this one smaller space publish that will take a look what that looks like there we go just one more space that you can add information from your user management you know 4 staff blocks there again lead them right to a teacher if you're utilizing that it gives parents a way to go ahead and email this person as well all right now the main dashboard for the admin side. Whichever staff directory option you decide to go with it's the regular Legacy staff directory weather going to be out a fully customizable one with staff blocks for your entire staff or you know you're building out by department at however however you want to do it what good is it if parents can't find that information now how do we get them to that information right there's a few different ways right I'm going to hop over here to the homepage of Eva College Prep most home pages with Elliot will have some form of quick links they might not look exactly like this about a lot of our sites do you have quick links they are generally hard-coded but this is a good place to go ahead and point your school Community towards your staff directory in order to get these updated they are generally you have to get them updated through your CSS or our tech support team either one will be able to assist you with the pretty quick fix actually reach that your client success specialist then go ahead and get that updated for you but the one piece of prime real estate I would recommend here is definitely adding it to your site navigation up here especially if you haven't about sight navigation container here alright we can go ahead here and add staff directory with in here I shall go ahead and do that I'll show you how we can do that now hear from the main a admin dashboard we can go down to site management play navigation you can also get there by going to the hamburger drop-down menu site management site navigation there all right in from here with the choose which container we're going to add it to Serenity out of here to about coming down here on click new item or and remember if you were adding the Legacy staff directory is a feature page ran over here to feed your page select a future and you have to go and find out whatever you named your staff directory on this case we added ecp's amazing staff as the title for that page make sure we save our changes now let's say you want to go ahead and add a cuss belts after using our staff walked I remember those are billed out in your pages so you have to go here to section page and then select the page that you want I do I add an ad so I see we had our language arts teacher language arts Squad imma go ahead and save notes go back over to the homepage no down here at the bottom we have ecp's amazing staff we click that boom bam just like that we are brought to our staff directory I think that'll just about wraps things up for today folks I we got to a lot today right we got to go ahead and jump into user management see how we can go ahead and add folks to our Legacy staff Direct using at user type there we went and we played around with the Legacy staff directory settings things like that then we jumped into using staff blocks to build out a few different staff directory is some by a department some little bios and we saw how we can add a staff block up to a section menu there for using it for let Celia a club page things like that and then we saw how we can go ahead and add the staff directory to our site navigation making it easy for our cool Community to find, thank you all so much for joining us again today if you have any questions or anything like that at all please reach out to your client success specialist they are always happy to help your not sure who your client success specialist is please reach out to client success at Ed Leo. and we will be happy to point you in the right direction and I hope we see you at the next webinar alright take care
