all right folks we are ready to get started thank you so much for joining us today for this to my atlija webinar my name is Danny and I am a member of the client success team here at at Leo. Just some quick housekeeping before get started if you cannot stay for the duration of today's webinar no worries a copy of this webinar will be added to our help center in the coming days and we'll take a look at our help center later on in this webinar and I'll show you exactly where you can find those recordings if you do have any questions throughout the course of today's webinar please feel free to throw them in our queue in a feature and we will get those answer for you I was kind of acts as a and I said way because that is what we're going to be doing today we are going to be answering your questions I have worked with our tech support team and our client success team that's going to pile our most frequently asked questions that we see come in I will go ahead review those look at the answers and that's a little deeper into those questions within the CMS right today's session is really kind of meant for beginner to intermediate users of the CMS but I'm going to focus on those questions I really for the first 20 minutes or so of our 30-minute session and winter wrap up with a live Q&A so as we're going through the end of the webinar today you know feel free to throw questions in the queue and a future and we'll go ahead it has answered at the end of the wheel right about that by the end of today's session all right and anything cannot be directly addressed left answered right might be just a one-off thing with your site design something specifically you know we might not be able to address but no worries we will be able to get your client success specialist to follow up with you all right actually kind of taxes another really crate Segway in our first faqr first frequently Asked question all right and that is what does blank stand for all right good place to start me know you might seem we might see some of the following terms thrown around by our team you know cuz they're they're often you so frequently internally that you know we forgets you know to tell tell our clients know that stand for something let me go ahead here I got your stuff you here now the first one you'll see up top CSS especially in these webinars I really refer to them a lot they are for our client success specialist alright they are your go-to person for any questions about your site all right that is one of the beautiful things about edlio is that every single site has their own client success specialist your go-to person you can go to with any questions about your site are you have their direct email address and phone number so you can give him a call whenever you like I can easily hop on a zoom to screen share with them right they can take a look at whatever issue is going on and help you troubleshoot troubleshoot or just go over some best practices right I'll say you know if you're an Uber webadmin to your site are they can kind of help you get on board and very easily and shoot any of the articles webinars that'll help you really kind of get up to speed with the CMS i t s technical support all right now they're going to help with the more technical issues know maybe something with code Arc SS might not be equipped to handle again rcss can handle 95% of the questions you throw at them and just in case there's anything that might require a little more know how I'll get back and kind of stuff are tech support team is able you jump in a you can easily access them with a COPD support case and I'll show you how we can do that in just a little bit PM project managers all right now when you built your site with us you worked with a p.m. a project manager all right so if you're newer to Elliot he might be working with your p.m. right now they're the ones in charge of facilitating your website build-out coordinating all of our coders our designers everything on the back end here I'm so they're your main point of contact when you first on board with Ed Leo they are a great team wealth of knowledge I'm still getting your project manager is going to be the one who is it helps you build out your site when you first on board with us I saw double your first point of contact and then once your site is live and ready to go they hand you off to your client success specialist who can help you with anything moving forward alright cmsr content management system all right on as a software used to manage content allowing multiple contributors admits to create edit and publish to your site so literally the only accept this real quick the CMS this is the CMS here when we refer to the CMS this is what we're talking about everything that you see and hear in your admin site all right that is cmms our SEO search engine optimization all right now it says your website for search engines like Google Bing Bob's it really helps boost your school's visibility helps people find the information they want scene I need or me that you want them to see on your site so it's think of SEO as the spotlight for your website and your school from things like specify a friendly URL for Life Pages I'm going to title tags meta descriptions keywords on our Pages features have a lot of built-in tools to help improve your SEO and we also offer a Google analytics and it so that can kind of help you see where folks are visiting your site with a clicking on things like that again that kind of ties back in your SEO so you can kind of go in and develop a game plan from there all right how can we make this site more effective we offer a better user experience for people visiting our website DNS that stands for domain name system it's how the internet knows how to find your website and we recommend sing us handle your DNS records for you I most clients do so if you're asking yourself right now do we hide not really sure are we probably do you know if you're a smaller school or District maybe without a dedicated it team are we are managing your your DNS but you can always use your own name servers as well alright who is my CSS all right so we just discussed with the client your client success specialist is who who are they how do I know who mine is let's just say again you know that's that you're a new team member to your sights a new admin or you're not sure who you're CSS is you can always Reach Out to client success at Ed leo.com and your client success specialist will go in and immediately introduce themselves to you and I'll send a little welcome email saying hey I am so and so let's schedule call let's get to know each other I'm against they are your go-to / for all things related to your site you have direct access to them either email their phone numbers are in their signature and they're always happy to hop on a zoom with you to screen share and troubleshoot offer any solutions of guidance are there experts on school websites all right I've definitely reach out to them when it comes time to renew your site also please reach out to them cuz they're going to have the best prices and up-to-date incentives for any sort of renewal who's always always always worth having a conversation with your client success specialist around renewal time you can see here actually right here in this life we have a few real-life CSS here we have hobo we have Darius and we have Nina and all fantastic and their main objective is to help you see that's right there in their job title client success specialist they want you to get everything out of your school website that you can they are here to help you succeed all right now question can update our site all right now we have a few different account types here that I wanted to go over you'll see here we have super admins web admins standard / regular user and minimal access users okay little out of order here and I'm going to start with web admins all right these are the few trusted people that you want to help manage your entire School website and regular user accounts right I believe your fellow website admins and I started with when atoms because I'm a Mexican go to super admins when go to the top level here and they have the exact same Privileges and everything as a web admin only distinction between a super admin and a web admin is that a super admin can add web admin privileges to a regular user that's it there's there's no other extra access that they have assured that they are able to go in and then say hey we want to Arabic Tina here web admin set up a regular user of the super admin can go in and I had that privilege to Tina's account but other than that as far as editing content on the site super-admin Segway Batman the exact same view of their CMS alright account it's going to default to be a standard user account without any extra privileges i what does that mean I mean when a person logs into the admin site they will only have the basics when they login write their own little piece of the website to hold their Pages photos videos calendars are we usually refer to them as like personal pages so I left him it'll be you know about me I hate this is who I am just in my classes I'm really excited to be here when users to your site, and access your staff directory the click on the name of a user that will bring them to that person's personal page all right so regular users as long as there's no additional privileges added to their account that is really all they're going to be able to update again those personal Pages at in personal photos things like that and last but not least here we have our minimal access user account as a fairly new addition to the CMS alright minimal access users do not have access to the admin site at all they are not able to create and edit content including personal pages right however they can still be included in your staff directory and authorized to view a password protected area let's say you know you created a page that you know you just one stack to be able to see you don't want regular users of your your your school website to be able to access that you can put it behind a password protected area all right so amenable access user can still access that as long as you give them access to that page all right imma come back here how to exit out of this I want to show you the difference between what an admin will see and what a regular user will see all right now hear this account I'm logged into on this cmsu this is a full admin while I am out Dino here as a web admin five access to all of the features in the CMS and I can make updates to our site as needed across the board all right is next account hear this is a regular user a standard just regular user no additional privileges so I come here to the hamburger drop-down menu you see I have a calendar which is also available here in this admin by go to the admin calendar and personal calendar here if I go back here to this regular account and click on calendar I'm only going to have access to my personal calendar I'm not able to access school calendars with pages to go to page manager in Pages here in his regular account I'm only going to have access to be able to create my personal Pages whereas back here in the web admin account I go to page management and Pages you can see I have our category Pages here which is essentially all of the internal Pages within your school website all right another question we do get is coming back here is does a user have to be an admin to UPS to update website content and the answer is no we can actually piecemeal out specific parts of your website that's how you don't want to give in this case right here mod write mom as a regular user again only has access to our personal up he's right now let's say we want to give her access just but chunks of the site this case let's say mod is an English teacher at the head of the English Department we can give her access to just English Department pages and nothing else alright so you do that as a web admin by way to the Hammer to drop down menu site management and user management sing right here as you can see right here by these badges who is a web and who's a regular user if there is no badge there they were just a regular user in case I can go into this account actions at profile here under categories and sections and additional access this is where I can start to piecemeal out those specific parts of our website I just want to give this person just access to our English section here so they can add all the pages here within our English section are you know and if I go over here to additional access and give them access to specific news categories events calendar and a specific features within the CMS so again it's always best to just give folks access to what they need to update the site right now say they're just updated it only charge of updating a page or calendar something go in I'll just Damascus that specific feature instead of actually making them a full-on webadmin all right this case right we added this instrument when you get here and save now so now next time this person logs and they're going to go to edit Pages within our English section all right my next question that we do get quite a bit is what Integrations and plug-ins are available with the CMS now are these are the most common and often used here for calendars right if you want to integrate a calendar we do offer integration with both Google and Microsoft Office 365 calendar with calendar specifically it's important to note it is a 1 play information flow right so any updates you make on the Google or Office 365 side their that information is going to flow into the CMS once you have that calendar integration right you're not going to be able to make updates to the Founders via the CMS but all information is in a flow right into the CMAs so I make some super easy you know I'll give you just one space to have to make those updates and but but you can have the information pop up in your website it just you know if you do already have these for your school I definitely recommend integrating them because it cuts down on a lot of work alright SSO that is single sign-on a solution there we do also offer that as well and also with Google and Microsoft will say you know if you are a Google School District I'm everybody has Google logins they can use the same logins to log in to your admin site. It's super easy to set up you just need to open up a tech support case and I are team can get that set up for you again if you have Google Office 365 we do offer a Google Classroom integration as well which is pretty cool same thing if you were you know adding sorry if you are at adding assignment things like that with a Google class that's going to feed on over into the CMS is is your student information system we directly in a great with Aries PowerSchool and Skyward but really we can easily work with any add just about anything sis out there but if you do have Aries PowerSchool and Skyward talk to your CSS about getting its recommendation set up they can help you out with that and last but not least our SEO remember we talked about that earlier search engine optimization we do integrate with Google analytics all of our site and it is come from Google analytics because Google analytics is it's the best that they're the best at what they do there so if you do you want to see where folks are visiting your site things like that you know who call you things like that I definitely recommend integrating Google analytics in your sight and I'll show you later on where we can go ahead and do that all right next up I'm going to cover some best practice for School Website Maintenance and content organization I want to start navigation alright I don't know what I'm about to say is we apply to everything that is simplify simplify simplify you know we see this with a lot of school what school sites are my hero quick go back to the slide I'm going to go to this homepage here for the site now you'll see here we have our sitemap containers up here we recommend keeping this a short and to-the-point Amina we've seen some schools with is really long unwieldy site nav here so like I said to have her over the sign of item and they're my just like you know 25-30 items listed underneath there on which the winner said hey you want to have this content available right there but the thing is it might be kind of unwieldy and difficult for users to navigate that that's why we really really I advocate for just simplifying it all right again short to-the-point easily identify identifiable containers up here can go a long way thinking of a parent student faculty Community things like that how to prioritize the most frequently accessed Pages which is again something else that your SEO can help you with you can see what pages people are searching for Orofino trying to access the most so definitely recommend getting to those is top-level navigation are these we recommend keeping these between 528i all together no more than that and it when you are naming these no more than one or two words nothing more than that again it just going to look when we will be so definitely recommend doing that and when you're kind of looking at this at your sign up you kind of want to come from a top-down approach right use real logical hierarchy right organize content in a way that makes sense right so no other academics here you know we have classes parents right whenever resources there for them news on the community things like that you want to avoid deep nesting Ali want to aim for a no more three clicks to reach any page in your sights up from the homepage folks should be able to get to any page they need to within three clicks out of the magic magic number that one way you can really help simplify that is with you or pay management your page management again we're coming back till we're just saying simplify simplify simplify you know our page management is there to organize your content you know for you and your audio I so I can think big picture organized content in a way that sense to you and your school Community do you have direct access to your school school community so you have an idea of how they'll be accessing that information to come into this admins I hear you going to the hamburger the menu and Paige management and pages all right in the first part of organizing these is through here at your category you have six categories to use completely up to you how you want the name them structure them things like that in each category you have unlimited sections you can add all right to get add new sections unlimited amount to any of these all right now I witness again you want to tear this content the way of structuring these day know your uses groups and needs and interests we want to use Simple language and her parents and students and more technical terms for faculty and staff and really kind of building this out nothing I just want to point out to coming here so right here this is the sections About Us section when I go here okay so what say we have about us on our site now. We have about us here somewhere we clicking here you can see we have our section menu right here so these pages that we see in our section menu or in our in our sections here is pages that we have listed here under our section are About Us section here we come back here we see all the pages listed here right so I again kind of going back to that three click rule right you want to organize content in a way where it makes sense for us to be under about us when folks click into about us don't see all these options here and they can find the there they need to get to again utilizing that three click rule all right I just want to think within Pages itself you really want to kind of Chunk and prioritize your you want to break down information that we're seeing here in two short digestible chunks we are headings and subheadings here all right again I'm you want to highlight key points and any sort of announcement prominently and I also want to highlight here use Graphics use Graphics use videos whatever you can in your site design not only does it help kind of break up the content what is going to help keep your visitors engaged right you have all different kind of Learners out there and some are more visual so you really want to utilize visuals their canva is a great tool to go ahead and filled out any graphics that you grab me a video from YouTube you have videos you can grab you can upload to your Co if you have unlimited video storage in the CMS each video can be up to two gigs but as long as you are keeping the videos to 2 gigs you can upload as many videos as you like all right back to the one last piece of best practices that we wanted to go over here and that is a user management your user management we looked at that briefly before in this web admin account here so I'll go there to site management and username these are all the uses we currently have listed here for a site as long as they have a user type checked off they can be in our our staff directory is important to regularly audit your you I would say hop in there at minimum three times a year they start of the school year winter break end of the school year just in case there's any information needs to be cleaned up if you know people moved on other opportunities we have a lot of we have a lot of schools that you know the user management as little unwieldy right they don't go in there and clean it up and you know the one to set the more uses you're going to have in it could just turn into a mess so definitely give them their audit your users regularly and again it also lets you know like hey you know I see this person is aware that they don't really need to be let's go ahead and remove the web and Privileges and just give him access to what it is they need to edit alright where do I log into my admin site all right now I first check the footer of your sight all right when you come back to this design here we'll go to the age nine times out of 10 with most most designs if you scroll to the bottom you going to see something similar to this little login button exactly like this it might be nice to hear somewhere else definitely look for this login button I we we definitely try to incorporate that into every design some folks ask for it not to be there but if you have not requested that odds are it is going to be at the bottom of your admin side click on that and as we can go login to your admin site if it's not there check your email when we sent out when we washed your site we sent you a bunch of links for the difference if you can how you can access them your public links and your admin sitelinks and worse comes to worse reach out your client success specialist and they can get you the link to your app and site as well alright where can I see page annelid can I see page analytics question now I wanted to come over here I have to separate sites up all right so this one right here this is demo site figured out here to site management and settings go to analytics and public site analytics will see right here if you do not have it set up yet this is where you can go ahead and integrate your Google analytics with your web your website click on this link is going to bring you to our help center give you step-by-step instructions. You're going to have to go into Google and do a little bit there to kind of get it set up and then essentially they'll give you a code you come back here at that code to your admin site and we can go ahead and start tracking click visit and everything on your site but again that needs to be set up through Google alright where can I find trending articles tutorials things like that and that is in help center in your admin site used to write a few to help like help center it's going to bring you right there I hope that at leo.com you can also get their help.
