Site admins - this webinar's for you! We'll go over everything you need to know to get the most out of your Edlio site this school year, as well as a refresher on our most-used features.

Let's go ahead and get started again. We're just going to do a brief overview of a few modules that would be really essential to how you are enhancing your site, how you are, you know, adding new content and/or updating content because some of you are actually taking over admin privileges for the first time, so this could really be helpful to you all. So let's get started. Again fresh new content is what you want to add to your site for the new year and moving forward, there are certain things that we have added to the CMS that could really again just enhance your site. Let's actually start with our Shuffle. So as you know, when users come to your site, the photo shuffle is, and some of you actually may have a background video but that is the very first thing that users see when they come to your site, so you want to be sure that you update your photos, update your videos and they're all set to go by the time school starts. So updating your media. We're going to go to the admin site - media. We're going to start with Shuffle. As you all know, you have unlimited space with your site, you can add as much content as you need with the shuffle. You have your three options on the left hand side. One of the more important things that I do want to make mention of here is dimensions. Now you can see your dimensions in the top right-hand corner. Keep in mind your dimensions are preset for you, so once you click into your Shuffles, you can either edit your photos according to the dimensions that are listed here, or you can use our crop feature. Now, before I show you where the crop feature is, also take note of all of the accepted file types that are listed below. The second option to the left is where our crop feature is listed. You can link your photos. Now this is also great for when you are wanting to maybe you know maybe your school was highlighted in the local news and you would like to publicize that and add that caption on one of your photos. Your text can simply say, "click photo for more information on XYZ" whatever the topic is or whatever department has been highlighted. You can actually link the photo itself to either an external site or a page within your site. Just click link, and add that file below. So again you can add text here, you have formatting options to use for your caption and if you would like to link your photo click link, and add the URL below. You can also change the position of your caption to the top or the bottom. Go to the bottom of the And then your alternative text. And a short version for the alternative text, you are adding the alternative text to your images and videos. This is mainly for those users who are visually impaired, so that you are sure that you are sure that you are maintaining an ADA friendly site. For those of you who need additional details, there is extensive content that we have in The Help Center under Accessibility. I would definitely suggest that you all take a look at that and maybe pass that along to your staff just so that everyone is on the same page about why that's important what you need to do moving forward. The third option is transitions. This actually allows you to add navigation controls to your photos in the shuffle so that your users won't have to scroll through those photo or wait for the shuffle, they can scroll through the photo and you can change the position of those controls as well. And of course the duration and the transition can be adjusted here. So as always, as you're making your changes, just click save and once you refresh, all of those changes should be reflected here. Okay, so at the same time, a lot of you have photos from the previous year or events that happened during the summer or albums that you would like to start creating and list under maybe your drop down menus. Some of you actually have buttons that are added to your site that link them directly to the gallery. So with that they can either click the gallery button and be taken to the landing page with all of your images. A few emails were received about how the photo albums are listed. I do want to be clear here: once they come to the landing page your albums are listed in alphabetical order. If you choose to date your albums, your dated albums are listed first, and then the alphebetized albums can follow that, so they can click on the album and click the individual images and use the left and right arrow. One other thing to point out here - you cannot adjust, you don't have the option to adjust or edit your photos here and, as you can see, it kept the same size of the images. So under media - photos - again, you can add as many albums as you'd like. Click create album, name your album and you're going to drag and drop as many photos here as you'd like. Accepted file types are also listed here. Now when you're adding your images. One of the things that you need to keep in mind under the photo albums is: when you're adding the alternative text, you have to actually click on that individual photo and you're going to see the alt button in the top-right hand corner and then we have under media - videos. Some of you who have been with us for a while you actually could see the recent changes that we've made to the video section which we are really excited about. Once you click New Video and Audio, you have two options here. You can either Add - it is going to embed from another website or upload from your desktop. Add a title, description, the alternative text of course. We have now added the closed captioning, so if you need to make the adjustment, English to Spanish is listed below. You can do so as you saw before. You can decide where you actually want this video to populate. Do you want it under just you're regular video gallery or you can say "I actually want this video to show under specific sections." For example, I only want to show in the section menu for English, Math and Social Studies, it will only show in specific areas. Again, as you're adding this new fresh content to your sites, be sure, if your photos and photo albums and your photos in your Shuffle need to be updated, you can swap those, drag and drop as many as you need, update your videos and select the video gallery or specific sections for them to be listed in. Now let's go back to the homepage. One of the other main areas that I do want to focus on when it comes to adding new fresh and updated content is your news and announcements section. So on the back end, we're going to go to Announce in News and Alerts. One of the things to keep in mind, if you have any outdated news on your site, you can easily just click edit and update that text, if this is dated content. Just so we can avoid the outdated content to your site. Another way to help you avoid that is to schedule your news. This is something that I normally recommend admins use. Again, it will help with all of the tedious work that you have to do just to minimize all of that, date or schedule the dated content that you're adding to your site. Two things to keep in mind, if you choose to schedule your news, because you can see it's very specific and you can select both a date and a time for this to expire and to publish and expire, so if you choose to schedule your news when it expires it will be disabled. If you choose not to schedule your news that's fine just know that it will remain active until you either delete or disable it. And then for the news that's reoccurring, so if every school year you have your school fair around the same time, instead of deleting it after it's expired, just disable it. If you don't want to schedule it you can go in and manually make that adjustment. Once you disable it, you can find it under show disabled news. That's set up like an archive for you. A lot of you, make use of this which is great. Come back here, click "edit" again. Just update all of the text or dated content, click "enable" and you're all set to go back on your live site. One of the other things to keep in mind is you have little small changes that you can make to your news which could you know, be the deciding factor on how your parents view the news, sometimes. Two things: first is the order in which your news is displayed. It's just as easy as dragging and dropping you can change the order here. Then also some of you have decided on your website, "I'm only going to show the top three." You may want to decide this year to show the top five or the top seven or top ten, etc. To make that adjustment we're going to go to Site Management and Settings. In your settings you want to click on the news tab. And there's an option here for the number of home page items. It's set to 3. We can easily adjust this here. Once you make your adjustments there, just save and then you're all set to go. So again, update your news, the news that's outdated you would like you should schedule it. Change the order of your news and you can also increase or decrease the amount showing on your homepage. Let's move on to the calendar because it's also very important. Keep in mind you all have two options: you can either manually add the details of your calendar; you can do that under Plan and Calendars - click add event. This is pretty straightforward, you would just add the details below, Or, if you would like to integrate a calendar, we have options. We're going to go to site management and settings. We have options under the events tab using Google Calendar or Office 365 so if your District or your school's use either of the two options here, it's a really quick and easy process just click either option and it's going to redirect you there of course, but you're just going to select as many calendars as you would like to add to your site. Now couple of you keep in mind here's that you have multiple calendars. I have a general event calendar I have a PTA calendar and you may have a calendar. If you click create new event section you can create as many calendars as you have here. So let's say I would like to call this time create new section and now when I go back PTA has been added to the current section list. There's a drop-down of every single calendar I have  so get if you integrated that calendar just click setup with Google or Office 365 and it's going to take you directly there. now you can also use it create new events section even, if you're manually adding your calendars so you know say you still have a variety of calendars Sabel steel populate to this drop-down-menu so once you click add event you're going to see that calendar populated here so you can select set a calendar event event details here she only population  okay One thing that I do want to point out about calendars before we move forward because I had a few questions here as well. For those of you who are just you know starting off with your side and you're getting things together just before the school year begins for you and you integrated calendar, once you received your site you saw add you know for the purpose of adding placeholders you saw the Wii adistar content into your site so you may have seen you know back to school night or a few holidays listed in your calendar here and you decided to enter it that calendar. If you have not deleted the calendar events play calendar area manually here then they will still show on your homepage so that's a little tip. Just be sure that if you integrated the calendar, to delete the events here. If you do want them to, I'm showing the home page as well. Okay so let's move on. A lot of you have on your site either a spotlight message or a principal's message or sometimes it may be the superintendent message. That's a change that you can make under announce and Spotlight message. Again it may be called Spotlight message or its called principals message so the text that you see here  in the photo is what we're updating so again and maybe called Spotlight message it may be called principal's message the month or superintendent's message. This is where you would come to announce and spotlight message. this is also pretty straightforward to update your text the read more button you can add here and of course you can customize that if you'd like and then you can drag-and-drop a new photo. and of course your alternative text no wanted to your staff directory is nervous is also very important because this is essentially where your parents and students would come to access your teacher pages. For those of who who who have started, you know updating your staff directories and adding those photos that is great but I'm definitely encouraging those of you who need to just add a few tidbits here and there. You know you're more than welcome to just hop right in and start adding those details. So for starters, they can access the staff directory by going to one of the drop-down menus. Again, this is a feature page that you can add it to any one of the navigation items. Go to staff directory or some of you have added buttons to your site that they can just easily access that area. So our second option here is faculty to update your staff directory. You have two ways to do that. First we're going to go to site management and user management As you all know, we have a few options for you to add your staff, and if you do not know, those options are: "Active Directory." We have Google single sign-on and Office 365 so if you would like to start utilizing any of those options you can find those details in The Help Center and again you're more than welcome to reach out to support by going to your "help" drop down menu. Districts and schools who haven't had a chance to update their staff, this is something that you need to do because sometimes we may have staff who have either retired some have transitioned to other sites, so you know, the details of their profile need to be updated elsewhere but this is something that needs to be updated under user management because it also is populated to the public site. You don't want contact information for staff who no longer exist to be listed. The Super Admin is the only account that can go in and click on any user and delete that user. Otherwise, your regular website administrators, they can go here maybe edit accounts, give them additional privileges. Again, by clicking on their name and then just click edit profile, the username of course can be changed by the Admin or the Super Admin but you can adjust your user type, adjust their privileges, list them as staff under specific departments and edit access. That would give them individual access if they're a website administrator. you do not need to click edit access for the website because a website administrator already has all the privileges they need. Once you give them their privileges and select the can user type, they're all set to go. Under site management and staff directory you have a second option. This allows you to categorize your staff on the front end of the site by the user type or the section that they are listed in. You can also order them by first name or last name and then you can add additional details to their profile. Lastly, if you would like to change the layout, just select one of the options below and you will see those changes reflected once you say it. I'm going to go back and refresh. Any and all changes that you made to your staff directory will show below. Admins, you have the option to edit your staff photos but keep in mind that the teachers and support staff or Administration they have the option to add their own photos as well. Navigation: so you're drop-down-menu this is also something that needs to be updated if you have new content that you would like linked here or if there is something that needs to be removed because it's outdated, or you change the order of your menus you can definitely do that here. A few things to keep in mind: you cannot delete any of your navigation items or add new menus. That has to go to technical support, otherwise you can change the order of your menus, you can change the title of your navigation menus and you can change the content within the menus.  To do that we're going to go to "site management" and "site navigation"  as a reminder "site navigation" is where you would come in order to reorganize your drop down menus but essentially you're just maintaining your drop down menus here, you're not editing content. I have received that question a few times and you're not making adjustments to the page here or anything like that. That has to be done under that specific module. so if you want to edit the title of your drop down menu just click edit to the right of the title, change your text and click done. If you want to change the order of your menus, just drag and drop. If you want to change the order of the options within the drop-down menu, drag-and-drop and if you want delete any of the options from the menu you can simply click the trash can of course but unless it's a file or URL keep in mind that you are not deleting the content. The content still exists in that specific area that it was created, you're just removing this option from the menu. Now one other thing that I do want to mention to admins. is a new change that we just pushed out and it's really important because you definitely want to keep your parents in mind with this feature. Some of you may have this within your navigation but if you click "contact" or "contact us," rather, it gives your users a form to complete. This is for general questions or inquiries. When they submit this form it goes directly to a specific email address that can be found under "site management" and "settings." In your settings you want to click on the "Contact" tab and the email address that you see listed here, that's where that contact form will be sent . This is for general questions and inquiries and if it's not added to any one of your drop down menus and you would like it added there this is considered a feature page, you can just link it to any drop-down menu. Now again if you want your users, when they submit that email, when they submit that form, it's going to go to the email address that you have listed here. If it is not your school's General email address I would encourage you to add that there. Otherwise if you have a group of staff members who you would like to receive those emails you can definitely add all of their email addresses here. Just separate them by commas and say it. One important thing that I do want to mention here: when your users go to this contact page and click "your name" to start completing the details it will prompt them to either sign in with Google or login with Facebook.  Now although this is a great option, this is security feature that we have enabled and it's great to use. However you do need to keep your parents in mind who may not be as tech savvy. Some of these parents may not have email addresses some of these parents may not have a Facebook account so you do have the option in your settings to turn this feature off by going to security  and then right now it's on "always on" jut click "always off" and "save." To see these changes reflected here, just refresh your page click in the "your name" field you can see now it actually allows me to type my name. So those are just a few things that we definitely want you to keep in mind when it comes down to updating your side and adding this new and fresh content one of the other things that you want to keep in mind is that your parents, even some of your new parents are coming to your site looking for information to find really quickly so when you are updating content and adding this to your drop down menus you don't want to have drop down menus that are too long but they should definitely find that most important content here and again if you want to add me icons or buttons to your site, that actually has to go to technical support. You can do that by going to your help drop down menu and clicking contact Edlio support. If your sites are live you and your staff actually have unlimited access to technical support so you're more than welcome to either submit those tickets or you can call in using the toll-free number listed below and the hours that you're able to call are also listed to the left of that phone number and that's preset to your specific time zone Monday through Friday.
