Thank you all for joining us once again during our my Edlio series. And today we will be covering tips and tricks and this will be a combination of tips and tricks for both admins and teachers. A lot of you know the majority of the time that you join us, some of the content is primarily used for admins. And depending on your privileges, you know, whether you're a website administrator or you have advanced access, you do have access to some of the modules that we normally cover, but today we're going to just include a little bit of both. So all users have an idea of some of the options that they do have. Now, some of you have actually seen some of these tips and tricks before, but keep in mind for those new users who are joining us, again welcome. But we want to give you an idea of some of the things that you're missing out on. Whether it be for your staff, support staff, your teachers, or you as a website administrator. So getting started. As always, this session is being recorded and you can review this in The Help Center, it will be posted soon after. And then if you have any questions, there is a chat feature on your Zoom interface. Feel free to submit your questions there and the chat feature, there is someone from technical support ready to start answering those questions. So, when you are, you know, signed into your admin site, a few things to keep in mind. Some of you have very large districts or just districts in general who have teachers or support staff, who transition from school to school. Not one of the ways that you can, and some of you actually have a list of who these staff may be. Now this would work for those of you who do have the same staff, you know, mainly transition from time to time. I would suggest that when you're signing in as an admin on the district site, again this is for districts starting off, you want to set your users up under site management and user management with multi-site access. Okay, this will allow the user to sign in to multiple sites and maintain that site from the district. They don't have to, you know, set up accounts separately through each site. And for a lot of you who have, you know, more than just ten schools, that can be a really tedious process. So when you're setting up this account, and even if you have, you know, on the district level, users who are in your tech department and you say, you know, I want them to have admin privileges to all sites across the board. Again, you're going to create their profile as normal, give them a user type, check off website administrator and then multi-site management. That's the button you want to check off that will give your users access to multiple schools that they can manage on the district level. They're going to sign in as they normally do. There will be a drop down menu by the school name. And they go from there. It's a really quick and easy process, but believe me, the feedback we've gotten on, you know, those users who are able to maintain sites from the district makes it much easier. So, again, super admin, sign in on the district site, set up your teams or set up those staff members who may transition from school to school, and give them multi-site management. Now for teachers. A lot of you do know that for the calendars, under personal, which is solely used for your classroom content or just important dates, field trips, anything that you're wanting to get out to your parents and students. You do not, unfortunately, have the option to integrate calendars just yet. And a lot of you are really familiar with using, you know, Google calendar for example, and we just don't have that option just yet, but when that is pushed out, again, all admins and staff will be aware of those changes being made. But for right now, you're clicking add event and of course you know you have the option to manually add your details to your personal calendar. A lot of you ask, you know, if you do have the option to embed? Yes, you do. And keep in mind it's the same process of embedding as if you're embedding a video. You're going to use, and we're going to do this in pages, I'm just going to personal pages as an example. Whether you're creating a page, if you want this embedded calendar on your general page, you can start with that homepage that you normally start off. Or you can just add a page and start from scratch. But still, you're going to go about this the same way, just click content, and source code, it's the left and right arrows that you see in the formatting options. And again, the same way that you embed a video is the same way that you would embed your calendar. So there should be a share button across the board. You click embed, copy and paste that source code and paste it below. And a lot of you may not be aware of what that may look like. So whether it's a video or otherwise, you're going to go about this the same way. So let's actually use YouTube as an example. Again, search your video, your calendar, whatever you're looking to embed to that page, and if you do, if that platform, that third party, provides an option to embed it or share it, you will see a share button. If it isn't there, chances are they're not, you know, allowing that content to be posted in other areas. Click share, embed, and the highlighted code that you see. Again, same thing with calendar, if you just click embed, that embed code would be populated there. You just copy that in embed code, paste and click okay. So what you're essentially doing here is just embedding that content to the page, because there isn't an option specifically with calendars to integrate, or for some of you, when you're embedding your videos. I normally suggest that users, you know, go the route of embedding versus adding a link, because if you add just the YouTube link itself, your users click that, they're redirected to another site. And then that itself can be a distraction. Whereas the video itself will play on this page, they don't have to be taken to any other site. Now one other thing I want to make mention to all of you, whether you're an admin or teacher. One of your concerns may be how videos in particular, they show like a timeline of next videos in line to play, or it goes, you know, start to the next video after the current video ends. There is an option just below the embed code that says embedded options, and it says show suggested videos when the video finishes. You can uncheck that and it will only show your video. So that's another tip for you all when you are just wanting to show the content on that page. No other suggested videos and not allowing the user the option to click any other options once the video has finished playing. Now, another question that we get, even whether it's during trainings or calling into tech support, is the option to link your PDFs. Now, a lot of you didn't even know that we offer the option to embed your documents now, which is really great for all of you who have or want the option to enhance your pages. Maybe embedding them is the way to go. So let's click file, and I'm just going to, as you normally see, just drag and drop your PDF here. Now for embedding, if you click the three dots to the right, you have a few more options here, but next to filename you should see three sizes. I'm selecting the large size. My document is now embedded there. Now again, a lot of you would prefer to just, you know, link this particular PDF as opposed to adding the doc itself. And I'm going to walk you through how to do that now. So I'm just going to save this page. And under our staff directory, keep in mind when you have added, when you have added the content to any page, this will be reflected in that staff directory or however your users, or your admin rather, have populated this content to be reflected there. Okay, so now once we go to this page, I have my PDF here, you can see it's embedded. Now, when you click the PDF itself, there's URL at the top. I'm just going to copy that link, we're going to go back to the admin site, page management, pages, and I'm just going back to the page where I set the content up. Now let's say you're wanting to link this PDF to a different page, I'm going to my homepage, and just going to say something like, for more info or to review PDF, click here. And I'm just going to hyperlink this. Click okay, and I'm good to go here. So now, on the live site, once I refresh, I should see those changes reflected here, whether I am linking this page to, again, the PDF itself, that is on a live page. Or you can just link your PDFs on a page and disable it, and it will still be reflected here. So again, just copy your link from the PDF from the live site, paste it, and hyperlink, you're good to go. You are now adding multiple files within your content instead of adding a completely long list of PDFs, because I know, even districts, some of you have to post your board minutes and that can be a very long list as we know. Now, a very important thing that I'm hearing from tech support is a lot of you have questions on the sizing of your images, and how some of them in in some cases look distorted, they're a little off, it's cutting off heads of the students, or you know, of some very important people are getting cut off. What I do want you to focus on, are your dimensions. And you may miss it. But I want to cover that for you so everyone across the board is pretty much up to speed with where they are listed. So under media and shuffles, click your title, and you have three options on the left. The first option, which is where you upload your media, in the right hand corner, your dimensions are preset. Again, you're going to see various dimensions across the board, some of you have multiple shuffles to manage, whether it's on your homepage or background image, but your dimensions still remain the same. You can pre edit the images. You know, if some of you are familiar with using. Keep in mind. Keep in mind that you are also able to use, under the second option which is slide layout, the option to crop. And the dimensions that you see here are preset to the dimensions that you see under the first option. So, if you're using an external site or a different app or software to manage your images, again, follow your dimensions under upload media, top right-hand side. Or, if you'd like to crop, it's already preset for you to scroll up and down. Click save and you're all set to go. Now, one other thing I'm noticing in regards to the shuffles that a lot of you did not know, or you're just maybe overlooking the option, is the ability to add links to your shuffles and have them be redirected to, you know, external sites or links within your site. For example, you know, you can say, the caption can say something like click photo for more information on our chess club. When you finish updating your caption here, click link, and add the URL below. This can actually go to the section that you've created in pages, it can go to an external site, it can go to a form that you've completed, it can go to news, a photo album, wherever you'd like this photo to be redirected to, add your URL below and save. Other than that, the last thing I do want to mention about your images is always, please, always remember to add your alternative text. It is extremely important for schools across the board to be sure that they're making, that you're maintaining your sites for all users. You want to be sure that the alternative text, which is a description of that image or video, is being added. And as always, I want you to be aware as an admin, you do have the option under site management and your settings, to make the alternative text required. So in your settings, click accessibility tab. For some of you, you've already activated this feature which is great. For the rest of you, again, what you're doing here, is enabling your ADA settings. And it's making the alternative text for each image and videos, for example, required. So if I check this box off and save it, any image that does not have alternative text on the live site will be disabled. And as your staff, you know, continues to add content, update their pages, they may forget from time to time to add alternative text, they will see an orange alert over that photo or over that video that says missing alt text, and they cannot save the content without it. We would suggest that you all, you know, set this feature up so that it's activated when your staff logs in. And there is a template email here that we have provided, and you can customize this if you'd like, and set a date, and let your staff know this is what we'll be doing moving forward. We have also included a very detailed overview in The Help Center that basically gives you a rundown of how to manage your pages that are ADA friendly moving forward. So again, this is extremely important information, if you have any questions, please reach out to us or submit your tickets, we would be more than happy to answer those questions and, you know, get you a better detailed breakdown of how to so that everyone is pretty much up to speed with how to manage your content.
