good afternoon and thank you so much for joining us welcome back and happy new year started to have you all with us once again to our SEO series as you know this is an Admin Professional trainer so let's just have to go over with you today a lot of you have had a chance to drive with your admin side and the most party just looking for a few tips and tricks you are just getting started your new schools with Ed Mills district with Anthony also he want to give you a chance to get in a few things that we haven't had a chance to best features so getting started but I do want to start with is this your help drop down menu could be useful for not to keep you as an admin but you could definitely encourage The Hope Center to use here this includes three different levels of content for users what we are going to start with today are your users and their prey I know a lot of you understood management to find this under user management a lot of you have you know your privileges your account set up a little differently than most now one thing that I will suggest across the board whether you're single site or district is to delegate responsibilities that's one of the best things that you can do I know a lot of you. have multiple responsibilities and so you don't want to try to take on this full load by yourself if you don't have to so the resources are available please be sure that you're getting this responsibility two users as you know the super admin account is the account that create the other website administrators and those other website administrators that are created by the super admin cannot delete you Enoch read other website administrators other than that you think you have unlimited access now in addition to that I would also say to limit the amount of website administrators you have we do understand that some of you to have you know a large number of website administrators maybe 5 or 6 sometimes more than that but normally we suggest three at most maybe 4 depending on the size of your school sometimes it's only limited to you know this how many count in one additional person in that's perfectly fine you just do not want to give me lots of users full access to maintain the site now would you also need to do and you don't think this is a good thing to do after every term or semester you what you just double-checked yourself I know sometimes each other sites District this is one thing that will help you keep your staff directory on your life site up-to-date and so as a super admin or you are free to go in and review the staff get an idea of who is listed on the right side in addition to that one thing I do want to add is there super admin account should be updated with a user first and last name username will always remain the same and someone's email address this account should be active by a user on the district level Creek common or you're check director or the person over your own your technology department to be the Super admin for all Sites across the board if that is you again this account still needs to be updated her site and then also when the district level only if you would like to when you're creating user there is an option to create a website administrator and then provide multi-site management access and again for districts only because sometimes you may have a check Department who needs to have admin privileges for all of your site this is an easy way to do that when they click multi-site management tell me you choose the right of the district name and that's when they can set up the process of having that access to multiple schools so we can feel free to jump right in and get your account create more accounts of multi-site management of that would make it more useful to your staff and then of course limit the amount limit the amount of website administrator that you do have starting to see and I do want to just give Clarity on how to setting up your admin account again. The profile to use a type to use a type is also what population use can you stop to like you on the live site if you seen him on the back in but they're not showing on the front and chances are you haven't selected one of the types below and then if it's a website administrator account you just website administrator if the user should be listed as staff you was too messed up but you do not need to check the edit access column as the website administrator is the highest level of Baptist selecting edit access you know is pretty much you doing double work so we want to limit the amount of work that you do when you're setting up the website administrator the next thing that I did want to cover with you and again just a brief you're updating your status here and what it's doing is populating your staff directory one of the option you do have the dishes View may not started using this option yet but I think it's useful at a site management staff directory this allows you to categorize your staff so if you want your teachers to be listed or if you want your mr. ballistic two different grade levels to be listed and then it makes it much easier for your prayers to go in and find your staff the directory options you can group the shaft by the user type or the section first name or last name if you want the profile photo to show I've seen a lot of stuff directories who don't have that option checked out what you have images attitude the profiles on the back end so they can show checking my profile tells you have different options to your layout so once you refresh your usual sounds of your staff directory so now let's discuss your calendars a lot of you have questions with integrating calendars this is a really great option for a lot of people who are using a master Google Calendar Office 365 for your school cut down the amount of tedious work that you're doing and Take Along something like into writing it is under site management and setting in your settings for going to even tab you going to see your two options here Google Calendar Office 365 quick and easy process again you can integrate as many calendars as you'd like I do know a lot of you have you know maybe like your general calendar your athletic calendar you may have a staff calendar parents calendar again on the events section allows the user to click the title they're taken to a landing page with all of the details that you added in the Google Calendar or when your users could you all or events calendar title itself they're taken to a landing page to see all of the details a larger overview and then all of the categories that you that the calendar view is a printer friendly version and of course you have the Subscribe option always recommend that your parents subscribe to your calendars. General calendar but remember teachers have described buttons on their Pages as well subscribe subscribe subscribe easiest way to keep your parents abreast of what's happening with your what's happening with your District what's happening inside those classrooms if you have questions about you know ways to wait for your parents to subscribe you don't think about when you have different changing your parents are together I'm back to school night for example a lot of teachers or administrators have your library for second you your are we have your school website up click that subscribe button and they're good to go I know when they are subscribing to the calendar in particular what you continue updating your calendar whether it's to Google Office 365 or manually update the personal calendars immediately so get this is a great way to keep your parents updated with all or in categories Below in you're getting your parents in the habit of coming to your site to find information so those of you looking to reduce the amount of calls to your office for you know the basic details that can be found on your website this is a good way to go about that just continue getting your parents in the habit of coming to your website which that I do want to add that it would be great for you want to publicize your website everywhere so whether you're sending out your newsletter weather your you know adding website to documents being sent home to your parents adding them to your social media accounts a lot of you are not using under the announcement don't your social media manager I would definitely encourage you to do so this also include scheduling option so right now you can use Twitter or Facebook a lot of you ask about Instagram please remember that ice cream does not have a desktop version that's the reason why you don't see that option here so with Twitter or Facebook is going to take you to your settings where you enter the credentials and there's also a scheduling option here for example if you have added the news to your website Monday morning at 9 a.m. you can say for instance I actually don't want this content added to social media until Monday evening about 5 Universal 6 p.m. you can set that information up to be posted a little differently here if you'd like again this is just the way or parents for you to get this information out to the public and then your parents in particular The Hobbit finding some of those details or even important information on your website know what does subscribe option with social media these are good topics for you to keep your parents updated on I'm just so that they stay in the know that's one of the things you will continue to hear a lot of people mention to you also it makes it much easier for you when you're getting your content out there now in addition to that we have an option A lot of you may have it under your I'll drop down menu That's the contact us form this is a great way for your parents to ask is just for general questions or enquiries contact ice form out it is going directly if you're in your settings click the contact tab it is going directly to the email address that you have listed here to some of you have haven't what's the email address out it's still your super-admin or our first point of contact that you know we were in contact with when your site and that person may not be with your school your District any longer I would suggest reviewing this content and making sure that it's up to date because you may have contact forms being sent to an email address that is no longer active so with that Candice needs to be up maybe your school's General email address or you may have a group of people who you would like to receive these email address you can separate the same and again once this is completed it will be soon. what are the things that I do want to add to the contact us form is a lot of your forms look like what you see here so if I were to click your name it prompts me to sign in with Google or login with Facebook a lot of you have heard me mention this before but this is a great security option to you don't have on the contact us form however whether it's small or large I have a demographic of users who are not tech-savvy or they are not you know connected in the social media world please keep that in mind so if that is your school and you are considering turning this optional go to sleep 30 it's always off so that way when they are going to your contact us form to against in those general questions are increased they clicked your name they're just able to complete the 4 minutes entirety keeping in mind that you do have the option to manage you drop down menus another thing that I do want to cover with you is the options for the number of options that you have in your drop down menus and how you're able Jackson mayonnaise most of you know you can find this under site management site navigation now before I dive into this a couple of notes Here limit the menu options to 10 and a lot of you who have been in you know your trainings that may be the first time you've heard me Satan but Chan is more realistic the amount of options that who have you know tons of boxes to be listed in the drop-down menu sometimes I need the number to start with remember your parents and students or just to come to your side and move on to the rest of the continent in the site you don't want to or have you drop them and you can be confusing so keep in mind you are able to manage the options within the drop-down menu how to change the title of the drop-down menu and you're able to change the order of the menu option what you cannot do is delete any of the current menus and you cannot create new that needs to go to technical support if you wanted to change the title click edit update your text if you want to change the order of the menus Dragon drop the entire menu if you want to change the contract within the menu Your Dragon drop it's not restricted to just this one minute you can pick it up or down to any other men you as well if you're adding to the menu item and you have for options section paid any and all content that you manage in pages in a lot of you know we have an upcoming training on pages so please be sure to for that because I'm definitely going to dig in deeper about be placed here I normally recommend using a PDF I'm again keeping in mind that you do have. may not be text RB PDF opens immediately and then you have your feature page all of the features that we offer below so this would be your video gallery Skylanders your bulletin board that's what your features are for you going to find a complete list here select one of the four options choose any of the two options below done once done apply your changes and again you're going to see them in the lifestyle now for those are additional content here this includes the images within the menus of course you want to add your alternative text and maybe the caption included with the photo I do want to remind you all of it extremely important across-the-board as you know we have done a training on this this can also be found in your help center I would recommend if your if your stuff is just getting started with using alternative can you want you know just a few more details to Four Corners to give the best practice of moving forward that's the best option and resource for URS to use the video or use the page that we have set up in the Hope Center for those of you who do not know it is primarily used for those users who are physically impaired or sometimes they have traumatic brain injuries for example and they're using screen readers and different stock what you access the content on your site okay so the text is essentially just a brief description on that video or that image now with that once you've added those details in your navigation Jen if she would like to add any new menus or delete any of the Caribbean use that needs to go to technical support as you continue keeping your sights updated and adding fresh new content be sure that what you have on your life site is current I'm in order for you to do that just go through your models and take a look at the date because I know a lot of times the concert that you have here is State specific if a scheduling option is available to you I would suggest using the scheduling feature and then even with your spot like messages a lot of you do not know you happy since you now update your title under not announce quick
