Hello everyone thank you so much for joining our My Edlio Series today we will be covering spring cleaning so that you can actually prepare your sites for the new year. So a few of the areas that we'll actually be covering are news users, terms and of course more and as usual we will have a tech support rep in the chat who can answer any of the questions that you have as they arise and this video will be recorded and it can actually be accessed in our help center along with all of the other webinars that we've actually done. So let's actually go ahead and go into our dashboard so the first thing that I'm going to want to do here is go to my drop down menu and let's go into announce and use an alert. So news alerts of course is where you see all of your active news that is currently showing on your website. So there may be some posts that aren't relevant anymore or you just don't really want to show them on the site so you have two options here, you can of course go in and completely delete the post off of the site, that means that it'll be gone you can't really bring that post back. But let's say for example this welcome back to school this isn't something that we want to show yet on our website so what you can do is if you actually click disable and yes this will actually take it off of your homepage and when you're ready to actually post this news again if you're going to show disabled news you can actually go in and edit the post and then enable it back to the site. So it would be great to go through any the post that you have here that really aren't relevant anymore if you want to delete them so they're no longer here you have that option and then of course if you want to disable it come back and edit it before the school year you can go ahead and do that as well. The next area that I actually wanted to cover is if we go back into our hamburger menu, let's go in to Site Management and user management so user management of course is where you're managing all of the users who have access to your site and of course your staff directory if you use our feature. So what you want to go ahead and do here is if you have users who aren't at the school anymore you know they're not going to be coming back what you can do is if you actually click on the user you can just go ahead and delete them completely so that way they don't have access anymore but if let's say this was a user that you wanted to disable maybe they would be coming back next semester you can actually go into edit profile and when you scroll all the way down you have the option to actually disable the user and click save so that'll just temporarily disable the account you can just go ahead and click delete user click okay and that'll go ahead and delete them off of user management for you. And then another tip that I would like to give as well is for the website administrators as a best practice we usually recommend having around three website administrators so it's easy to manage who's really going in and changing your content so we recommend three being the best practice. so now let's go back into our drop down menu and let's go into site management and site navigation so this of course is where you're managing everything that falls under your drop down menu options here so if there's ever anything you want to delete or add you of course to that in site navigation. So another best practice here is make sure that if you have a drop down menu a best practice that we like to offer is make sure that maybe there's about 6 to 7 items so it doesn't bleed through the page as people are scrolling and that way they can of course see the pictures that you also have in your shuffle and then of course if there's any outdated content that you don't really need in your drop down menus anymore if we go into our site navigation you can actually just go in and welcome back to school night for example is something that I don't want in the drop-down menu over the summer I can just go in and click the delete button delete link and all assets and then of course you always want to make sure you press apply changes because if we don't that's not actually going to delete it off of the site and let's say also wanted to delete an the food menu here same process apply changes and our bell schedule might be different for the next school year so I don't want to showcase this one any more again I'll just go ahead and click the delete button delete here and apply changes so now when I actually go back to the site and I refresh I just want to double-check that all of this was deleted off of the navigation and it's not here anymore another area that you always want to make sure is updated is if you're actually using our contact us feature which is the form that parents and the community can come in and fill out and the responses are actually set to go to the email that you have set in your settings you always want to make sure that that email is updated and the we know we actually go ahead and change that email is I'm going to go back into the drop-down menu site management and of course our settings option in settings you want to go ahead and click contact so this is the current email that it's set to, if you wanted to change the email or maybe set a General school email that you have you could of change that here and then just go ahead and click save so maybe I wanted it to go to email at email.com for example and I would click save here and that'll go ahead and update the email address so now the responses will go to the new person that you put in charge of that. So let's go actually to the site now I'm going to scroll all the way to the bottom, one area you also want to make sure is updated is the bottom footer area so maybe there is a new phone number or your address has changed for the school you just want to make sure that you let your client success Specialist or someone in tech support know so they can actually go ahead and update that for you so all of the information is of course correct and another area to focus on as well is if I scroll up some websites might have the quick link areas that you see here this is also another area that if you needed it to be updated or you wanted to change the content that was on there for the new school year or even at any time you're going to want to go ahead and submit a tech support ticket so that they can go ahead and change that for you so it'll reflect all of the current information that you would like to be posted on the website so now I'm going to actually navigate back to the Admin site and I wanted to cover two things for teachers so I'm going to go into the drop down menu here and under classes I'm actually going to go into terms so admins, you always want to make sure that if teachers are going to be posting their classes you want to make sure that you actually have the current term set and if you don't have a term set you can just go ahead and click create a new term and of course you could call this either summer or let's say this was fall 2018 and then you could go ahead and place the dates here. Right now it looks like there is a term set so what we always recommend is setting the term as soon as the first term ends so that way if teachers want to go in over summer and update their pages and pull over their classes they can actually go ahead and do that because if the term isn't set and let's say it's the actual first day of school they're not going to be able to go in and pull that content until the first day of school for example this one set to end on August 11th so if I were creating my new term for the 2018-2019 term I would actually just go ahead and select the 12th and then of course you can select which ever date you would like the term to end on and click save so that way teachers can go in and pull over their classes. The other area is teacher pages so I'm going to go into page management and click pages and I'm actually going to go under personal Pages here which is of course where teachers manage their pages so I would recommend making sure for teachers that you don't have any outdated info on the pages so for example photo album, if you had maybe do photos that you wanted to post and these were pictures from a previous year just go ahead and delete those off the site if you don't want it to reflect for the new year and then of course any posts that you have so if I click this link for example and I scroll down I can see when everything was posted so if there's anything here that isn't really relevant for the new school year just go ahead and delete that so you can just click the three buttons or you can unpublish it if you wanted to bring it back and that of course will go ahead and take that off of your page. So just make sure that you're going into your pages and taking off any information that's not relevant so you're ready for the new school year.
