In this Edlio, we highlight how administrators can best use their school or district’s Edlio Website. We share website tips that are easy to implement and can have a big impact on your school or district’s communication with parents and students.

Hi, everyone! Thank you for joining the Admin Overview Webinar. Today I'll be walking you through a general overview of how to update your website and keep pertinent information on your site for your community. So, when you log in to the CMS you will see your dashboard here and then we can go ahead and start updating areas that we need to push out important information. We can start by coming to our hamburger menu and coming down to Announce and New and Alerts. This is where we're going to be able to add any news and announcements for any special occasion that you may need to get across. So we'll click 'Add News' We're going to give our news article a headline. And then any additional content that we need for our news story. We have our normal formatting options here just like we do in our pages. If you need to cite a source or link to a source you can, as well as upload a photo or a file here. We just drag and drop. Add our alternative text. And then whenever we want to deliver this we get to choose whether it's right now or if you're planning ahead for an event later on you can schedule that date and time here. Now that we've created this news article, we have the option to push it out to any of these tools here-- Social Media Manager, Homepage pop-up alert, Broadcasts, App Alerts, and our Email Sender. So let's go ahead and make a Homepage pop-up alert that's going to show up on the homepage and it'll be the first order of business that your website visitors have to acknowledge before they continue throughout the website. We'll go ahead and post this now but additionally just like you can schedule your News post you can also schedule when this expires. You can see here we now have this activated so we come to our home page and we do a couple of refreshes. Our homepage pop-up alert from our news article is here. If we click the X then that's going to close out the pop up for the duration of your website visitors navigating throughout the site. If you hit okay it will continue to pop up anytime they come back to the homepage and then of course they can read the full news story here. Again, when we come back to the homepage when we scroll down you can see our news article is listed here and again when we click on this it brings us directly to our news article page. Now, navigating back to the CMS we can also push this again to our social media, to a Broadcast, App Alerts, and through the Email Sender. Coming to the Email Sender we can go ahead and you'll see our headline is already here for us and this is going to be our template that is based off of our news articles here. We can add additional news. So you can see now we're going to have these layouts here and when we click continue we'll go ahead and we'll add our email addresses here, who it's coming from, who it's going to so we can use any existing list we already have whether it's a class or custom list, we can choose any of those. We can also choose to upload from a CSV file if you happen to have all of your email addresses in a CSV you can do that here by clicking and dragging and dropping just like we do our photos. And again we can schedule when we want this to go out. We have now sent out our email. This is also going to be where you can see how many people have received this and again this is just keeping everything nice and organized here. If we click on it we can also see what this looks like on our desktop and on our mobile device. Coming back to our main page we want to make sure that during this time where schools may be on hold, you might want to take this time to come into your website and maybe do a little bit of spring cleaning. So you can come down to Site Management and User Management. This is going to be the area where all of our users live. So we have our website administrators at the top and then all of our regular users here at the bottom. So perhaps a teacher has moved to a new school and they no longer need access to the CMS, we would just come here, we would select whichever teacher we want, we can click edit profile, and then if we scroll all the way to the bottom we have the option to delete the user all together. This will remove all of their information from the website including their personal Pages. We can also disable or lock out the user. So just in case if this teacher was just going to be gone for a semester we could disable them and they won't be showing up and of course we can also lock them out if we didn't want them to have access to the CMS but we still wanted them to be in the User Management. Another great way to get information across other than our News and Alerts is going to be our Spotlight message. So we could go ahead and let's say we want to edit this to promote a special event we would add any of our information that we needed here. We can choose a new photo. Add our Alt Text. If we needed to add a file we would just drag and drop it here just like our photos. Then we go ahead and click save. Do our refresh. Now you can see our Spotlight message has been added here. When we click on it and it brings us to our article, our image that we uploaded, and again it's going to be right here on the homepage so anyone can see it when they navigate to your site. We also may need to go ahead and update any of our calendars. So we come to Plan and Calendars and then we can add our calendar event here. Any links that we may need to add, any files or images. Right here we're going to select if we need this to be a repeating event, if it's a one-time event or all day event so since this is Taco Tuesday we're going to repeat it weekly on a Tuesday. Then we click save. We have to select which calendars. And now you can see our newest item here has been saved and it will repeat every Tuesday on the calendar. So when we come back to our site, come to our calendars, we will now see that our Taco Tuesday has been added. All right, we come back to the admin. Another good idea while you may be working from home is to make sure that you have everything updated in your Site Management here. So, in our site navigation this is going to be where everyone comes to see the most updated recent information. So it's always a good idea to do a little bit of spring cleaning when it comes to the pages that you have in your dropdowns. So we'll come to Site Management and Site Navigation Any of these items here you can easily update by clicking. If you needed to remove this or add a new page we would do so here. The staff directory will be pulled from User Management so all of that spring cleaning that we did on our users earlier, that's what's going to show up here. Here, if we needed to edit this after school we'll just go ahead and click here and change it to any other page or section that we need to be added. We would just change the title. Click out of it and always remember to click Save up here. So now we see that we have saved this successfully so when we come back to our homepage our site navigation items should be updated. Additionally we can drag-and-drop to rearrange the order so if we wanted this to be the very first item we would just move that up top, click save do our refresh and now you can see our "Finals & Testing" is now the first page in our site navigation. Now, to clean up the pages we will want to come to Page Management and Pages. This is where all of your content lives so think of our Pages as a filing cabinet. We have our categories. You can have up to six categories and think of these as the filing cabinet. When we click into the filing cabinet drawer we now have all of our sections. The sections are going to be like the folder that is inside of the filing cabinet drawer and when we click into our section, we are now brought to our pages. So the pages are like the pieces of paper that lives within the folder that live inside of the filing cabinet so you can think of your organization that way so you can easily remember how to quickly navigate throughout your pages to find which pages you're wanting to update. So we can come in here and just like any of our other drag-and-drop tools with these six dots we can go ahead and rearrange here. If we need to edit something on the page we would click into it and update here. When we click into our content we can go ahead and update any of our text here. We have our formatting options at the top and we can also add images here. We have the option to have a single image or multiple images. They can either rotate or they can stack one on top of the other. If we wanted to add another image we would simply just drag and drop. Add our Alternative Text. Click save. And then we want go ahead and publish this. If you want to see what your page looks like before you add it we'll just go ahead and click here and now we can view our page before we actually add it anywhere into our site navigation. You can see our images here they're going to be slowly rotating and we can again navigate through that section with our Section Menu here. Another great idea when doing some spring cleaning and updating your website is to also remember that we have our incredibly helpful homepage widget. This is another way to get information across very quickly. Just like the homepage pop-up alert, this is going to live on the home page and it will be engaging your community with the particular highlighted items. So we would click our dots, drag-and-drop and think of this as your homepage here and this is where the form widget or the button widget will be living when viewed on the homepage. So our form widget is going to be with the way to collect information from your community so if you wanted to set up Remote Learning We would give our form a title and then this is where we're going to specify what information we're collecting that will then turn into a custom contact list. So we can hide or show first and last name and any of the required fields, so I want both fields to show here and then we have our subscribe button. We need to select which contact list we want this to go to. Let's do a custom. Click save. Now this widget is ready to go. If we wanted to add a button widget as well we could do that. The button widget is going to be simply that-- a button that when clicked will then redirect you to the specific URL that you're wanting to go to. Click Save. We come to our homepage, do those refreshes again and you can see here our form widget which is going to collect that information to go into our custom Contact Lists and then our button widget that we placed up here at the top. As we scroll down they're going to stay in that same spot on the homepage. We always recommend maybe not having the widget somewhere right in the middle because that could obstruct any view of any special news announcements, spotlight messages, so you may want to keep it over to the side or up at the top or maybe somewhere down in the bottom. When you click the x is going to go ahead and minimize it but we can always expand again. Another great idea when you're doing some spring cleaning is to update any of your media, your photos, videos, your homepage shuffles. So when we click on the shuffle this is where we upload our photos here, which is what's scrolling in our top homepage photo shuffle. So if you'd like to highlight special event, once the event has passed, this is where you would come in to update it here. We click our pencil. This would be where we rename items. We click on the actual image and this is what brings us to all of the images that live in our shuffle. We have the option to upload our photos here with the upload media and just like all of the other modules it's a simple drag-and-drop or you click upload from your computer. This is where we would adjust the layout of our slides so we can come down here, scroll through see what images we uploaded already. This is going to be the slide transition. So at the bottom you see we have our little thumbnails here. If we wanted we could choose arrows which you can see here. Just scroll through. Dots, which are at the bottom. We can select the duration of the shuffle so what a lot of people are doing right now to get across information that is really important, they've actually been updating their homepage photo shuffles with info regarding school closures and remote learning. So that would be a great option to have different images with any sort of content on it talking about remote learning, working from home, so it would be a really good use of the homepage photo shuffle right now. Go ahead and click save. We come back to the homepage and refresh. Any of those images that you uploaded here will then be showing. One more great tool while you're working from home, maybe doing some spring cleaning, is to come through and make sure that you have again all of your Calendars updated, coming to announce all of your news and alerts updated, your Spotlight message updated. You can go ahead and plan ahead with the Email Sender to send out newsletters. We can also send app alerts here. So to send out that app alert to your school news app, you create a new app alert and we have up to 160 characters that we can send out. Any links that you need to link to here and then we would go ahead and we can click Send Now. And now that alert has been sent to the school news app so when you log into the school news app and you go to the alerts section, this particular message will be waiting for you. Again as we're doing our spring cleaning and we've cleaned up our pages, we've added our homepage widgets, we've come through and cleaned up our shuffles. Don't forget to update the Terms so your teachers can set up their classes and assignments for all of their terms. So our terms are going to be listed here. We are currently in one. You want to make sure that the terms line up back-to-back so that there is no interruption in teachers adding their classes and assignments. Our classes and assignments will be going here. This is where you would add one if you want to show all, if you are connected to Google Classroom, we can integrate with that here. To integrate with Google Classroom we'll come to our settings, classroom, and then this is where we're going to go ahead and connect all of that for you. Coming back to our hamburger menu, in our community we have our forms module this is also going to be a great way to gather information from your community so they are up to speed on everything. Another great way to collect contact information, we can click new form and let's go ahead and create a new form. Here we can go ahead and drag-and-drop our contact so this is going to auto fill all of your contact information here to gather that from your community. If there's a field you don't need just simply click on it and click the little trash can. We can add any of these fields here by dragging and dropping. We have additional options here. We can do a multiple choice. We click out and it's going to save that here. We can add any additional text blocks. We have our formatting options as always. If we wanted to add a photo here we could do so as well. Add our Alt Text. Click save. Now we can adjust the size of our image by just dragging here. You can also select where you want this image to live within the content. Then we go ahead and click save. Now we need to attach this to something so your community can find the actual form. So we'll go ahead and let's go ahead and add this. When we click on the link you can see now we can go ahead and view our form that we created. Let's go ahead and copy this link. Let's go ahead and attach it to our button. So again we're going to come to our Page Management, Homepage Widgets We can edit this Add our link. Click save. So you can see just like that, in a couple of seconds we've updated our homepage widget. When clicked, now we've got our form. The form responses are going to live in your contact lists. So we'll be able to gather that information here. Also, when we navigate back to that particular form you can also see how many responses and when you last sent out that form. If we needed to edit anything here again we would simply click in there and we can go ahead and edit whatever we need edited. Thank you so much for joining us today.
