This is a 15-minute training on maintaining and updating your Edlio Pay solution store. We show you how to update and remove outdated products before the next school year.

All right and I'm going to share my screen here so you should see that in just a moment okay you should be seeing my screen so if you look here is that Edlio Pay management portal still says OSMS management portal so I don't worry. Don't be confused I'm going to show you a couple things we're going to go over how to set up a user how to bulk update teachers or other information and then how to create a copy of a product in case you're repeating something from last year so right now I'm signed in as a bookkeeper at Sunnydale high school so I signed in as I normally would so first thing I'm going to do is show you how to set up a teacher so in this green menu bar at the top there is a set of drop-down I'm going to hover over the setup drop down and click school teacher and I'm going to set up a new teacher for the school year so if I come over here on the right hand side we see add new sponsor teacher so I'm going to click that and here I'm going to type in the email address and the last name and the first name and then I'm going to click update and this sponsored teacher information has now been added an updated so Jeannette Holian is now in the system with this email and then I as the sponsor teacher will get an email that looks like this I'm going to pop it over here so you can see you should be able to see this email with information about how to login theres an automatic password that is generated and sent to you and the portal for your District this is a test district and then you would just click that link and sign in with that information and then the teacher can change that information are they can change the password once they are logged in okay so that is how you create a new teacher so let's go ahead and move on to the next item so I'm going to show you now how to do a bulk update of teachers so now that we've created this new teacher what we can do is go to transactions in that green menu bar we're going to hover over that and then in the drop-down click OSP products okay for example, let's say that Tom Hanks retired over the summer and so we want to update all of his classes to a new teacher so I will search in this menu bar here and I will click on the magnifying glass and all of the items for Tom Hanks will come up so I can also include some additional features here click this additional filter drop down and let me show you you can select the sponsor teacher her from this drop down when i click the additional filters so lets find Tom Hanks and I want to search I'll click the magnifying glass here all those items will come up and now that we did the additional filters in searched for the teacher here you can see over here this Bulk Update button came up that wasn't there before so now I want to click bulk update and since we did the additional filters for tom.hanks@osmsinc.com what I would do is click to select sponsor teacher and I would click a new sponsor teacher and then click this box here and click apply bulk update and that will automatically make all of Tom Hanks' has products go to Bradley Cooper by just selecting the new sponsor teacher and selecting update okay now let's say that you had to change in fund accounts you can also do that so we could go back to this let's go ahead and clear the filters additional filters lets say that we change fund accounts we could select the fund account that we were using last year that 1025.00 and hit the magnifying glass and now that bulk update button comes up you want to click bulk update and we want to select a the new fund account where we want them to go click the update box and then click apply bulk update here and it will update. Now you see if I wanted to I could also change everything in that fund account to a new teacher as well and click update and it will take everything for that fund account 1002.5 or something and assign all of them to Chris Pine and change the fund account so you can change just one thing here or multiple things here you can see it will also show you how many products that this change will be applied to okay I'm going to click cancel because we don't actually change anything but that's how you do those bulk updates updates for any big changes that you want to change that have happened over the course of the year because maybe you know you have the Fall Dance every year and you want to just reassign those or maybe you have a donation that stays up and you just want to assign it to me that's what that would be great for alright so now let me show you one other thing we're going to clear the filters again so you know I just talked about maybe you have things that repeat every year so let's say that every year we have these school fees okay so they're already on here for 2020 but let's say lets find something that's a little bit older let's say we want to repeat this popcorn fundraiser okay so lets say we have this popcorn fundraiser every fall and we want to repeat it for next year so we could go to the popcorn fundraiser and click edit and then here we see all of the information for the popcorn fundraiser and we want to have it again and so in order to have it again we can just come down here and click the copy button the activity copy is now completed and now that we've copied it we know it's copied because that activity number is blank and has not been saved yet and so then we would we could rename it popcorn fundraiser 2020 through 2021 fall however we want to name it and change those dates to the fall can we change it to August 10th 2020 and then you know whenever we wanted to come off line and then we would click save because everything else is staying the same so now that we save that the Activity number is there and if we go back to the products we should be able to find that popcorn fundraiser for the fall is updated so anything that you repeat yearly you can just go in one to one program click edit make a copy okay and then make any changes as we just discussed i just added 2020 to 2021 change those years in there so then we would change this to the fall 2020 maybe we would do August of 2020 since it's the beginning of the school year so maybe you want it available August 3rd 2020 I'm going to that run through 2021 and so then we would just click save and now we know it's saved because that activity number has populated up there and then if we go back to OSP products we see that one to one program for 2020 through 2021 is now available in the store and will be available to purchase in the school store on August 3rd 2020 so its available for us to edit parents will be able to purchase it on that date of August 3rd 2020 if we wanted it available now we would just pick a date now but that's how you can do this maintenance things you know every year just to kind of clean up your store by just making a direct copy and making a new product for the new year adding new teachers and doing that bulk update for any information that you need to update and in mass like that as a school year gets started so now you know if you have questions please make sure that you're popping those in the chat so that way we can answer them as we are here to maybe there's something I can even show
