[Edlio Webinar] 20/21 School Year and the New Normal

In this webinar, we highlighted how teachers and administrators can best prepare for the upcoming school year, whether their school is conducting classes virtually or in person. We shared website tips that are easy to implement and can have a big impact on your school or district’s virtual or in-person communication with parents and students.

So what we should be looking at right now is a demo website called Rilo High School and I'm going to be going through with you guys some of the tips and tricks and resources at your disposal with Edlio, to help you adjust to what we call, or what we kind of need to start thinking about as the new normal for the next coming school year. Because no matter if you're planning already on being back in person, if you're planning on doing all hybrid - all electronic or online learning, if you're trying to prepare for a hybrid or to have to switch from one to the other certainly just being prepared is is our recommendation and a good thing to keep in mind with all the uncertainty going into this coming school year. So we're going to show you some things today to keep in mind when getting prepared for your website. So I'm going to go ahead and sign into Rilo High School and this is a teacher profile. As a teacher, this is the limited dashboard that you will see. You have access to the plan feature, meaning access to a calendar or any facilities that you might manage; the announce feature will give me access to the email sender and contact lists; my pages are housed underneath page management; media gives me access to a personal photo album and a video gallery; my classes are linked here as well as posts. The links feature won't come up too much but I also do have access to that as well. So what we would recommend doing for your back-to-school preparations is making sure that all of your teachers have the basic setup for their Edlio teacher page, and getting them logged in and looking at this dashboard is the first step. And the way that they will begin to manage their pages is by navigating into page management and pages. The basics that we would recommend having set up for them are an About page or a bio, which could also work as a homepage, a calendar, and then having your classes connected, and I'll go through each of these features. So inside your page we would recommend them having some kind of home page or a bio and it can be as limited or as detailed as they'd like it to be and this content is basically just going to be what someone sees when they first visit that teacher page. We also do recommend that they have a calendar linked. They add that by going to add page and then adding a feature page. In their calendar they can add their events. Once they're inside the calendar they can add more events - see, here I have the first day of school linked, I also have Labor Day linked for September. Once that's added that can be listed inside of their teacher page. And then finally we recommend them having their classes set up. They can add classes that are integrated with Google Classroom if they use that. If an administrator would like them to be able to link their Google Classroom to their classes, that's a feature that you would need to turn on at the administrative level and I can demonstrate that or your client success specialist for the tech support team can show you how to do that. So, once that's allowed, however, a teacher can go ahead and add a class, link it to their Google classroom, and then they can manage their Google classroom and it will push into their Edlio version. Once all of those are set up, it will end up looking something like this for them. So when someone goes to the staff directory and looks for their teacher, they'll come to the home page and see their bio, they'll see their classes the teacher manages, and then they also will see their calendar. These are the basics that we would recommend having each teacher have set up for the back to school period. They can build them out after that to have other pages, so for example you can have them build out a page for specifically online learning. They can connect files, a page for their class expectations, any other page they like to add here if they feel comfortable and would like to build that out for their parents or their students. They can add a photo album, they can add a video gallery, all sorts of things that they can build out once they're inside their teacher page. But these basics will set them up for success to have everything important accessible for their back to school. I'll go ahead and show quickly what it would look like for the classes. If you have assignments listed for them, they'll be listed here; you can also just go ahead and pop straight into the Google classroom. Parents can subscribe to the individual classes or they could subscribe to the teacher themself. So if someone were to subscribe to me they would get updates about all of my content. If they'd like to just subscribe to the class they just get updates about the class. So these are the first steps that we would recommend teachers having set up for making sure that everything is at least in place for back to school, either in person learning or online learning. For online learning having this set up ahead of time is going to be really helpful so that as the year proceeds all of this is in place even for back to school being able to tell your parents, "hey just go to my teacher page on our website, on you know Rilo high school dot com, all of that info is there." And as the year progresses they can keep working through this, so if I'd like to make a quick post here those posts will show up on their homepage. As the year goes on if I need to link files or photos to my personal page, if I do decide that I'd like to go ahead and add new pages - they can manage that as the year goes on. All of that can be managed after they get those basics setup. Just a quick reminder about managing Pages - you can drag-and-drop the order of them. So let's say I want this to be highlighted underneath my homepage: I can just drag and drop it. And in this way your teachers can get everything set up ahead of time to manage back to school. Now a couple of things for at an administrator level. And I'm going to go ahead and pause sharing really quickly so that I can illustrate this from an administrator point of view. To set up a few of these for your teachers you'll need to do a couple of things ahead of time for them. To make sure that their classes are ready to go for them you want to make sure that a term is set up and a Term is going to be where the classes are assigned based on the year. Classes must belong to a term, but the term does not need to be the actual term of the school year. So say for example you're in class from August until June - your term can actually be the whole school year if you'd like, meaning all of a calendar year. In fact that's actually the way that we would recommend doing it because unless a term is set up a class cannot be created. So what we would recommend going ahead and doing is setting up the term well in advance of when your teachers are going to be managing their content so that they can start adding the classes as soon as they need to. So for this example I'd like to go ahead and make my 2020-2021 school year term. I'm going to have it start on July 31st but I'm going to go ahead and have it end all the way until next year, so let's do So, it won't allow you to actually extra calendar, excuse me, an extra term if the dates overlap with an existing one but the sentiment still remains - the dates need to be not overlapping and they need to encompass the year in which you would like teachers to be able to add content. So if you'd like them to go ahead and start adding their classes just make sure that a term is set up for them for this coming school year and it can be from now until the following year if you'd like. The other thing that you'll want to make sure to do is have the Google classroom setting turned on for them if you would like them to be able to enable their Google classroom. And that's something that the technical support team can help you out with if you need help finding that to make sure that it's enabled we can show you where to access it or do it for you but if your teachers utilize Google classroom, we'll will just need to make sure that the setting is enabled so that they can sync them. So those are a couple of ways administrators can make sure that their teachers are set up for success. Now I'll transition to showing how you can also make use of Edlio websites in ways that are not specific just to teacher pages. So I'm going to go over to this website- this is a real-life Edlio client based out of Texas, and they have created a really great section of content specific to their online learning and I wanted to demonstrate how you could set up something similar to this using your Edlio content and your Edlio website in case you need to have a specific section available for online learning resources, news updates, if you need to place just anything related to coronavirus distance learning, community resources, anything like that you can create something very similar to this. So what Dawson has done is made a section of content where all of this lives this is one section inside of a category. So when you are an administrator and you're managing your content make sure that you start by going into pages and then working from category pages. And I'm going to go ahead and go into any category, it doesn't really matter, but I'm headed to the miscellaneous category. And I'm going to create a new section. It looks like someone has actually done something similar so I'll illustrate, I'll show this but I'll show you how to set it up as well too. So once you've created your section, you can build out each of these pages for whatever you need to share with your community. I'm going to call this section, this new one that I'm making I'm going to add and edit this section and then I'm going to make new pages. Your content can be built out through here with photos, files or extra text content. You can also make sure that your section menu is displayed. Once more pages are added then we can display the section menu, so I'm going to publish this, and then add another new page and I'm going to publish that as well. Once that's added you can go back to your section and there are all of your pages that you can build out with whatever content needs to be displayed to your community. A couple of other steps that you can take: you can link this in a navigation for example, you can add this to a drop down, you can contact someone at Edlio, someone like myself in the client success team or the technical support team and we could add a new navigation item for you specific to this and link this section here. If you'd like to add images such as these into the section menu what you'd do is go into the page that you'd like to add images to, go into you section menu, add photos. make sure that you have your alternative text added and there are your images. The images can be hyperlinked as well so in this instance all of these images have been hyperlinked to go to other pages If you'd like to do that you can add a photo I'll choose this picture you can change the layout always make sure that you publish your drafts and that's how you can build out a section of pages inside the main school website for school wide or district-wide content that's important for everyone to know in case you need to make updates either for normal back to school procedures or specific procedures for The New Normal. So those are some ways that you can manage your Edlio website to keep your website updated, I'm going to go ahead and show a couple of other quick things that you can add on to your website if you really do need some additional resources for communicating with your community or just need that extra level of assistance. One additional step that you could take at a district-level or if you have one website already is we could work with you to create a specific website just for your remote learning or your online learning. This is another district in Texas and they have, with our help, created a new website specific to do and only for their on demand or online learning and this is something that we would be more than happy to work with you if you do need that extra level of content specifically to your distance learning so just feel free to reach out to the technical support team or your client success specialist if you do feel like this is something that you need and we can work with you too. This is an additional feature, there would be a fee associated with it but we'd certainly be happy to work with you to get the set up if you need that. A couple of other items that you could add on with our features is our Edlio Pay modules so if you are looking for a way to take payments or collect fees for back to school in a contactless way so if you are not sure how you would normally take your payments if you're used to collecting checks or cash for any kind of back to school fee and we do have a feature that you can add on again you'd want to get in touch with someone in tech support or the client success team to get that process started but we have an additional module call Edlio Pay for creating a school store to collect credit card payments for any kind of associated school fee so what that would look like once this page link for you so let's go to Let's try this again So it would look something like this for your school or your district and what you would be able to utilize this for is collecting those fees that you normally might take a check or cash for if you're looking for a solution to gather all of that money for your school district in a contactless, social distance manner this might be a good fit for you so feel free to reach out to us if you have questions about that The kind of items that you can collect are in this example version, a pre-K registration fee, field trips, parking passes, school clothing, other school fees such as a locker fee, a lab fee, Chromebook or technology fees, any kind of fee that you would normally need to collect you could utilize this for. Once this to set up they can check out for this almost like they would if they were checking out of an Amazon store using their credit card to pay and then the school district would collect that money through an accounting system. Finally we do also have an option for communication so this is our Edlio Engage feature, and Edlio Engage is our most recent family engagement option for schools and districts, and this would be a way for your district or your school to connect with your families it would allow your teachers the principles the administrators to communicate with parents and even students, if you'd like to set it up that way inside a private almost like a social media community just for your school or your district you can filter by groups you can filter by your individual family so if you have a child at an elementary school and maybe a child at a middle school you can have all of that filtered inside the group level you can share messages, photos, videos, files, teachers and administrators can send text messages, potentially even phone calls. It has an inbox feature for sending one to one messages between teachers and parents, it has a calendar for task sign ups and events sign ups and also has a directory and a network option that's potentially an option to display as well. So all of those items are available for our Edlio customers, some of them do again have those additional fees associated with it If you have questions about what those fees are or what it would be to set any of them up just feel free to reach out to us the client success team is able to help the tech support team is able to help anyone can get you to where you need to go to answer any questions you might have about setting up these features.
