Enjoy this training on collecting sponsorships using Edlio Pay. We show you how to collect sponsorships and how you can do that with or without a student ID.

Good Morning everyone and Good Afternoon Everyone! Welcome to our 15 minute lunch and learn webinar. Thank you for joining us today! Today will be focusing on collecting sponsorships. if you have not yet taken the basics bookkeeper training, you're still welcome to join but we do recommend you sign up for the basics training. We also have a couple of technical representative in the chat today. So if you have any questions please feel free to put them in the chat! We will answer them as we go along. Now let's get started! As you can see here, this is OSMS management portal. This is also the home screen of the parent web store. Let me sign on to my school, this is a test this is a test site. So I'm going to be using a test school. Now that I am signed into my school. If you belong to multiple schools then you'll have a drop down menu of multiple. But if you're only a bookkeeper to one single school then you will only have access to one school. Let me set up my sponsorship. I am going to go to Transactions then OSP products. Then I am going to go to add new activity/obligation. So now I have to add my product. So for my activity name, I can say School Sponsorships. Then for this one I do want a student ID, so in the short description I'm going to say "Thank you! School Sponsorships with Student ID". You can type in the short description whatever it is that you would like to parents to know. Then the sponsor teacher email address, that is whoever is in charge of collecting these sponsorships and making sure that they're going to the correct place. For my dates available-for sale, I'm going to make the products available today. Let's say I do not want them to come off the store until June 1. That is my last day of school. I can also select Fixed. A fixed-price type is a regular set fee that parents have to pay this fee. If it's going to be $10 then the parent has to pay $10. If it's going to be a variable, then the parent can input whatever amount that they wish to pay. For my fund account, I'm going to select general funds. I'm going to save. The way you know it's saved is by an activity number appearing. I'm going to go to additional options, For this one we do want student information so I am going to leave that unchecked. I do want a text box, so I'm going to select "item text input from purchaser". If I wanted to add an image, I can also upload one. I am going to save. Now what I'm going to do is, I want this exact same thing. Exact same product, but I don't want student ID. So I'm going to just hit copy and it's going to copy the exact same product. Now I'm going to say "without student ID". Then for my additional options, I'm going to select "no student ID required". I am going to back and save, Again, the same way you know it saved is by an activity number. Now that I have my two products up. I'm going to go to the parent webstore. I'm going to go to my test school. Which is Hogwarts. I'm going to go all the way down to my sponsorships. There we go! As you can see, there is one with student ID and there is one without student ID. Let's do the one "with" first. So I am going to select School Sponsorships. In my description box I'm going to say "this is for the drama club and I hope it helps!". For my price type, it is a variable price type. So that's why it has zero on the portal side. It is also zero on the parent webstore site. So as a parent, I can type in any amount that I want to pay. So let's sponsor $50. I am going to add it to my cart. Then I'm going to go back. Let's actually check out and let me show you how it looks when selecting a student ID. This is a test site so I do have an account. Now as a parent I have to select my student profile. So if I want Peter Bill attached to the sponsorship, I would select from the drop-down. If this is me coming in as a new parent and I don't have my student set up yet, then it's going to take me here to select student profile and it's not going to give me a student option. What I need to do is, go to to "add student" in the top right-hand corner. That is going to take me to a student profile page and I have to add my student. So I would type in the first name, last name, and student ID. Then I would save. If let's say Peter Bill doesn't go to the school anymore, then I would just go to student profile and I would delete him. Now, going back to my cart, let me add another product that is school sponsorship but without student ID. Let me look for it since I made the 2 products. Let's purchase them both. School sponsorship without student ID. I am going to select it. I'm also going to type in here "This is for Theatre". Then for my price I can input an amount again. Then I'm going to add it to my cart. As you see here, have 2 school sponsorships. I'm going to check out. One of them does not require a profile. I am selecting it and it doesn't let me, it is grayed out. So this would be the product that does not require student ID. Then my school sponsorships, this is a product that does require student ID. It is going to say Bill Peter, his student ID. I'm going to select next. It is going to save my billing information. I am going to select next. It is going to ask me to review my order. I can put in any purchaser notes that I want. Select and agree to terms and conditions. Select next. I have to put in my card information. This is a fake card so it's not going to work (anywhere live and real). We are also level 1 PCI compliance, so we do not save any credit card information at all. So every time a parent has to come in here to make a purchase, they have to put in their credit card information. I can place my order. Perfect ! So now we see here student assigned to School sponsorships. Now I'm going to copy and paste this order #. I am going to go to Inquiry then Payment iInquiry. I am going to look up my order # and make sure that whoever paid for a school sponsorship, their information is on there. I see here School Sponsorship for one of the products there was no student ID required and then for one of them there was. I can see the information for Peter Bill, along with how much they paid. I know that was kind of quick, I apologize for that! It was just a lot of information. If you do have any additional questions, please go ahead and email your CSS, Client Success Specialist.
