greetings to everyone thank you so much for joining us today Welcome to our live webinar discussion on staff blocks and staff directory today we will be joined play Sergio Flores by technical support agent and my name is Misty Rosenberg I am a client success specialist with edlio and very excited to show you some of our newest features with staff directory as well as some options of but other schools have done because we love when people show their personality through their website through their staff directory so a few introductory points before we get started this. video will be available in The Help Center so as you're watching as always please think of somebody that might benefit from this recording within 1 to 2 days the recording will be up on the help center and a link will be provided next to it to share that video with someone on your team your questions really really matter to us and helps us to know to pace ourselves in to get your feedback and know how we're doing and thinks that we need to do better or differently so please make sure that you know how to find the Q&A panel and feel comfortable to ask any questions that might come up during the webinar to help you to master your online presence that's our goal for focus today on ways that you can highlight and showcase your team is another reflection of our goals as a company we strive to provide the relevant features on your CMS that will strengthen the bonds between your schools and your community so strengthen the communication between you and hope everyone feel supported in welcome having easy and safe access to faculty and staff is just a part of that building trust which will work on today so today's webinar will include a staff directory overview with best practices for highlighting your staff and making it easy for your community to find them most importantly new customized stack blocks that are added to pages and how you can organize those there's multiple different ways you can organize your staff files finally tips and tricks on each individual user profile some options that you can choose on the back end to make sure that you have control over what will go on your website and real life practice we will set up a couple of different options of staff directories that schools and districts use so also before we jump it I just want to remind you in Monday we have a webinar on Google functionality for Edlio websites so we'll talk about Google Classroom Google integration API many different things that we already have set in place that will benefit you as we hop over to our CMS - where the museum in just a little bit and you know when you look at your dashboard staff directory is something There's a couple different options that I mentioned so as we begin here let's look on our hamburger menu this is where you can find things when you scroll down to site management And over to staff directory and here whenever you see a directory here that has the extension app staff this is the older version of staff directory we will be talking about this today but moving forward whenever you would like to start a staff directory from scratch you're going to go to pages so again hamburger menu case management Pages you can also access pages from your dashboard right here so will click on pages and again this is your internal organization of your CMS this is your preference and your team how you would like to organize your pages so some people will have one main staff directory that they place for example in miscellaneous other other school districts will have their staff directory split up into teams for example they have their Administration staff directory here they have their coaching staff their teams for example english team so we'll talk about all those options for right now what hop into the category miscellaneous and I have created something that I just want to show you all options of staff directory so opening this section up and in the section I've created some pages you would do a very similar thing so let me show you on the live site what what options do you have for staff directory so just a little bit about staff directory purpose of staff directory this is a place for parents to find their students' teachers so whenever you strategically placed this on your website you want to think about how when a parent is coming to my site where they look to try to find these teachers we don't want them to go on a scavenger hunt we want them to be able to find the teachers immediately also this is a place for prospective students and parents to get a glimpse into the life of the school this is more than just a photo of the teacher when you actually when you click on that profile you're taken to that teachers Pages you're taken to anything that that that teacher might be connected with and you can see the bonds the community that are built and set in place so you're one click away from their teacher page and this is also a place for parents to be able to subscribe to classes which is very important in times when teachers are using Google Classroom because a parent access on Google Classroom is limited if not completely completely blocked out of there so I'll tell you in just a moment when does is whenever a parent subscribes to a class in an edlio I apologize a Google Classroom classes integrated with that class that parent would receive an email digest every evening with all of assignments that were posted on Google Classroom that particular day so we'll talk about that it just a little bit so this is a great place to contact the teacher without having to build out of table some schools will create a table and manually type in the profile for a teacher this is the teacher's name this is his or her email address and have to link the email address so great deal of work can go into manually setting up that table so edlio makes it easier for you to just be able to insert that profile this is another way to kind of see the organization school to see how the heirarchy how everything everything functions together and how detailed the teams are so students understand that their teachers are a part of team and so this kind of even further build trust between the parent and the school so there's lots of ways of organizing staff directory looks look at a couple of these together so the older way which some of you might have on your side click on number one right here Auto populated no grouping so this means whenever you have users and user management they are auto-populated or automatically said into onto a so let's see what that's gonna look like so we click on here and I want you to notice up here this is the extension backslash apps backslash staff I apologize if the forward slash so this page here has auto-populated every person in user management and place them on the same page and I believe they are in alphabetical order by first name so schools will do this this is absolutely just a preference whenever a parent comes especially if it's a small school day easy way of typing in you know I want to find this teacher so without even having to scroll and then they have the teacher there so lots of different ways of using that that's the first option that I want to show you the second option we're going to talk about his when staff directories are grouped together on separate pages so they're grouped together in the same section on separate pages so here we have this is our language arts team and on the section here you have the team that's on the school newspaper I'll show you some other examples of this in a moment so they share the same section in you but they are on separate pages and another one group together on the same page this is a very very I would say this is probably our most common option with our new staff blocks customized staff box do you have a page where you have your Math teachers together you have your science teachers together and everyone is together on the same page and in the section and you you might be linked with for example to other schools if you are a single site district that's sharing a website so you might have your beheading here might be Elementary staff and over here you might click the Middle School show you an example of the moment so these are a couple examples the last one I want to show you is the way that you can place profile blocks strategically on on different pages so with this one we have the school newspaper and instead of going here and typing in adding a photo and making sure that it's the right size and wrapping the text we have a very easy way of just popping in a profile with checking one little box with I'll show you in a second we have these two staff members of the school newspaper right here on the side you can also play staff profiles easily in the main section of the page so these are some main ways that people use directories and before we jump in and practice I want to show you a couple of places where you can manage your options for staff directory there's two different places I like to call one of them kind of a quick way so let me just show you first a quick way we're going to start the process of creating our own staff directory we here together so I am going to chose a category miscellaneous it's a good General category I'm going to click this button right here in New section because I don't want it to be connected anything else I want this to be its own folder and here I'm going to just call this staff directory I'm going to call it all just so I can have it together with my other staff directory once I click add it will take me directly into that folder so you won't see it show up right away it'll take you so it automatically open to that folder now what I'm going to do is I'm going to create a landing page because I want I want a page for instruction so that people know kind of what's going on here so I'm going to click blank page and I'm going to first thing I it was I give it a title I'm going to call this staff directories home just for now I might decide to change my mind and first thing I would do is either save draft or publish for the I'm just going to publish because I haven't placed this anywhere so it's okay if it's published and I can see what it's going to look like live so hear what I want to do is I want to develop a section that's similar to a single site District so there's one website there is three schools that are sharing that website together so so the first thing I'm going to do is step back one I'm going to add the school directory pages so my first one I'm going to start with Elementary Elementary staff directory I'm going to click publish go do the same for middle school and high school if you're following along feel free to kind of look over your own staff directory as we go and the last one is going to be high school real quick just just so that this is clear whenever I am building my staff directory let's say someone at the high school already developed a beautiful staff directory and don't need to redo it so we have another option when we click new page we can link to another page so I could go you know I have this tab open where I grabbed copy and paste the link from that High School staff directory so that's another option as well for this one we're just going to start a blank page but just so you know it's always linking to other Pages Linking them to each other in a section is a great way to combine them without having to recreate the page elsewhere okay so we have our High School staff directory what we're going to do now is go back to our landing page for the all staff directory staff directory Home and Office landing page we want to give some instructions for kind of what parents will will be able to find so I have some over here that I'm just going to copy and paste so the first thing I'm going to do is add some content welcome to our all staff directory this is what you can find here in the section menu some photos we could we could place a photo in the top if we wanted to and here I'm going to insert a photo of the profile so that they know exactly what to look for so anytime you'd like to insert an inline image in a Content box you go up to these three dots right here and click on them and then we're going to click the graphic button right here which will connect to wherever we're pulling that image from so I'm going to put this little graphic that I made to explain the profile and click return and then hear this is showing up in my staff directory window here so then a little note thank you for when I was a teacher I just I always love to alleviate the pressure that that parents were feeling and and to remind them how much we enjoyed spending time with their students that you know that this was not a job for me this was something that made me just truly truly happy so putting those messages just helps parents to feel more comfortable and to really know who their child spending time with each day so what we have now here is we have a little section that we just filled out let's go look at be live view and now when parents come here they have some explanation of the profile they know you know if my son is a middle school student that I can click here and go to the staff directory and now real quickly we're going to build those one of the school directory just a little bit so here we we've made sure we've saved our changes and publish we're going to step back one level and we're going to open up the Elementary staff directory so on this page we have what I want to do is section off the teachers because this is the most common way that I see staff directory is being built right now so the first step here is to click on this box ad with the play and if you're if yours if you do not see staff and staff search on your page block options this is this is a very easy problem to solve you just send an email to for a client success specialist tech support support@edlio.com or clientsuccess@edlio.com and we can activate this feature it means that your site might have been implemented before we had the staff options in place so all you have to do is to ask for this to be activated at this point the staff search would show up at the top the staff will show you how this works so again we go to click add before we went to add any staff members we would like to add a heading for the best way of adding a section heading is my choosing the content but so most staff directory will start with their admin administration and so once you click out of that that has just become a header you can enter the header you can make it a different color you can bold the header you can make it a specific header size you can manually resize that which kind of what I generally prefer about remember you won't see that actual size until you publish on the live view so I'm just going to just buy that the next thing they were ready start adding people so here we click add we go to staff and now I have my full choice of people here so I'm just going to go through you can also if you have the title job title you could also search for for example principal if you have three principles they would all show up once you clicked search so I'm just going to remove the search and manually add some just so that you can see these people so here I'm just going to add some people even though they don't show as Administration so now automatically those profiles populated onto this page and it's great because they didn't all show up you got to choose which ones once you click into that box you have a couple options here if you want to add more staff you would click manage staff what we're going to do next is change the lay out of this page I told you there were two different ways of changing the layout on a page with staff directory of click on this little gear icon so we have six different layouts here it's a longer scroll so I'm going to actually choose the second one here and click save so now you see the teachers have split into two columns and I'm going to click publish now I think I'm ready to move into my first grade team for example but I click first grade team I went to use the same formatting that I used for the other heading I click out of that and now I'm ready to add more staff members sometimes if you add more lots and lots of Staff members to a 2-1 page happens is you might want to add a staff search at the top so real quick let's make sure that were using the same layout of the first one so we're going to go in there and she this one we're going to publish and now let's look at this life you oh sorry just real quick I want to show you how to add a search bar so always a great option to add the staff search you grab it with these thoughts right here and let's take it all the way to the top and now we have a staff search let's go to see the live view before we talk about a few other things so now here we're developing out our Elementary School page at the end I'll show you some of our clients the way that they're doing things with their directories so real quick another option that you have here so you don't have to mention two options you can go to your gear icon to change your options you have a much more expensive set of options when you go down to the site management staff directory you save it again just to be safe site management staff directory and up here we have a button that says directory options are going to click that and here is where this is very unique that edlio doesn't say this is how every profile is going to be on your website they they give you the options and let you choose what works best for you and your District so you can for example remove any of these you don't want a profile photo to show you can't uncheck this box and then save changes and as soon as we hop back over to our staff directory the photos are gone so some some schools definitely prefer to do that so let's go back into our options and another set of options that you have here you can choose other information to show for example if somebody has a specific degree or a room number or classes that that teacher teaches a phone you could have phone showing up but I want to talk real quick about email and some best practices here because we want to make sure that in order to keep your website safe we always suggest choosing the display send email link as opposed to the display email link because anyone who who is example of malicious actor somebody coming in to specifically do damage on your site whenever they see your email addresses from your school's this gives them a chance to attempt to use those at the login or find a way to spend spam or try to hack into your email address so we always suggest the send email link and what happens is if I was going to email this teacher and I click email it's called form-based emailing and it would go straight to her email but it would be in a secure format here so just keep in mind that that's a very strong suggestion you can also just choose to remove email altogether so those are some great options there as soon as we're closing so the most important part with staff directory making sure that you can parents can find that staff directory so you know strategically changing one of your drop-down menus a lot of people will place it in about example our team if you have quick link button is right below your Shuffle like many of our schools do one of them could be staff directory something really cool whenever you use your mobile view which a lot of parents do they will have I don't know if this is something that you already knew but each of your school's has these four buttons If you have a mobile responsive site and these buttons are easily switched out it's a very quick email to your client success what's the weekend change the logo and the link you just need to provide us with the link that you'd like it to go to so when I click on staff directory here that's a quick way to access my student teacher from k letter grade quick thing to do so you would place the staff directory site navigation and quick link other outside of the box ideas for staff directory you can use this landing page to highlight staff members teacher of the month you can place staff videos they're especially ones that were created during the pandemic we saw many of those videos and lots of warm fuzzies between everyone during such a unique times you can also add a photo album that shuffles through your staff members when they're doing things like giving out Awards or in the classroom so also be creative with your headers for each of those sections so I just lost my page here just one second with your headers you can you can place an inline image for example of for an English teacher and you can also yes just make sure that you customize that album to be exactly what to characterize your the uniqueness of your school so as we're closing today just think about also if you have a staff profile make sure that the pages connected for example if someone comes to this teacher profile and clicks on the teacher's name what they're taken to is that teachers page and they're given a chance to subscribe so the effort of helping your teacher set up their pages is is well worth it especially this time of the year as Summers approaching so be thinking about how you can assist those teachers we love to help teachers walk through this process we have some great webinars this is what it would look like for teachers to access those Google classes and be able to click on that page and receive subscribe by email to receive a daily email with those assignments so as we're closing today just remember that we have a webinar on Monday on Google functionality and continue to keep us in the loop
