Good morning everyone, thank you so much for joining us today for our communication tools webinar. Today we will be covering a walkthrough on some features available in your admin site to help with communication. We also have a technical support representative in the chat today who can answer any questions that you may have as we go along. The webinar is being recorded and will be accessible to everyone in the Help Center. Let's go ahead and get started now I am going to log into the admin site So once we are logged in of course this is our dashboard that we have here. A few quick areas just as a reminder that if you go under the Help drop-down this is how you will access our Help Center which you can of course go in and view the webinars that we have facilitated and of course this is also how you can contact Edlio Support by submitting cases through the admin site and also if you scroll to the bottom you will see that you do have the number to call support as well along with the hours that you can reach someone too. So going back to our dashboard the first area that I am going to cover is Broadcast. Broadcast is a great communication tool that allows you to send out communication through text, voice, and email. We do have different packages available and right now if you haven't seen by logging into your admin site we have the option of the Broadcast Free Trial and this is actually ending soon, on June 30th, so what you can go ahead and do is go in and test out maybe sending some Broadcast there are three thousand credits available and then whenever you're interested if you did want more information you can contact: csssales@edlio.com so that way they can provide more information with the packages that we offer but in the meantime what we see here is Broadcast that have already been sent out. Now if we click on the three dots you can review the Broadcast so it will show exactly what was sent for all three channels if we click back you also have an option to view a report of the Broadcast sent so you'll be able to see the delivery port and the status and you can also go in and copy the message as well. Now when it comes to spending a Broadcast all you need to do is click here "New Broadcast" and what this is going to allow you to do is add a name to your Broadcast so let's say for example "School Closed" and you can select which channels you would like this to go out from. Email text, and voice you can unselect any of them if you would like to or you could leave all three now when we click "continue" your going to see that everything is listed here on one page so there aren't multiple screens you have to go through to get the messages out so for your email you can select which email address you would like this to go from, add your subject here you do have some formatting options as well you can hyperlink, you can add source codes if you'd like, even an inline image we even have translation options so when you click "add a translation" you can search for a specific one or if you scroll you can of course select which languages but if you don't need a translation option you do not need to add one and the great part here is once you have your text, what you do is just copy and paste you can remove certain items here if you don't want it to maybe say the school name you can remove that from here and it'll tell you how many characters you have left again you'll see the translation option and then for voice what you can do is you can either have it call you or what you can do is send this message using text to speech so that way can just copy whatever you had written under email or text. Of course you have the "add translation" option as well now when you click continue this is where it will you know exactly how many credits you have available, and under Recipients what you can do is you can type out the number or what you can do is Broadcast connects to your Contact List that you have here under Announce so what you can do here is click "add contact lists" select all of the lists if there are multiple that you were to send them out to and once you add the list it will even tell you how many are going to go out so that way you know how many credits you have left as well and you can choose the "send now" option which will send it immediately or what you can do is choose to "send later" and select the date and the time that you would like to message to go out and once you go ahead and click on send that will go ahead and send out the broadcast and again if you are interested in Broadcast please contact csssales@edlio.com and that way we can go over any packages that may be beneficial to your school now our next option as well is under Announce is our News and Alerts now under New and Alerts this is where you can create as many News Posts as you would like so that way if somebody comes to the website, which I will flip over to right now, if they scroll down and they what are your News and Announcements section they can immediately click on the news post from your top three listed here or if we click Show All News what this will do is list out all of the posts that you have created and that way I can go in and click on one and be taken to the landing page with all the information. Now in this case if you would like to create a new News Post all you will need to do click on Add News and you can add your headline, for example if we were still going along with "School Closed", you can add your headline, a short summary if you would like to And then what can do is add content, link to a file, or link to a page. Now you can only use one of these at a time so if you'd like you can just add some additional detail, "Please check back for updates", and again you do have some formatting options listed where you can hyperlink and you can even embed and add an inline image if you would like to. If you have any sources to site you could go ahead and do so here you can attach files or photos maybe there's a flyer that you would like to attach with more detail or there is a photo that you would like to add and then you can choose to "post now" or "post at a later time" so depending on if you would like this to go out right away or if you would like to maybe send it later on in the day so do have the option here under news as well and if we click on Save what this will do is if we click back into news and alerts we'll see that we have our school closed today it was published and then what we can do as well in terms of additional communication is if we click on Announce you'll see that you can push this to social media as well so if you have your Twitter account, your Facebook pages all connected you can push this to go to social media as well send it as a Broadcast you can send it as an App Alert as well which will go to the School New App if you are using that, and we will also cover Email Sender in just a few minutes, but I really wanted to focus here on Homepage Alert so if we click Homepage Alert by default this is going to be set to expire in 24 hours if you like to extend this you definitely can by clicking on the date and of course changing the time but if you wanted to leave it as is all you will need to do is click on Post and we'll see that the Homepage Alert is on for 24 hours. If I go back to our website and I refresh so now the first thing that everyone will see when they come to the website is that "School is Closed Today" now they can click don't show again which will just x-out the Pop-up Alert for them, they can click okay to acknowledge that they read the pop-up, or if we click read full story, if you had additional information listed here, it takes you to the landing page so that all information that is needed, parents or students and the community can view that here. Now if let's say you wanted to turn this off ahead of time you didn't want to wait the full 24 hours you can always come back in and edit or what you can do is just turn off the alert and what we also recommend to just as a tip here for News is if there is something that maybe it's reoccurring, you use it every year, or maybe every semester, but you don't want to leave it up as active news what you can do is you can either delete a post if it's never going to be used again or what you can do is disable so what happens here is if I click on disable I'm going to click here, my post is now not listed anymore but what happens is if I click under show disabled news it's now been disabled so let's say if I ever need to use this post again instead of having to create a new one all over again you can come into disable, click on edit, make your updates, and then enable it back to the site so that way it'll save you time as well from having to come in and constantly create a new news post that you could just have disabled. Now the next area that I wanted to cover was under Announce and that is the Email Sender option. Now this email option is separate from Broadcast because Broadcast is the communication tool that sends that same communication out through email, text, and voice. Email Sender is where we have templates for you to choose from so that way you can go ahead and send out communication through here as well so all we need to do here is click on New Email you'll see that we have layouts listed for you so you can choose which one you would like to use we also have two templates available so the first one is include your Events which allows you to add from calendar in the admin site and your News if maybe there was updates that you wanted to send out that way or if you maybe just wanted to use news and not use the calendar option you could do that as well also like the one that has both options to show you what it looks like so you'll see that the first section selected is include events from your calendar so what we would do here is quick add events all of your calendar categories that you have will be listed here and you can go in and select all events that you would like to be listed in this email and if you realize you accidentally added one you can of course go in and delete that out and if we select news if we click add I can also go ahead and like as many as I would like to here and with news what you can do is switch the order you can also delete as well just in case one maybe wasn't needed anymore and you also have content areas available as well for use but "Please see updates below" for example. You can Save and Exit so it will save as a draft and you can come back to it whenever you're ready to make updates or if we click Continue what we can also do here is preview what your email will look like so if we click on preview you'll see what it looks like on a mobile device and you'll also see what it looks like on a desktop and parent and student they can always go in and manage email preferences or unsubscribe as well. Now if we return we're going to click Continue, we're going to send from our main email address here and for the recipients what you can do is you can upload a completely brand new CSV if you would like, and then you can also manually add your recipients so if you wanted to add numbers you could go ahead and do so and then what we also allow here as well is to add from existing so when we click at existing this again is going back to Announce and Contact List so that way you can select as many of those lists as you'd like, add a subject, and then select if you would like to sSend Now or Send Later. Now I'm going to go back here in to Email Sender and you also see that once you send out an email it'll go ahead and place the status and if you click on the three dots you can download a report, you can see who the recipients were, you can view a report as well and you can also copy the email. So again Email Sender is separate from email in Broadcast so just wanted to make sure that that difference was stated there so if you wanted to send any using templates, you can definitely do that here with Email Sender. And I am going to flip back to the website here and let's scroll to our Calendar Another great way to keep up with communication is our subscribe option now you can see the Subscribe option under calendars which are the events or if let's say the school is using teacher pages you can subscribe to that teacher's page so that way you will get updates whenever they are made and in terms of the event what you can do here is if you click subscribe you'll see the options listed below and what you can do is if you subscribe what happens is whenever updates are made a separate calendar will be added whichever option you use here and that way you'll be able to see any updates instead of having to come directly to the website if you would like to use the Subscribe option the last area that I wanted to cover here is under Page Management are Homepage Widgets now with our Homepage Widgets you do how two options. The Form Widget allows you to build into the Contact List feature and then the Button Widget allows you to add any internal or external links. So for example maybe it's a survey or registration form that you would like the parents to complete. With the Form Widget here what you can do is you can add this on your homepage so if parents would like to be added to a list they can come into the website add all their specific information and once they hit subscribe it's going to go ahead and update your contact list so so you come to use Broadcast or Email Sender if you select that list it's going to go ahead and select it and send it to the parents that have all added themselves to that list Now as a reminder, if you have any questions, please feel free to reach out to your Client Success Specialist at Edlio.
