hello everyone thank you so much for joining us today for our back to school for teachers webinar today we will be covering a walkthrough on some features available in your admin site to help with preparing for back to school we also have a technical support representative in the chat today who can answer any questions that you may have the webinar is being recorded and will be accessible to everyone in the help center So let's go ahead and get started so as you know that when you log into the admin site your rights are set by the admins so when you login as a teacher you may just be seeing the following in your admin site so as a reminder if you go to account and click on profile here is where you can edit the photo that is showing on your teacher page for parents or students to view and this also ties into the image that you have showing on the staff directory if you ever needed to change anything maybe first name was spelled wrong or you need to change your last name you maybe wanted to add your position all you will need to do is click on edit your profile and you will be able to make those changes you can also click on additional information to add any items that you would like to do so here also as a reminder that if you go under the help drop down you can always click into the help center which is a great resource to use and also keep in mind that you can reach Edlio support as well so if we click on contact Edlio support maybe you're having an issue with the site or you just have some questions you can call the number provided or you can even submit a new case so just as a reminder you do have resources here under help and of course reaching out to your client success specialist as well So I am going to go back to the dashboard and what we want to discuss today is just making sure that you go in and make all the necessary updates to prepare for the new school year so I'm going to click in our hamburger menu here and let's go to our teacher page first So I'm going to click on pages and when you click into Pages you'll see all of the pages that you've created if you have done so already if you have not it's just going to be blank here and it's going to show your name what you can do is you can either completely delete pages that maybe aren't relevant for the new school year or if it's something that you wanted to keep what you can do is click on the three dots and also unpublish a page so that way it stays here under pages and if you wanted to come back to it maybe make some edits you could go ahead and do that here you can also if you ever end up deleting a page on accident or maybe you deleted it and realized you need that page back what you can do is click on view deleted pages and any pages that you deleted will be listed here they will not be removed and if you decide that you want to restore the page all you will need to do is click on the three dots you can view and then of course you can restore your page so that way it will be listed back here in pages and you can go ahead and make your edits and if you ever want to go in and edit a page all you have to do is click on the page that you've created you'll see all of the items listed here if maybe there is something that you wanted to remove you do not have to delete the entire page all you need to do is click on the area and just click on the delete icon and that will go ahead and remove that for you and as a reminder if you maybe wanted to change the order of your items on your page you can just drag and drop to switch the order here anywhere you see those six dots you can go ahead and change the order. And always make sure to click on publish to make sure that any changes that you have made have been saved and also if you're not ready to have it be published to your teacher page yet you can always click on Save draft also if you click under actions you can see the public view of your page so you'll see that we have our image here my name my position parents can subscribe to the page as well and then you'll be able to view everything that I have added here. So just make sure that when you go into your pages that it is only the relevant information that's needed for the next school year and you just unpublish or delete anything that you may not need our next area that I would like to go into is if we go back to the hamburger menu under plan is your calendars so if you are using this feature on your teacher page to add any events that you maybe have or certain reminders for the parents or student just make sure that you come into your calendars and again delete something that might not be needed for the next school year or if maybe the event is going to happen again you can just edit that event instead of completely deleting and starting over again so for example if the field trip was something that we were not going to need any more you could click on delete and completely remove or if we just needed to change the date and move around some details all you'll need to do is click on the event name and that'll take you right into making your edits. So let's say the date for our field trip is going to be October 18th and the time will stay the same location will stay the same as well you can add additional details maybe there is a link to the zoo that you wanted to add here and then of course if you have a file as well that you want to attach or an image you can go ahead and add that here and click on save. So what this will do is it will now save to the new date that you have added and then if you want to go in and add additional events all you need to do is click on add event here and go through the same process so that way you can come in and add everything for the new school year or even if you want to do it maybe by semester or quarterly whichever option that you prefer. Our next area here is under announce and we're going to go into contact list So contact lists here have to do with if someone comes in and clicks on subscribe that's going to build out your personal page here but as a teacher you can also come in and upload your own contact list that maybe you want to tie in and use our email sender feature with. This could be your entire parent list maybe a list of student emails if you want to communicate with them and again you can use this with the email sender feature and just as a reminder the lists will not be accessible on your page you will be you will have access to it here in the admin site so all you would need to do to create a new list is click on new list and let's say this was parents 2021 to 2022 for example We would click add you can always go back and change the title of your list. and all you would need to do here is if you wanted to add your contacts you can manually add it but we only recommend using this option if maybe you only have a handful of contacts that you need to add the next option that you have is adding in bulk so what you can do is download the CSV template add everyone into it and then when you drop your csv template here what it's going to do as soon as you click add contacts is it will add everyone here for you. So just make sure that when you go into contact lists if you have some that are not going to be needed for the next school year what we recommend doing is if you click on the three dots Go ahead and download that file just in case you ever need it again and then go ahead and delete it off so that way you avoid the Clutter of having multiple lists from every school year and you can just focus on the one that you need for the specific year and you can always go back into a list that you've created and what you can do here is you can edit a contact delete them manually add or even adding bulk if you needed to I am going to go back to are hamburger menu and let's go to media and click on photos so under photos here these are any albums that you want to share with your class maybe the parents even the community if you are using this feature please remember that you can have as many albums as you would like to and in the albums you can add as many photos as you would like to as well. If you ever needed to rename an album that you've already created you'll see this R if you click on that what you can do is edit the name and click okay if you needed to completely delete an album you would just click on the X icon and it's going to ask you are you sure you want to delete this because it will delete all of the images within the album and you will not be able to get those images back so if you want to make any edits you could go ahead and do that and then of course if you wanted to create new albums all you need to do is click on create go ahead and title the album click okay and once you click on upload you'll see the following four options so you can pull from your computer Dropbox Google drive or Microsoft OneDrive you can also drag and drop your photos and if you ever forget the accepted file types will be listed below for you so again you can in and create as many albums as you would like to if that is something that you would like to share on your teacher page you also under media have the option to add any videos that you would like to share as well whether it's maybe something that deals with the course that you are teaching it's a video of the class or any videos that you would like to share. All you will need to do here is if you would like to add a new video we would just click on add new video if you already have the file on your desktop you can again drop your files in if you click upload what this will do is it'll pull up your desktop here as well if you don't want to drag and drop Also you'll see the accepted file type and your max file size of how large the video can be here then you would just title add a description if you would like to maybe add some alt text and then what we do here is it's going to have you confirm the videos language whether it's in English or Spanish because it will pull a transcript and you will be able to go in and edit the transcript just in case if it was transcribed incorrectly and we do recommend giving it about an hour or more to pull that transcript so then you can go in and make the edits so that is the option if you have the file yourself the next option that you have as well is embedding a video so maybe you have courses course videos listed in YouTube or Vimeo what you can do is you can grab the source code of that video paste it here add your title and as soon as you click save it will go ahead and upload that video for you so you will have both options of uploading the file yourself or embedding. Now our next area here is our classes. So if you are going through and adding your classes just make sure that you go in and remove on any previous classes that aren't going to be relevant for the new school year and to add your new classes the admin of your website will need to go in and set the term so that way it allows you to come in and start adding your classes and if your admin has turned on Google Classroom if that is something that you all use at the school you will be able to integrate from your Google Classroom so all it will require you to do is log in choose which classes you would like to populate over to your teacher page and that way those will be accessible but if lets say you're not using Google Classroom you have the option of manually adding your classes as well so if we click add class if you don't want to import from Google Classroom you would just click on no and this will take you in to manually creating your course so let's say this was math 101 you can add a specific department here or you can leave it as unassigned you'll select the term that you would like to display this on and again this term is set by the Admin for your website so we'll just select 2021 here you can add your description which is optional So Math 101 you can hyperlink if maybe there is a certain website you would like it to go to or to link back to your page if you click on the three dots you can also embedd as well just like we had seen with the videos also if you have any files that you would like to attach like the syllabus your class rules maybe there's a specific assignment you can attach that here and then once you click on save your course will be created and what we can do is we refresh our teacher page here refresh one more time you'll see that your classes have been added and if you click into the class you'll be able to see all relevant information the instructors name parents and students can subscribe by email and they can even subscribe to your calendar as well so just make sure that you go in and you update all of your classes whether you're editing existing ones or you're going in and delete the ones that may not be relevant for the new school year and a couple more areas here so if we click on post this gives you an additional area where you can go in and add some text you can add links maybe some photos directly on your page files and videos so again just as a reminder if you need to go in and make edits for the new school year you can go ahead and do that or you can completely remove things that are not going to be needed and what this will display as is on the bottom of your teacher page here it will add a post section anything that you add to posts will show here on your teacher page and it will also be accessible in the section menu so if you need to go in and make your edits there as well you can go ahead and do that as well. and our last area here under more is links the so links here is very beneficial if maybe there are a lot of sites that you need to provide to the parents and the students that they need to access for your class or even for the school in general if you add those links here it's one area that parents and students can go and everything will be available for them instead of having to go searching so what this will do is if I go back to my page under your section menu once you add your first link you'll see this page populate that's called links if you click on it all of the sites that you add here will list so that way if parents or students need to access that website they could click on it and it'll take them there directly.
