Hello and welcome to our All About Forms webinar today we'll be covering everything you need to know to get started with our forms module. Create unlimited web forms to collect applications, permission slips, absence reports summer camp sign ups-- whatever you need, whatever information you need to gather from your school community, our forms module makes it super easy. We'll also take a look at how you can now take payments in 4 if you're utilizing Edlio Pay, so let's get started! Alright, now hear from the admin dashboard there's a couple ways I can get the forms. Pretty easy if I click right here-- this green button-- Forms. I can also go here to the hamburger dropdown menu and select Forms Alright, now that we are here we're going to see all the past forms that we have made in our admin site here. We have a bunch. If you have too many you can come up here and search for whatever form you are looking for but in this case I want to show you how we can make a new forms I want to go over here to the right, new form. Alright, now from here we have a few different options. First off we can make a blank form which is what we're to do here I also want to highlight here the amount of templates that we have we recently added these we have templates for just about anything you could think of a bully reporting, bus registration, emergency contact forms, things like that Definitely jump through here and see we offer. There's forms for just about anything you can think of . You can see here we have four pages of them and here too you'll see we have a few that come here they have a little payment label there we're going to go ahead and we're going to make a form that accepts payments here towards the end but that is something that we are now offering you can utilize Edlio Pay with your forms feature. If you want more information on that reach out your Client Success Specialist at clientsuccess@edlio.com. We'll be happy to point you in the right there But now let's go ahead and get started with a blank form Alright and let's start building out this form. Let's say we'll do a basketball registration form for the upcoming season-- a student registration form. So the first thing I want to do is give it a title Alright now we want to start adding some form fields here. Now we have individual form fields here we can add short answer, long answer things like that will show you the difference between these two here. We can drag these over can add the question I want to ask here. and the user will be given a short answer field to answer that question whatever you throw on there or the long answer field here where you can do this filter in a long answer here that we have some more specifics here number, links, email, phone, things like that. I'm going to delete these right now and we'll come down here. If we were going to be collecting payments on this form we could go ahead and drag in these payment fields here we'll get into that a little bit more later in the webinar here but next up I want to come down here to our input groups. Now with these are you can go ahead and drag these over and you'll have multiple fields here to pick from. We dragged that contact input group over and we have all of these fields already pre-populated for us and you know if you don't want to use some of that you can go ahead and edit them, remove them, anything you like. So we'll go ahead and customize this so it works for our basketball registration form. Alright and we can drag-and-drop any other additional information that we want to hear. So let's see, we'll do student's date of birth We can do their grade level we can drop something here about students medical needs or any special needs that they might need for the season We can add the student's jersey size here so we can do a drop-down and we can add different options here You know, we get the about liability forms, releases, things like that quite a bit. We've seen schools do a couple different things here. We've seen some go ahead and put it in as a an answer form here so that go here put the answer field, drag it down and essentially put the liability release here and then something along the lines of "If you agree to these terms please write your name below and this will count as your signature." There's a couple different ways we can do that with a different one we can do here we'll do the drop-down menu for this will make this a required question and we'll just add a quick release from liability here. Alright we'll come down here and we'll give them one option-- "I read and understood the above and I've completed this form to the best of my ability." We'll delete any other option so they need select that in order to submit this form. We'll go ahead and click save. Alright awesome! Now that it has saved let's go up here we'll go the public link and click that and our registration form is complete we see here we have all the fields that we added-- name, email, phone number, things like that, jersey size drop down. We added this liability drop down parents can fill that out again we see this will start here that the note that this is a required field so they have to go ahead and select this liability of release in order to even submit the form. We're going to pop back over here and work go ahead and come back to our forms all right we can see this one we just created here we'll go over here to the three dots on the right ans let's go to form options Alright so we have a couple things we can look at here know first thing is notification emails we can go ahead and enter an email address let's say in this case the basketball coach we can throw their email address you so they will get an email anytime somebody up submits a form response we also go ahead and include that form response into the email here so I'll go ahead and add that now Alright cool and we also have the option here to allow the respondent, the person filling out the form to receive a confirmation email. I think that's pretty good to have so I'll go ahead and select that and we go here we can also go ahead and edit this response that they get. In this case it's generic thank you your response has been recorded that is the default that they'll get we can also include the form response in their email as well alright we come up here to behavior and this is where we can edit that submit button that the user will see when they go ahead and submit their responses. We can put anything that we want there Alright, so we have that and we'll see the thank you page that they'll see when the response has been submitted. So right now we have thank you your response has been recorded and this will say thank you Alright and now we have the options here whether or not we can allow our respondents to submit another response, edit the response or see a summary of their response we can keep that all as is You can play with the formatting here if you like of any of these. We'll go ahead and click up here to schedule Alright so now here you can go ahead and add a specific date that you want the form to open so let's say right now you know we don't want anybody signing up just yet. We're going to send out an email to parents letting them know that, "hey basketball signups will be available on X date." So we'll go ahead here we'll put on a specific date and in this case we'll open up for this Friday November 5th let's make it a little bit later than 12 a.m. we'll make it 7:30 a.m. so that is when parents can go in and sign their child up for basketball let's also go ahead and we can add a close form date as well at this is the cutoff that you know parents will be able to sign up their their kids for basketball. We'll go here to on a specific date and we'll go ahead and make it to the 19th there we go and this is just a text we'll see so I'll show you what that that form is going to look like once we press save here because right now that form is open so right now I can go and submit a response once we do this is going to close out this form because parents will not be able to go ahead and submit any responses to it until November 5th. So I'll click save changes. Alright now let's go look at what happens when we try to go to that form on the public facing site. So I'm going to grab this public link here I'm going to click that and we see here that this form is not open yet please come back later again. It's not going to happen till the 5th because we just set it up that way but let me go in and open it back up again Schedule and there we go. I'm still going to have it close out on a specific day but I'm going to go ahead and leave it open now so parents can go in now and start signing their kids up for basketball Oaky awesome! We've built out our form now how do we share it with the public. What's the best way to get it on our public facing site here on the homepage. I'll show you a couple different ways we can do that first off we'll come over here to these 3 dots and click share so the first thing is going to do is do this link here, the public link for the form. I'm going to copy that but straight from here, I can add it to our site navigation. We also have some suggestions down here if you want to add it to a slide in shuffles, add it to News + Alerts, or to any sort of relevant page. Let's say we have a basketball page we can add this form to that page right now let's just go ahead and straight to add the site navigation it's automatically adding it here to the bottom site nav container so we can add it wherever we like we can drag-and-drop. Let's see if there's somewhere else that we think it would be more relevant. Let's add it right here to parents Alright and we'll click save. I'll go over here to the public facing site and there we have it, the basketball 2021-2022 registration form and there is our form. You see we have the updated button at the bottom there, "Submit my response! Let's go ECP Basketball!" Let's see where else we can add this form to right now. Remember I already copied the link to this form now let's go ahead and add this as a widget so we'll go to our hamburger drop-down menu, Page Management, Homepage Widgets. Alright awesome so we'll add this is a button Alright, we add that link and choose here whether or not we wanted to open in a new tab or the same window. We can see what it looks like here so whether we wanted to move with the page or stick to the window there. Let's do this option over here sticks to the window. I like the way it kind of moves along with you as you're looking at the the window there. We can choose our style here and this one looks a little bit bigger and I will save changes. Let's go back here to our home page there we go we have our homepage widget so we're getting even more eyes on this form Alright and now that we have that form added to two spots on our home page now I want to hop in real quick here and show you a little bit more about Forms with Edlio Pay, now remember this is an add-on features or reach out to your Client Success Specialist for more information about it if you're not sure who your Client Success Specialist is please reach out to clientsuccess@edlio.com now we'll come in here to the forms feature and in this case I'm actually just going to go ahead and add a payment field to our already existing form. Alright, so what we'll do here is with the jerseys I'll just remove this and I'll bring in this over the payments field here I'll add this multiple choice payment field we'll make this required and I'll go ahead and build this out Alright, so we've got all of that added so we'll go ahead and select save and now that we have this form filled out let's go see what it looks like on the public facing site come down here we can enter in our information and we can check out with our jersey here we submit and there we go the form has been submitted the payment has gone through, we can see here we have that transaction fee for a dollar fifteen, that's going to be on every single transaction and now we can go in here now to the admin site to go ahead and see that response that we just got. So we'll go back to forms and click on these three dots and we can see Responses Here in Responses, we can see all the responses that we've gotten so far for this form. We can go ahead and check out a sales summary here. Here we go! We'll come back. and we can download these responses as an excel sheet here we can print them out here as well as a lot you can do with these responses here however you want to look at that information.
