hello everyone in good afternoon Welcome to our webinar on intro to user management my name is Taylor I'm a trainer here with Ed Leo and we're going to discuss today all things user I spent so let's get right into it all right so today we're going to cover all the basics of the user management tool will offer some best practices including a single sign-on options and other three features to keep your stamina as safe and secure as possible before we get in you'll notice that you in is open so please drop any questions you have a time together today there keep this short and sweet right about a half an hour and I'll answer questions at the end as well as have some time to demo anything if you can't stay to the end you'll find this a very soon in our help center on so I'll show you to access the help center hopefully that's where you found where to register for this webinar so on and so forth so with that let's get into the details user management overview if your hear that hopefully means you have user management privileges in your Santa's if you don't definitely think that you should definitely talk to the admins of your sight or you can always reach out to your CSS your client success specialist I'll show you in a moment how you can identify where that person is if you don't know already so this we're going to be going over teachers for weapons only adding users getting those folks in your staff directory and more basically user management allows you what each person has access to hear in the dashboard of your web how to delegate responsibilities clearly so that you are able to keep as few website administrators as possible in your dashboard to keep your site as secure as possible so with that what are the different account types there are Ford account Types on if you have been with a little while you'll notice there is a very new exciting minimal user account type will get there in just a moment let's start with the what admin account type that has the most privileges in the CNS that's a super admin and they're going to have all with admin privileges and access and be able to add or edit other website administrators we have the regular website administrator these are folks that you trust to manage your entire website as well as update regular user accounts what do you mean by regular user account is a very basic dashboard this is a lot of times going to be teachers so that we can give them those basic features including a teacher pay JK personal pages on being able to put up load personal videos and photos and a calendar and then our new account side is a minimal user account types of this is really helpful for if your school or District that wants to go ahead and assign a person in your staff directory and you want to also be able to access to password protected areas but you don't want them to have an admin dashboard at all no teacher pages excetera in the middle user account is going to be really exciting update for you what's that let's go over to our dashboard I'm so something I want to know that we're going to get back into later in our time together is here this a registered two Factor authentication super encouraged that all your users s spell clear web add mini register for two-factor authentication there are few different ways are going to be able to do this with Google Authenticator Microsoft authenticator follow this button to get more information on this is going to be on every day search for every user type but people are going to have to go in and manually set that up themselves there's no way for you as an administrator to turn this on for everyone so if you want to definitely encourage folks to go ahead and do that any packs of a or security issues with your school website of course we don't want that all right so with that let's get into where we create and see accounts so we can come here hamburger drop down come down to the site management and go over to user management now here and user management we are going to see all of our users populate in our website we're going to see badges if they're super admin or regular admin we're going to see badges if they have 2fa turned on like one here so on and so forth three dots like across be an the dashboard hear you're going to be able to edit not super admin account as a regular admin but if we come and we come down to a regular user we can come and view edit this profile easily edit their profile photo look up here in a minute I'll send them a password reset link Etc let's go to add a new user one by one click here click new user I see the question in the chat is there a way for users to get into a password protected areas such as not appear and staff directory definitely that is we can do that and we're going to see how we can have any user regardless of their access level to the dashboard not appear in staff directory so let's let's look at creating a new user for those of you who've been with her for a while you can see that this has been updated our sections now are in these little tiles in the drop that in the across my new here let's first look at profile to give are very basic information here so let's say I'm making an account for Louise Spratt I'm going to want to give this person a password note that our password is going to at I need to be at least 12 characters have all of these password settings here through the Leo platform our security settings that these must match we can go ahead and suggest a noose password now I'm going to want to create my demo account and getting this group in my first and last name and an email you'll notice that really nothing else is obligatory information it's all what we want to show for example in this after 3 if we want positions to populate or when building Pages we can use that staff cage blocks on that allows us to Old Folks and we can spoil the whole English apartment on by searching English if we have that position here I definitely recommend that you check out or attend one of her coming Pages webinars if you want to know more about stock boxing Pages allows you to be a customized staff directory you can also look in The Help Center always remember you help centers available right here so on and so forth all right we have some additional information available if we want this to show in our in our staff directory for phone numbers for example let's move on to Speights fastest this answers our question about the staff at 3 reminder here that's selecting user type is when she was is breaking in the main staff directory and give them a few specific permission if I don't want them to appear in the staff directory I'm simply going to not give them a user type if you have an account that do you have a website that has more user types for example non staff user types some of you might have those you can assign that person or take for example or a parent user and they're also not going to bring the staff directory I'll see some text there so just make sure that your that your students in the example given in the queue and I don't have to go into the directory have any issues with that definitely reach out to your CSS your client success specialist and I'll show you how you can contact them and just a moment is person as a standard user or minimal a set user I know super-admin so I can't create other webadmin if you are super admin you're going to be able to see that option here now a best practice is to keep if you would just 1 super admin account especially you're going to want to have that be a shared email so that for example if a district IT director leaves the login to the super admin account doesn't leave with that person set up a Best Actress we always recommend there now let's say we create this person a standard user instead of a web admin this is less a a teacher this is going to get them a few specific permission permissions to a teacher page to send the newsletter to the subscribers at their teacher page so on and so forth you can read more about this year but let's say we also want the teacher to help with one of our calendars for exam we can come over here to categories in sections and assign them access edit access to any of our sections in page management these are all my sections in my categories or digital access to any features so I want this teacher tell me what the Performing Arts calendar now they're going to be able to edit that appear in the dashboard and help me with the school-wide newsletters let's say so I can make sure to divide the word keeping your school website which can be very healthy without giving everyone is needs to update specific features whether admin access again that's really important for the security of your sight let's go ahead and stay this is there we just made and how here we see are our new user now let's say we want pictures to show up in our in our staff directory you're going to go to sign that picture if I was from had already created this person and I want to search where is Louise I can come here and again edit profile picture and upload from does interfaces for my computer or cloud service and give my teacher a great profile picture to show up on their both their teacher page as well as an attack directory so I save an hour person has a photo they're all right let's go back into user management now we have these people these user-created we can filter by two how many super a web site administrators standard users how many folks have to have faith in Naples and so on and so forth how many folks have teacher accounts right now and stacking filters an honest actin or clear them all together now let me say we want someone to you are a super admin and you want someone to no longer be a webadmin you're going to be able to do that editing their profile logged in the super admin and changing their site access all right if we create a profile first African in the queue yes we can also send a password reset link right here of excuse me to our regular users email password reset link or a super admin to all website administrators this is going to reset their password and if they have that old sack password that you created for them they're no longer going to be able to be able to login to use that they're going to need to use the email password reset Link email I can create their own secure password great thank you for the question any other questions that, make sure you drop them in the queue and I also am going to drop a race or a multi-site management for those of you in the chat that have a multi-site you can go ahead and when you when you give folks that site access right here you're going to have another window drop I'm right here that's going to say multi-site management and you can designate what type of user dashboard you want that person to have a cake what kind of account type you want them to have across all of your other end sites that can be the same as in your decide you're creating a profile in or you can distinguish it for example you can make a principal a standard user of your District of your districts a mess while being a web up their own School site to change some of that says you're going to come here also so again I'm going to come in and be able to change their access through the examples Gibbon and go ahead and save that if you have any questions there you can definitely make sure to reach out to your CSS and just go back into our user management home to see how we can get that I'm so upset I want change Dakota's I can edit profile right there if you need a super admin again definitely reach out to your CSS to have them your super admin account maybe it never got changed from that please change you can go ahead and reach out to them and they can resend an email to email on file or you can indicate to them can also come here to contact edlio support and come down and create a new case right here is it you can Also regarding user management you have the option to turn on SSO I'm going to drop in the check some resources in help center for how you could turn on SSO this can be with a Google account with a Microsoft Office account that's going to allow this user when they login to login directly with their school there school or District Google or Microsoft account because they have one less password to remember as well as being able to manage your users easily because you can manage that was just from Google for Microsoft to birth is also having to go after into your user management here so if you have any questions again about that setting that up your css10 definitely help you it's also a great option for that two-factor authentication because then at your users can use a two-factor authentication they have with Google with Microsoft excetera in order to log in again versus adding making all your users click this button and register for 2fa within edlio specifically I know that on passwords again we're returning to our importance for security of password the password requirements for the account user management account is going to be whatever is set in that SSO platform awesome so please definitely take a look at those resources on multi-state management or single sign-on that I put in the chat thank you so much for going through our user management today now we can one Bank of userweb admin access to a school website instead of the district site that's a great question so if I was logged in on a site management platform create that new user and I go to site B these we also see this Google sign on my court stop single sign-on trying to give you that information about how to turn on the sign on let's go back into our side access so here you'll see Mike multi-site management and there you'll be able to say you want your soul the school and then give that person the correct access for the school as a versus the district again answer any questions that you have the I'll go ahead and show you how I got to that link up and you should be able and just read drop these links in the chat everyone I'm sorry about that let me know if they're there now you should see these items up for any further questions you have great question how do I remove someone from the staff directory someone's moves on if it's the end of the year to take another opportunity unfortunately Lexi Louise is moving on we can go search her or I can search my name directly and I want to go ahead and remove her from the directory I'm going to go in I'm going to edit your profile I'm going to go to the site access and my simple remove her user type and Save that will remove her from my sight directory what if I want to move her from the from the staff directory what if I want to remove her account that she's moved on all together I can come here I can disable the user automatically from one click from the menu or I can go in to edit the profile and come down to go and disable her I'm sorry this it just changed and it is just here from the main disable this users who is moving on let's go ahead and disable again their personal contact is going to be idiot kid in so any teacher pages Louise made are going to be hidden but they're still going to be there so if you need to come back and review anything that she had on her teacher page I'll be available for you you can reach out to your CSS or created ticket and contacted me to support as I showed you open a new case and you can see any personal contact but it's no longer to be live anywhere attached to your site all right if your school if you have a multi-state management and you have multiple different cms's but not seeing the ability to assign a new user add a user account in that school definitely reach out to your CSS and they can make sure that you're looking you have the correct permission settings and that everything is is straight to be able to answer that definitely question for your CSS I apologize and thank you for the great question as well movie folks from a staff directory how do you contact your CSS now some of you when you login here to your to your dashboard you're going to see a little icon of a little profile picture if you see that icon you're going to be able to click on that icon is going to open up a a a email to your CSS you're going to see oh it's Darius it's Roberto whoever that is and you'll be able to directly send them an email if you don't see that icon you can come and send an email to the client success at and Leo. Calm I will make sure you're connected with your CSS ASAP against flying success.com if you don't hear CSS and if your interface looks like mine and you don't see that little circle it would be right about here that does appear on your account
