hello everyone welcome thanks for joining us today my name is Taylor Spratt I'm a trainer here at edilio and I'll be leading us through our webinar today on building the ultimate staff directory so let's go ahead and get started today we're going to be covering pulling stuff into your directory how to use two different rules at Leons Legacy directory and customized staff directory pages so it that lets jumping to Eric dashboard here we're going to be covering those two options at and they give you a lot of variety to go ahead and highlight your staff and several different ways do you know that your staff are going to be cold sure staff directory that's where we're going to get started today I'm going to come here to my hamburger menu and go down to site management and over to user management no the folks that I'm saying here and user management are all the users that have at dashboards in my Sam has not necessarily all the users that are in my staff directory how do I make sure that someone is pulled in my staff directory I want them to have a user type so we can always go ahead and edit a user to make sure they're pulled into ice after I treat my coming here to the three dots if you're a web admin you can tell other webadmin we can edit other at regular users we come in we edit that person's profile we move over to site access here and we want to make sure that they have a user type and it reminds you this is what displays that person in same staff directory a few other permissions that we cover in some other webinars for example for teachers that's going to give the option to use our classes feature if you as web app web have the classes feature turned on if you have the classes feature turn on you can also turn on the Google integration feature so all that is available in your settings remember your settings can be found site and over to settings and you can always read a little bit more about access levels for each user type we even have a user types now if you're a legacy client with edilio this is an exciting new addition call dark minimal access users so this allows you to create users that do not have an admin dashboard they they don't have even a regular standard you'd ask for it but we are able to come in and try staff directory so that's a no if you have any questions on switching over your accounts or anything like that you can always reach out to the client success team so we want to make sure to give the major type and that also brings me to my other point if you're not saying a dashboard that is as complete as this you don't have access to user management then you're likely not a web admin and you'll need to get that account in order to add new users and pull phone stand so that you can build out that staff directory when you coming to add a new user of course I'm going to find site access in the same place you give that person a user type and they have a new user but if you need to bulk upload a lot of users in order to build that your staff directory maybe your Samus is new or newer you don't have to go through an add new users individually you can reach out to the client success team they'll send you a csb and you can upload all your staff information there send it back and we'll get everyone Ogden here so another elements that we can edit here and user management that really takes her staff directory to a next level is having photos in your staff directory you can say some over here here you are the weather admin can go ahead and upload a photo simply becoming to your regular user and editing their profile photo any you know if you have your school photos if you've collected selfies from them a really take the staff directory to a new level and if you don't have a teacher as photo yet because maybe there's a new teacher that we got our new teacher we can come in and edit their profile picture and just upload maybe our schools a logo as a placeholder so that we have that parody of all of our teachers having school Toto now there is H a photo if your teachers do have access to get into the dashboard hear your teachers are also going to be able to upload their own photos coming to their account profile and uploading their photo here effect go ahead and upload a photo for me same way super easy alright you're going to have both of those options for teachers to be able to flow as well as you as admin again that is going to save those elements in your staff directory here I have my staff directory LinkedIn the site navigation menu how do you say are a lot more appealing when we have those photos linked in there to take a moment to add all of those as you do have to go through in user management and upload those at now a quick note is this is being recorded with other folks in your building refer back to it if you have any questions call center is a great resource along with our client success just a quick note is also where if you're using teacher pages your school Community is going to be easiest easily find a teacher page for a particular teacher so say I'm taking mr. Robinson's class this semester or my is going to be night my child is going to be in mr. Benson's class upcoming school year that profile photo their name and their position that also can be edited in user management is what hold on to my teacher page I can find the other staff directory I can lend, subscribe as a parent or as a student to be able to get alerts when my teacher adds more things to their teacher page we also have some great pre-recorded upcoming webinar on teacher pages definitely wreck change that you all afraid your teachers to use that feature alright and again you can go ahead and edit that position if you want to have that information in an existing profile or in a new profile find it right here when we get to customize staff directories in just a moment we see that we're going to be able to pull folks onto our Pages based on their position this can help you easily and quickly make a really awesome comprehensive staff directory and I just want to note that this is where that information is being pulled from awesome so that are are some elements that are relevant and user management to our staff directory with that check out our Legacy staff directory here with edilio this is Art going to plug-and-play staff directory once you have all of your users that you want to be pulled into your staff directory user type they are automatically going to pull into the staff directory that you can find down here at Sacramento State Management and over at staff directory so we can see other users we have in Elliot at Liu College Prep 37 of them having user types that are pulling them into the staff directory that we saw we're going to be able to edit the information that goals that we allow our school Community to see about our teachers if we want to allow their email to be found or not this layout all those types of options we can go and edit here at the rectory options now that title at the top of my staff directory You by default yours might say staff you can go ahead and give that directory more interesting name whatever is used in your school Community maybe we use the language fact or teachers or staff if you want your stuff be ordered by first or last name again based on how your school Community interact with their teachers if they call them by their first or last name and here we're going to be able to edit what information is shown or their teachers so if I don't have profile photos ready I can simply on click profile photos and those are no longer going to show on my staff directory if I use the Legacy staff directory if we have phones that we do give out we can give that information of course this again. Your user management still want to go ahead and have that information in there I'm going to be able to also edit that information for my cell as a teacher in my profile and I'm also going to be able to keep my staff emails discrete by having the send email link all form based emailing always on now this the default in your staff directory what that looks like is Isthmus Tatum's my students teacher this year and I want to send her an email I'm going to open that send email link and I'm going to give Misty them my information whatever I want to communicate with her and without disclosing my staff emails to the whole public because unfortunately schools are more often victims of cybersecurity attacks my email can't be found for phishing attacks she can decide oh yes this really is my students parents I had to verify my identity Vista switch keeps your teachers email safe and that's where you can go ahead and turn that on or if you do want to in fact aloud has to be displayed publicly down here we have some Leo options so if we want to make our profile photos a little bit smaller if we want those profile photos to be square you can play around with these layouts again in our default Legacy directory making sure to save changes down here now let's get into the star of the show which is our customized staff directory using staff page blocks year in ages all right so you can build Pages maybe you want to wait a whole staff directory for all your staff maybe want to create Department level Pages we have here our length page section and I want to go ahead and add stuff to my language arts page seconds to remember in order to go ahead and edit a page I can simply click and here I have a basic page that has already been at basic text added where I want to introduce the language arts staff at our school so we can have a lot more options here than with our staff directory for example with Leo I can use this hero image layout it's something that really draws a lot of attention to the page when we go ahead and use hero image I can go and add a photo at the top make an image for free on canva to go ahead and have this image at the top Banner image to my language arts page now of course every image that you upload is always going to ask us for all text best practice there are 228 Bridge description I could even make this photo Shuffle at the top of my page if I went ahead and added more images and you can see clicking this wheel we all recommend leaving Netflix really what's going to make that hero image Super Splash take up the full length of the screen and you can see by default if I had more photos of that my classes in different case of the language arts department has done a lot of different options there so I've added my text and now I can start to add my different team members let's say first we want to go ahead and add another Banner photo because we want to a photo that we made free on canva where we want to go ahead and situate that leadership of the language arts team great I've added that text and that image to introduce my folks and now I can use those staff page blocks so I can go ahead here and again I'm going to pull the teachers that are relevant to this to the team I can even if I have those positions the more information that you have in your position the easiest the easier to make your building your staff page because I can just go and click bring in those teachers that I have as my leadership in the section and again I can do the same as separating MyTeam by using content page box to write maybe bios or information maybe I want to put another band we're not going to introduce some of my teachers and I can really make this very visually pleasing again sedate words wonderful and I can use the staff box and come through and either search by name or by position all these teachers that I want to go ahead and pull on to that page Interstate folks that look like this that means that they've moved on from your District you've disabled them and they're not going to pull into your teacher page so you don't have to worry about that making making very easy for you to go ahead and keep your teacher page updated now we have our blacks we pulled our teachers in I can go ahead and use those same layout options that we just saw in our staff directory here Lycoming to the wheel and deciding do I want those two photo stops to display those photos to display and what kind of Stack block layout do I want Santa look like this maybe I want to make those a little bit bigger and go ahead and choose between their using that wheel there we go now if I want to go ahead and change the order I can always go ahead and do that if I may be forgotten someone say you know what we're going to pull off mod until we have a picture I can come here to manage staff and I'm going to be able to add or delete any staff that I mean to go ahead and pull onto the page now you can always test what your page is going to look like by saving a draft went to save a draft your action menu will allow you to preview draft going to be able to see what your staff directly looks like across different devices if you know your school Community is using their phone a lot is this looking good on your phone tablet you can even do an accessibility scan so on and so forth when we're ready to publish will go and get that an hour ask how many changes a little bit and public view is going to take us to see what our page looks like remember me is that hero page layout and we pulled those teachers on to our page now what if we want to give some more bios to our teachers and separate them by our 9th and 10th grade here we have a blank page let's go in back to our section edit those folks left come in tonight grade and again I'm going to be able to choose my layout if I want to go ahead add that Banner again at the top really give those aesthetic details to my page now I can come by and content boxes with my teacher pages my staff blocks to give information about my teachers this is especially useful if we have teachers that are not using teacher pages so we can go and you know the teacher pages are really awesome teacher but if your staff is just not use that yet for whatever and we can go again add some about Mimi's and give your your parents and school Community more information about your staff is using that I'm a nation of photo content and staff face watch again we can search coming to the wheel deciding how we want Sara's to be displayed do you want her above or below her bio and again we can keep adding them folks adding all the bios of the folks in our department again choosing layout as we want I'm going ahead and adding more folks to our page if any questions coming in like you and I will definitely make sure to get those awesome remember we can always go ahead and easily delete from our Pages if a teacher has moved on updating our customized staff directory that way saving our draft if we want to have that preview or publishing if we are ready we're going to have to add our old text and there we go published are paid again this is a great way to go ahead and add bios may do you want to build a page like this to introduce your admin to introduce your different department levels you can use those mix of images and text to go ahead and separate your science from your mouth Humanities departments pulling folks in as such now also you can come down if it a lot of stuff on the page you might want to add a stop search bar that we can drag this even to the top of the page making it easy for folks to go ahead and search their staff go ahead and grab that and drag this for The copier making it easy for search people to folk search for focus on this page especially is if we go ahead and pull all of our folks we can make one page separate by department and have a lot of information on this page and make it easy for people to search awesome I never see that search box we could also go ahead and use our staff blocks to go ahead and add indicated at folks related to maybe different department or let's say we have a club and we want to indicate which is the head teacher at that contact point of contact for that club at our school newspaper The Gazette and I want to go ahead and be a white person the teacher who goes ahead and heads up our school newspaper I can go into the page when this case where they have a page created where we went drop some information about that lives that we have image maybe we have a file PDF embedded of different editions of our newsletter we have put Arsenal student journalism Awards with some buttons and Scituate form to sign up to join as a student journalist all different sorts of stuff for the time here today where course I cannot stop blacks so I'm going to want to go and add the staff that goes ahead and heads this department I want to give them a big photo and drag them to the top so that folks know that mr. Benson is who to contact if they want to go ahead and set up that little Gazette I can even go an add a Content block indicating that remember we can always use buttons to do the same Wawa if we're taking folks outside our website especially always give that HTTP preview and open in a new tab and wonderful again Rabil to publish and see what that in that side column looks like this is a great way to highlight your principal maybe highlight the teaching and learning staff highlight your Administration a lot of different options there now finally on your website where you might use picture your staff directory is there two different ways we saw we can add our staff directory in our site site navigation or Miniver designs are going to have quick links this is a quick link with fiber box a quick links look a little bit different is another great way to go ahead and make your staff directory super easily accessible back in the dashboard we're going to find those destinations Richard respectively at site management site navigation I'm going to be able to go ahead if I want to add the staff directory the Legacy feature that's going to be a feature page I'm going to Simply scroll down and look for my staff directory in this case it's called amazing staff and a pose as a teacher paid if you haven't renamed your staff directory I'm you can call staff directory the name of the future itself and I can move that wherever I want in my sight navigation remembering to save my change nothing has been saved yet this is not yet on your site navigation your links if you do have those on your homepage you're going to be able to find it page management and links you're going to come and simply search for the topic that relates to what you're looking for on your homepage so I'm going to look for my let's say I want to replace website with staff directory I'm going to go ahead and find that in my topics and Link My whether that's my staff directory Legacy page or an awesome cuz my staff directory that I made for my staff Po Folks sweet thank you so much for Jack for joining today if you have any questions you want to learn more you want to know what's the best way to build the staff Retreat for your school you need help getting your staff uploaded anything at all reach out to at point success at at leo.com
