hello everyone good morning or good afternoon my name is Taylor I'm a trainer here at Ed Leo and I'll be leading you through our webinar today on edlio forms 101 so let's go on and get started a few notes of housekeeping um before we jump into the content 1 is that you'll notice this training is being recorded so you'll be able to find that in our help center in a few days time our help center is probably where you registered for today's webinar I'll go ahead and point out where on your dashboard you're going to be able to find the help center if you have not been in it already so if you find that you want to share this content with other folks that you're building you want to revisit it later you're going to be able to see it there as well as sign up for our upcoming weekly webinars we always host 1 on Wednesdays and we love to see you here live because your Q&A is enabled so you'll notice in Zoom your chat is disabled but your Q&A is enabled and my awesome colleague Danny is there he's going to be answering any questions you put there as I go through the content today we'll also have some time for Q&A at the end so please feel free to drop any questions Curiosities there in the email us at your convenience and when things come up so with that let us start today so we are going to be going over all of our fun ity of edlio forms um you can simplify signups event registration for parents and students um for things like registration forms permission slips volunteer signups donation forms tick and sales and more um no more lost paperwork you can organize everything in your edlio CMS dashboard and strain up streamline all of your form processes conducting surveys polls signups um lots of ideas here and we'll be going through a few today what we'll be covering in this time together short and sweet half an hour we're going to build some forms using our simple drag and drop interface I'll be showing you also how you can custom uh payment form so you can go ahead and collect payments selling items such as school swag prom tickets homecoming tickets collecting funds for field trips creating donation forms and more I'm going to show you how you can display those forms on your website and also easily report on collected payments should you go ahead um and want to uh set up some of those forms with payment you might be thinking what what's the catch how does forms of payments works so let's just address that right at the top um forms with payments you can set up easily by contacting client success they're going um to go ahead and uh set up your HCA CH deposit um how forms of payment works for the user they're going to be able to pay um your form with credit debit gift cards or reloadable cards all of those um card options that you see on the screen next Discover Mastercard Visa are all accepted um and we have a pretty simple uh convenience fee structure that's going to be paid by the parent or by the person filling out the form it's going to be 4% plus a 35 Cent transaction fees so let's say we're selling a ten dollar t-shirt that person is going to pay 1075 um they're going to absorb that 75% convenience fee now 2 things I want to note here um 1 is that you don't have to sign your uh forms with payment agreement uh until you've collected dollars in forms with payments um so you can go ahead and uh get that set up start trying it out on a few forms if you would like just contact excuse me there is a typo there on the screen contact client success um so that they can go ahead and um set that up for you you're going to create your payment form as we're going to see today you'll link it to your website and you'll start collecting payments um with no further action needed until uh $2,000 is collected after that point you'll go ahead um and uh uh sign paperwork with client success we also do have OSP which is a more robust School payment solution if you're interested in that if you have a lot of payments coming through that might be something that you want to go ahead and talk to client success about the other piece of information I want to share is if you're wondering about the security of receiving payments um edlio we are a level 1 PCI Certified Payment service provider so that means we have the highest security accreditation in the payment space um we purposely engineered this uh payment solution so that credit card information never passes through our servers it's not stored in any capacity um the transmission and storage of that information occurs between the client browser and the payment processor um which if you're interested in this level of detail is the Heartland Global Payments Corporation um they're 1 of the largest payment processors in the world so we really take pride on that um payment information being as secure as possible again with that level 1 PCI certified certification all right so with that let's go ahead and jump in and start building some forms so here we are in my dashboard if you haven't been in your dashboard um for uh a few weeks this summer you're just coming back um you're going to notice that is a new customer support platform you're going to find it right down here called intercom um this is going to be a great way to search The Help Center um or submit a ticket so if you have any questions after you know our time together oh what did Taylor say about building XYZ form come here you can ask a question you can build a ticket um you can have a conversation really excited about that and again um our help center is right here and that's where you're going to see this recorded webinar as well as our upcoming webinars if you haven't been to this page already all right so we are going to find our forms in our hamburger menu here we see our features and we can come to our forms here we're going to see a repository of all the Farms that we have we're going to be able to see if they have any responses whether they're uh currently opened or closed we'll get in to all of these details in a moment let's start by building a new form first all right so here we see all of our templates um this you don't have to uh choose the payment with form templates when you choose all forms you're going to see all templates that have been built out by our awesome you can see there's a lot of forms for both internal and external purposes AP exam registration Building Maintenance bullying reporting donations uh field trips we can have uh new club requests or selling School photos prom tickets um lot of um templates here and we can go ahead and grab 1 and as soon as we open the template we can start editing it for our needs so let's go first and create a PTA volunteer form you can also just search the templates and see what templates might edio have for volunteer and here I see there are 2 different ones I want to create an easy form for folks to sign up to join the PTA or to volunteer this year whatever you might language you might use at your school I've chosen that template and again I can jump in and start editing it so maybe I don't have any PTA I just want to make this simple we can edit the title there our form Fields as I mentioned are drag and drop so we can go and drag and drop any form field over you'll notice we have a text box at the bottom here this is often used to give some context to do our forms so let's say you know we want to go ahead and add some context to what we are asking parents to sign up to volunteer for I can drop some texts there I can go ahead and add an image if I want to I have all sorts of um of info there let me go ahead and redo that really quick get these icons out of the way all right if I have a hyperlink maybe I've made a page about our volunteer program I can go ahead and hyperlink that there I'm always going to give folks that secure hyperlink whenever I take folks um to a website if I want to add an image we'll do that in our next 1 for our volunteer program this text is going to be sufficient and then we can come through and edit the form um template or drag some new form Fields over you're going to notice that in order to require a question um be filled out for them to submit the form we're gonna have that required button checked if we uh need to pull any information off let's say you know we added a short answer and we decided we actually don't want to collect that information we can delete anytime you see the Domino across your CMS you're going to be able to go ahead and change the order um of any of your questions now um down those are some of the informational form Fields here um we can collect payments we'll do that a little bit maybe for this question we want to go ahead and add some additional checkbox or multiple choice or drop down um when you go ahead and uh uh pull a checkbox over uh folks are going to be able to put multiple answers so if I want to say maybe what semester do you want to help we can say fall or spring we can add an additional option both and folks are going to be able to click as many um answers as apply for them as applied to them excuse me so again we can go ahead and say please check all the boxes of the semesters you wish to volunteer for if we want to require that question again we just click the requiring button um multiple choice and drop down menu that's going to give folks the ability to answer uh only 1 of the choices as in availability whenever we are done adding all the questions to our form we can go ahead and click save now we have the forms URL down here as well as up here so we can come and view what our form looks like we're going to be able to take that form if we want to make a friendly URL looks great we're ready for people to start volunteering we could always come over um and go to our redirects create a a redirect AKA a friendly URL and call this um you know shortened that URL to something like your domain.com volunteer PTA any of your forms that's going to be a great way to share your form by Word of Mouth we're also going to be able to display this form on our site navigation menu what is your site navigation menu you can always click to go over your homepage right there and up here this is your site navigation menu we could go ahead and easily add this form to any 1 of those top level maybe we want to come down to family resources and add a new item we can drop that URL that we've just um created right here we can also go ahead and pull a form feature so here we're going to have all the forms that we have available pull our PTA volunteer registration and save that to our site navigation menu another way you're going to be able to display your forms is maybe you want to announce on your website site via at homepage widgets you're going to go to your page Management Open homepage widgets and here I can just simply pull a button widget somewhere on my homepage do I want this towards the top towards the middle towards the bottom I can go ahead and drop that URL here and give it a label sign up to volunteer this school year whatever I want that to say here are going to be my widget behavior um I can you know go ahead and edit how I want that to behave on my page saving the changes and now folks are going to see that button on my home page right here they can click there as long as I drop that URL of my form folks can be taken to sign up directly so those are some ways we can display our forms on our homepage let's go and build some other forms let's say we have a back to school field trip form coming up let's go to new form and find the template we want again we can always search through or just type and find field trip permission I see that this has payment uh that payment option available I can always uh delete those options or add additional options depending on what I want with this form because again going to be able to edit this exactly how I want we're going to the zoo so I'm going to say zoo field trip permission or maybe I want to further qualify this um this is a second grade Zoo field trip permission form again I have that extra text box up here at the top maybe I want to go ahead and add an image I'm going to pull from my computer get folks excited about this field trip I'm gonna pull the image there maybe I want to hyperlink um the zoo that we are going to add some information about the field trip again you can totally um edit um regarding this image maybe I want to make that a little bit smaller and I'm going to of course have to add some alt text because my accessibility settings are turned on um so I added a picture of a monkey in a zoo I can give between a 2 and 8 word description that's going to tell folks what's going on in that image and now we see it here I can go ahead and add some text getting folks excited about this if I want to go ahead and add this information or simply delete and add my own again completely customizable you can use what's working in our templates for you and uh you know forget the rest again maybe I want to add a hyperlink so that parents can see exactly where folks are going I'm going to be able to do that using my text formatting options right above if I want to you know bold any text change the font color make that bigger go on and so forth and again I'm going to be able to customize all of these form fields that were uh set up in the template based on what I uh want to be able to collect now if your school has a um you know you still need to collect those paper files that are required by the district or by the state you still can use our edlio form feature by having folks be able to upload a file directly onto this form I simply uh grabbed the file upload option and dragged it onto my form where I want that to go now I'm going to say please upload the permission slip um found a link above maybe you want to go ahead and and situate um that PDF in a page um you can go ahead and uh situate in a um go ahead and embed that PDF in a page where you make files available to folks and then you can go ahead and hyperlink that page here maybe we want to say please click this link to find the PDF permission form we would go ahead again and add our hyperlink right there of the page where we've embedded that PDF and now we're allowing folks to easily grab that PDF oh and sign it on their phone and or on their computer wherever is going to be most convenient for them and upload that slip right directly to our online forum we can also collect signatures so now we've collected that parents consent via the signature directly on our forum what about payments let's say this field trip um costs 5 dollars for all of our students um in this case the uh default Max was set at 1 because we're just filling out this field trip per 1 student so we can go ahead and set that number or maybe we have a field trip that has multiple choice available maybe we have um field trip with or without lunch and we can go ahead and create those options 5 dollars for my zoom ticket and 8 dollars for my Zoo ticket plus lunch and a parent is now going to be able to choose which option is going to be best for their student when we're ready again we'll Simply Save now that URL that we want we can go ahead and grab down here check out what our form looks like oh I need to add some payment information to see what that looks like um you need to add your bank account here so again all you need to do there is reach out to clients success link your bank account and then you'll be able to start collecting payments on this form grabbing the public URL and sharing that through all of the different mechanisms that I shared just a few moments ago let's make 1 more example and then we'll look at some of our form options let's say we have a form um that we want to share a lot of different information and tickets to all of our homecoming events um I could go and take a blank form or maybe I want to choose you know which form do I think is going to uh match the needs of the form Fields I'm going to ask prom ticket and consent seems pretty good let's go ahead and pull that and start editing it homecoming event signups or tickets whatever we want to call this um form we can go ahead and add their I want to swap out my picture so I'm going to delete that that stock photo and go ahead and upload a homecoming picture from my computer again I'm going to add that um alt text in this case I have some text in this image so I'm going to want to add that alt the text that's in my image to the alt text so that our form is as accessible as possible homecoming tickets and information 2024 I can go ahead and resize my image here or with my cursor um now whenever I add an image I can also make this a hyperlink so if I want to link to let's say pictures of last year's Homecoming in a photo album or I've created a page I can go ahead and make this image a hyperlink and then I can start adding the text that's going to be relevant for my events I can go ahead and uh just simply add all my information in the insert or maybe I want to go ahead and add my own information I can come and adjust the text size here centering my text so on and so forth designing that um to be exactly how you want that to look beautiful and then again we can go ahead and um edit any of these form Fields maybe we want to require a phone or um uh we need to go ahead and add the question for the consent I uh we can switch maybe homecoming dance consent or whatever information that you need folks to sign off on for their uh student to go ahead and attend the homecoming dance we can add here let's say we also want to sell um tickets to the dance and tickets to the game let's just start adding that information here I can go and start creating sections first I want to go um I could always add a text here as in um this right here is that text facts if we start to recognize that we can add any information if I have a parental consent PDF again I could go ahead and Link that here add a hyperlink to find that document access that document here go ahead and hyperlink that as we've done before whatever that form is let's say we've made a page where we've gone and added that PDF um and I want to start um going ahead and adding other information maybe we want to go ahead and add a short answer or a checkbox of which events are you signing up for again we're going to be able to go ahead and add those options we have the homecoming parade the homecoming game the homecoming pep rally the homecoming dance we could go ahead and easily um collect information of to RSVP to those events and then start selling the tickets to the events that are going to be ticketed so we can come over here and add an item homecoming game ticket folks can buy unlimited or maybe we only have 500 seats in our Stadium we can go ahead um and limit the maximum number of availables and the maximum number perform maybe we want folks everyone to have an option you know every the possibility to go ahead and get homecoming tickets so we're gonna um limit 5 per household something like that we could also go ahead and sell maybe some of our swag our homecoming 2024 t-shirts we can go ahead and allow folks to buy those directly on our we can add a description we can add variations in this case we're want to give folks those size information we can even give the variation title so that's super clear what those choices are giving all of the side that we ordered our t-shirts in I'm going to go ahead and drop my price again maybe we only made uh 300 t-shirts so we're going to have that Max available in order to really you know make this um tempting for folks to buy ahead of time versus at the game we can go ahead and add an image from our computer or cloud service about what those t-shirt options look like maybe I have blue and green and I want to go ahead and add those variations of sizes I'm going to be able to go ahead and do that or if you have both maybe we want to say blue small and then we go ahead and have the same um sizes but for our other colors a lot of different options here once we've gone ahead and add everything that we want for this form we can go ahead and save and you know the drill here we're going to be able to see that URL we need to go ahead and contact client services to connect our our bank accounts so that we can receive that payment and now we're ready to uh send out our homecoming form where are we going to see that payment information up here at payment report I'm going to see uh all of my transactions across all of my forms right here and my bi-weekly payout statements um I also have some form options for my individual forms I can come here to the 3 dotts income to form options um let's say I want to see you know how many t-shirts tickets Etc I've sold I can see how much money these forms have made just my homecoming event signups that's what we're looking at right now I can also send folks notifications every time someone fills out this form I'm going to enter their email pressing enter and now they're going to receive that notification I can enter um you know multiple maybe have several folks that want to receive this notification they can even get the form response in their inbox so maybe this is someone who doesn't have dashboard access or who doesn't want to have to come into your CMS dashboard every time they want to see what someone responded to this form you can go ahead and have that response be sent directly to their inbox maybe that's the person who's going ahead and sending it filling those t-shirt orders let's just have it go straight to them and eliminate the need for you as a web admin to have to send them that information of those orders we can also ha uh design the confirmation email to the respondent now whenever you are collecting payments or signatures you're always going to um have this turned on you don't have to remember to come and turn on a confirmation email that respondent is going to get um the confirmation that they filled out this form in their inbox but you can come here and edit this confirmation email based on what this form is thanks for signing up to volunteer we really need you this school year you're going to hear from the AP by next week or thank thank you for signing up for homecoming your T-shirt will be able to be uh picked up at building a on Wednesday you know go kodiaks whatever this is we're going to be able to add pictures add links and make this email um makes sense based on what we're asking folks in the form over here on Behavior at the end of every form there's going to be a submit button if we want that button to be uh donate instead or apply um we can go ahead and change that button and we can also go ahead and customize the page that folks are taken to after they submit that form so again thanks for your donation you're changing lives at Kodiak prep or we could even take them to a custom page maybe we've made a page where we've um inserted a video of our principal saying thank you of our students um you know saying thank you again totally customizable here we can also have this form open and close on a specific date and or after maximum num number of submissions reached whichever comes first you're going to be able to go ahead and design what the page is going to say when the form is closed so in this case we're designing our homecoming form we can have it open um now and close in October after homecoming has passed and after it's passed we could have it set it to open next september um and go ahead and automate next homecoming already for us using the forms here in edla remember to save your changes and there you have all your form options set a few final things what about your responses let's go to a form that has some responses 3 dots we can always click our responses here we're going to be able to see all those responses we're going to be able to download them or print them say someone contacts you hey I just filled out this form and I filled out something you know uh in correctly you're going to be able to come in and edit their specific response if you need to correct something for them remembering to save um you're going to be able to go ahead and delete any uh particular answers if you want say someone you know double responded so on and so forth so those are your responses now if someone has sent a signature or attached those files that you need um when you download as an Excel um those are going to be hyperlinked all those attachments right there in the Excel for you if you need to edit the form simply click the edit you're going to be able to do that if you need to grab that URL again to go make your friendly URL to put it on a on a news story to put it on a homepage widget just grabbed public view or you can click share both are going to take you to the URL of that form and let's say homecoming has come in past we want to go ahead and refresh this form get it ready for next year can always wipe the responses we've downloaded all of them from this year close the form and now the form is clear and ready for
