hello and welcome to this edl webinar intro to the plan module my name is Taylor I'm a trainer here at a Leo and I'll be leading you through today's short and sweet session on everything in the plan module so let's go go ahead and jump in the plan module is your central hub for streamlining all your school information we're going to review how to use the calendar feature to manage and create all of your calendars whether you have a i calendar that you want to link or you want to use our calendar feature to create your events you're going to be able to plan like a pro we're going to go ahead and look at food menus and how to create food menus if you don't have 1 already from your food service providers if you have 1 from your food service provider don't fret I'll also be sharing some tips and best practices about how to display so that matter what your school lunch menu looks like you can go ahead and get that easily onto your school website we'll be looking at Bell schedules I'm going to show you how to set up and share varying Bell schedules so that that information is clear for folks and we'll also be looking at the final item in the facilities module um the final item in the facility in the plan module excuse me facilities um this is a really great feature that can show you how to efficiently manage School facilities by creating a a reservation system that can be accessible to staff or to the public alike so with that we're going to go over those 4 features that you see in plan module and let's jump over to our dashboard to see where we see those in our dashboard all right so here I am in my schools dashboard um I can see the name of my school at the top um here in my 3 dots I'm going to call this the hamburger menu is what we're going to refer to this throughout our time together I'm going to go ahead and click that come to plan and we're going to see those 4 features in the module let's go ahead and get started with calendars all right so the first thing that you're going to notice is that you have this um these 2 options this bifurcation personal and school personal calendars are in order to be able to put events onto personal Pages AKA teacher pages to great feature that comes with your CMS is the ability for all your teachers to go go ahead and have a central hub for all the information for their classes and clubs um and so in the personal calendars that's what those are your teachers are going to be able to create a manual event as we will do right now and Link them to their teacher page this webinar is geared towards web admin and so we'll be looking at the schoolwide calendar um and how to create and add events there now your schoolwide calendar is more than likely on your homepage we can always get to our homepage if your site is live by clicking our homepage button and here we have all our homepage elements scrolling to the bottom we can see our calendar carousel now note that um you have um maybe 1 or maybe 2 calendars if you're a district um as a school you're going to be focusing of course on your school calendar back in our dashboard um that first calendar that is what correspond responds to your dashboard so if you have a drop-down menu and you have the secondary calendars know that the very first calendar in the list is what's always going to correspond to your homepage if you want events on your homepage you want them on that calendar if you don't have a drop-down um you just have the name of 1 Calendar you just have that 1 Central calendar set up pulling to your homepage and I'm going to show you how you can create secondary calendars and ways you might use them in just a moment let's start with the basics how can you add events to your calendar if you're not linking an iCal you need to create those events you don't already have a Google Calendar or Microsoft 365 calendar that you can just link to your website you need to go ahead and create those events 1 by 1 let's go ahead and do that now I'm going to come over and add an event now if I have those multiple calendars I'm going to select which calendar I want this event 2 published on remember if I want this event on my homepage I'm going to watch to make sure that first calendar is clicked and I can go ahead and add it to the secondary calendars that might correspond now um let's go ahead and add a title a time a date and if we want we can add a location so in this case let's say we're having a Halloween dance maybe it's something like picture day um and there is no time we can go ahead and eliminate um the time and just going to post the title and the date if this event repeats we can go ahead and set that up maybe it repeats on a weekly basis Forever Until a particular date maybe uh yearly basis um as in our case we'll go ahead and just leave this as a 1-time event but that is an option for you now if we have a location we can go ahead and drop that there and for many of you that location is also going to pull onto your homepage information again depending on your homepage design if we have any details that we might want to link um we can go ahead and drop those here maybe we have a form that we've created to buy a ticket to this event to sign up to sign up to volunteer as in our case we can go ahead and grab that UL URL of our form that we made using our forms feature here in our edlio CMS right to the event now I also have the ability to attach files and pictures I can attach any file or picture type now um just a note that even though this tip shows that this image is going to display on your homepage for many of you um that is not not how your homepage is designed that is in the case of our demo site also but I still want to go ahead and um add a picture I can add files to go ahead and see how those look now if you have played around in your CMS before and your accessibility settings are turned on then you're very familiar with the need to add all text to every picture that we upload all of our media in our CMS for the those of you who aren't familiar alt text is what folks who use screen readers um for vision or cognitive impairments um they are going to use screen readers to engage with your site and we want to make sure that your site is Ada Americans with this Disabilities Act compliant so we want to give this image an ALT text such that those screen readers can access all the information that we are listing here so the screen reader of course is going to be able to read all of the text and um we're going to give a textual description of this image so the screen reader can read that also how do you do that just click the little out box and give a 2 to 8 no more than 10 words and there is our alt text we're going to go ahead and Save and with our event we're going to have this little green that we just created we're going to have this little green button noting this is the event that we just created if want to come and edit that we can go ahead and click and edit if we want to delete we can go ahead and delete let's go ahead and see what that looks like on our homepage so if I go ahead and click show all events I see here my Halloween dance if I go ahead and open that event that is where I'm going to see the details I'm going to see any links that I've added any files will also be hyperlinked here and I see my feature photo now those secondary calendars if you're interested in having those those can be displayed in a few ways 1 way they're going to be displayed is when we go to show all of events then we're going to have the option to to select any additional calendars that are relevant to us so say I'm a parent I want to go ahead and keep up with all of these calendars I can go and select those see all the events for the month I can even subscribe to my own IAL um to those calendars that I've selected so how can we go ahead and create those extra calendars um that is going to either um be poll here on to our homepage or we can go ahead head and add them to our pages we are going to come up here to settings in the dashboard from our calendars feature this takes us all uh 2 settings which can also be found at hamburger menu site management and settings down to calendars here I'm going to see how many calendars I have so my zero category again my first calendar that corresponds to the ca the news that is pulling onto my news carousel on my homepage and I can always had any additional calendars giving it a name and pressing save each of those calendars has the ability for an iCal integration so if you again have a Google Calendar or Microsoft 365 calendar you simply are going to select which calendar you want to link to that iCal let's say our Athletics calendar and then I'm going to come in and go and use my Google or office uh 365 um SSO sign in option to go ahead and Link those calendars now it's going to create a 1-way communication feed so all of the events created edited or deleted on my iCal are automatically going to reflect onto my web page that's going to mean that when I into my calendars I'm going to see all of those events pulling from my iCal but I'm not going to be able to edit or delete those I'm going to have to go to Microsoft Office 365 or my Google Calendar to do that now um just a few Pro tips to go ahead and check out if you're interested after our webinar today is that those additional calendars that I mentioned you're going to be able to go ahead and add them to the page so if you do create that additional calendar in settings and then I come over to my hamburger menu page management and pages let's say I connected my Athletics menu uh excuse me my Athletics calendar the calendar that my coach or my head head of Athletics has and now I want to pull all those events automatically onto my Athletics page our new events blocks make that really easy we can go ahead and find our Athletics page and go ahead and add that event block if you're curious in seeing this in more detail go ahead and head over to our help center or help edlio.com check out our pre-recorded webinars and we have a whole webinar on our new news and events blocks but here you see how that looks I've got all my events automatically pulling onto my Athletics page simply by having added a events calendar block so when I go ahead to add a page block I can go ahead and choose which calendar I want to pull onto this page and now this page is going to be automatically updated with that Calendar's events and info really great and again as you can see here um you are looking at uh dates titles and times and locations and that is the calendar module let's move on to the food menu module so coming into food menu um I am at the very top able to go ahead and select which type of food menu I want to go ahead and add this food menu um as you can see this food menu feature is really great if you don't already have a food menu that your food service provider creates for you whether that's a PDF or whether that's a um a URL with the menu for the month if the latter is your case I'm going to show you how you can go ahead and uh give tips on how you can go ahead and add that already existing food menu to your site navigation menu to um places in your website go ahead and get that connected this feature is more if you don't already have a food menu and you want to go ahead and create that we simply are going to go ahead and choose the meal that we're going to add information for um so say our school has free breakfast and free lunch or simply going to go ahead and drop all of that information so I can go ahead and type out or copy and paste my schedule for the month they're on um in my grid I can go ahead and choose my other meal and drop that information in there too now you can see it's auto-saving for us so now we have added all of our food menu um for the week for the month for whatever time you want to go ahead and add that and here is what that's going to look like our food menu is already linked here in my site navigation menu so I can come and see how that displays each meal that you add is going to be bolded with the items under it um and the grid will go ahead and um hold as many characters as you need to communicate if you have breakfast lunch snacks and dinners your boarding school you have all meals um if you want to go ahead and have weekends show you can see folks can go ahead and see weekends on the public side and on the dashboard side we can go ahead and add those weekends if that's relevant for your school awesome we can go ahead and again note the Scrolls to get the whole whole week and that is our food menu whether you're using our food menu or 8 you already have a pre-existing PDF or URL you can go ahead and add your food menu to your site navigation menu by going to hamburger menu down to site management and to site navigation I'm going to either look for food menu that I already have on my site navigation menu as in my case or maybe I want to go ahead ahead and add a new item for um to go ahead and upload my food menu in this case here it is I have my lunch menu um if you're using our food menu you're going to go ahead and select feature page food menu as a food menu is a feature if your uh food service provider already gives you a page you can just simply drop that URL here now if you're taking folks outside of your website AKA to your food service provider's website I would recommend opening that as a new tab or let's say you have a PDF um go ahead and uh you can add a file to the lunch menu drop-down menu simply upload that file from your computer or cloud services in terms of accessibility uh we really recommend that you make that PDF as accessible as possible there are some resources on accessibility in our help center so that folks um are going to be able to uh see what's for lunch no matter how they are using your CMS whether they're using a screen reader or whether they're using um Google Translate then between those 3 areas you have your lunch menu on your site navigation menu your changes it reminds you are not saved until you go ahead and save them in the top right corner and that is lunch menu of course you can also go ahead and make a page for your food service um embedding your PDF if you have a menu as a PDF using our file page blocks um so that's another option and I definitely recommend you check out our pages webinars on our help Center if you have more questions let's go on and look now at our Bell schedules very similarly to food menu Bell schedules is a great resource if you don't already have a bell scheduled have created or let's say you have a PDF created but you want to go ahead and make sure it's accessible to all folks um your PDF doesn't have those accessibility settings in place or um you don't have a page where you've already added a table for your bell schedule no worries you don't need to do any of that you can simply use our bell schedule feature so let's go and check out what our bell schedule will look like by finding it on our site navigation menu and here is what an example bell schedule can look like I can have as many um different types of schedules as I want my regular schedule my half-day schedule now coming back into our dashboard let's see how we can reverse engineer the Bell schedules we just had so we have our regular schedule we have our half day we can continue adding schedules each schedule is made the exact same way we're going to give it a title if we want to give it that um uh sub headline we can go ahead and add that information here and now I'm simply going to add those um those our lines now if I want to change the order maybe I went ahead and I forgot um our snack period that we have I can go ahead and add those times and I can go ahead and change the order using my um arrows here to go ahead and move things around when I'm done I can simply submit my bell schedule and it's going to move of my most recently created scheduled to the top I can use the these arrows to then change the order of in which order these Bell schedules appear so summer school being the least relevant here now you know as we're in the fall semester I want to drag that down when summer school comes I can drag it back up and um use as many schedules as I want this is really great if you have a block schedule uh system and you want to add a bit bell schedule for block a Block B Block C through G you're going to be able to do that all and it's going to Simply um keep adding to your bell schedules here scrolling down like this so folks have access to all of that information they can even come and print that um and it will give them a PDF here clicking printer friendly so you can go ahead and parents can print it out for their fridge teachers can print it out for their doors so on and so forth and that's your bell schedule lastly we're going to go ahead and check out our facilities feature I'm gonna go to plan and Facilities now um you can see here that I have 1 facet the top it has a name and a manager we're going to go ahead and create a few different facilities so you can see what this feature looks like when it's all built out now facilities as I stated way in the beginning is a way to create a reservation system for your um any facilities that you have on your website now maybe that's a facility that you only want to create a reservation for your for your teachers let's say that's the case um let's go ahead and add a facility and say you know I want my teachers to be able to E delete reserved the computer lab I'm going to give the facility name if I have a facility description if I have hours of operation any reservation info or terms and conditions I can go ahead and drop here now all the way at the bottom we can see that by default reservation is going to require approval approval by home while scrolling to the top we can see we can add facility managers facility managers are folks that have user account accounts here in your CMS your user accounts is found under site management user management so these um those are the use user management that use folks use to log into edit their teacher page it's what you as a web admin um use to go ahead and create your staff directory and we can also go ahead and assign facilities to folks if they have a user so I'm going to go ahead and assign a facility man manager if I have multiple folks that manage this facility I can go ahead and add additional people this person is going to be the person who's going to have to approve this registration how is that going to work when someone requests a registration of the computer lab this uh staff member will get an email and they'll go ahead and check the reservation request and then go ahead and approve that person or not if a reservation approval is not needed you can always turn that off and folks will go ahead and just immediately directly book the room and um all other users will be able to see by default pending reservations and uh pending reservation requests without the need for someone to go ahead and approve that so both of those are available now in this case this is just a um reservation this is just a facility that we want teachers to reserve so we don't necessarily need reservations through the public site but I do want to go ahead and remind the edlio trainer to uh check out those reservation requests after 7 days if they haven't already we can already set up a reminder for that facility manager once we've added all that information we can go ahead and add a facility and now how can teachers go ahead and book that facility Well let's go ahead and check out the view as a teacher so um here I am in my teacher dashboard um the teacher Dash is much more truncated has much fewer features than the web admin dashboard though you can and user management give this person more admin uh access if you want to go ahead um and have them help you with any features definitely you can check out information about our user management system but let's say you just have regular accounts for your teachers and they want to go ahead and book the computer lab from their dashboard they just come to their plan feature their ilities and they see those 2 facilities that are available if they want to reserve either of them they're going to come to the 3 dotts view the schedule C okay the day that I want is free and then they can come and request to reserve that facility they can request to reserve it for um themselves or for someone else going to go ahead and put the name the date the time it's going to let them know if it's available if they want it to be um repetitive if they need to add any notes or you require any attachments um you can put that in the terms and conditions what you require folks to provide in order to reserve or request to Res serve um and then here as a teacher I can go ahead and give my contact information and request to reserve so now I'm going to receive an email about my reservation request and when it's approved heading back over to our um um admin site as web admins let's say we want to add a facility that we're going to allow the public to reserve I can go ahead and add a facility maybe I have a soccer field that I share with the community or we let the community use same thing give it a facility named give it those descriptions hours so on and so forth if I need reservation info again if I need folks to go ahead and um submit a document or sign a document I can go ahead and Link where that document I uh put on my website for folks to have access to I can link that here all sorts of information I want to give it a facility manager if I want to go ahead and um have this facility need to be approved and since I went out in the public site here is where I'm going to go ahead and accept reservation through the public site so now it's available both in my dashboard for staff to go ahead and reserve and as well as on my public facing site so if I come to facilities I can go ahead and see both of the facilities that are available um for public view are here and I can go ahead as a teacher or Community member reserved facility with that same information that I gave on the backend we're basically asking the same information then I'll go ahead and submit a request now your additional option that you have for facilities is um to go ahead and maybe your teachers aren't gonna come on to the dashboard and come into Reserve facilities but if that facility that computer lab was available on the um your public site on your website teachers would come up and and Reserve those but you don't want this available to your whole school community no worries just come and you can use password protected areas this is a feature that we will have a webinar to go in depth on on November 13th we'd love to see you there the recording will also be available afterwards on our help center and we'll go over the mechanics of how you can go ahead and put all your facilities on your website but go ahead and password protect them so that only your are able to reserve those facilities now we've gotten through all of the intro to plan module today I really thank you for your attention and for joining I want to um go ahead and remind you
