hello everyone my name is Taylor I am a trainer here at edlio and I'll be leading you through today's webinar on raising funds with Farms creating a school store in your edlio CMS so if you're tired of chasing down checks and permission slips this record this webinar is going to show you how to streamline your school finances by using the combined power of the edlio forms with edl pay the 1-2 punch for collecting payments online so whether you want to build a store uh for your school on your website or simply collect permission slips and payments in this webinar you're going to learn how to create easy to use forms um building custom forms to collect fees donations ticket sales merchandise orders and more all in minutes this is going to help you to finally go paperless accepting secure online payments with our user edl pay integration saying goodbye to cash and checks will also help you simplify your workflow being able to manage everything in 1 central location so this is going to help you make your time and resources much more sufficient so let's go ahead and start this webinar to show you how it Leo forms with pay can revolutionize the way you collect dual payments let's go ahead and get started so as I mentioned today we're going to go over how to build forms using our simple drag and drop interface that are going to allow you to customize those forms to sell any items that pertain to your school swag prompt tickets field permission and fees collect donations and more I'm going to show you how you can report on those payments and display those forms easily on your Elio website enhancing discoverability to make sure people know where to go to uh you know make that donation or buy that school hoodie again you're going to be able to create all sorts of things um with your ADL forms tool such as registration forms volunteer signups ticket sales donation forms and more you can even use a little forms um if you on uh instances we are not creating payments and collecting funds and I'll ahead and show you that so now um really important and everyone's mind when you're thinking about collecting payments is how can folks pay and how is their payment uh structure um how is their payment info protected and what is uh the fees so here we go our forms of payment accepts all types of cards all credit cards debit debit cards gift cards Etc um you have a very basic convenience fee structure which is going to be 4% plus a 35 Cent transaction fee um that as you can see on the slide broken down is um goes a small percentage to Ed Leo and to the card companies so if we're thinking about a ten dollar product like a t-shirt or a field trip in order for that parent to pay with any of those uh card types they are going to pay 107 access 75% fee is charged now also importantly um we are at level 1 in PCI the payment card industry that means we have the highest level of compliance um what does that mean in layman's terms whenever a parent or School Community member makes a payment we're not storing or saving any of that card card information um that lessens the risk of the card being compromised using forms with pay finally in I'll remind you this at the end of our session um you're going to be able to set up forms with payment easily with our client success team you'll just need to go ahead and link your ACH deposit info so you can start collecting those payments so with that let's go ahead and jump into our dashboard um before we get started building our forms I want to take a look at some examples of what payment forms can look like so for example maybe we're going on a field trip and we need to collect money and in this instance we have 2 different um fee structures for our students 1 for the field trip costs and another if they want to buy lunch instead of bringing a bag to lunch so here we have a easy um drag and drop template for permission slips that we're going to go ahead and recreate together that um make a very Sleek product weren't able to indicate all the information that I need from folks those fees and meal options and I'm able to ask folks to upload attachments such as um medical information drivers like signed um uh State permission slips we still need to um have those signed old school fees on hand for the doe or for the state department um you're going to be able to do that and books are even going to be able to go ahead and sign this form by typing or drawing their signature submitting at the bottom so that's 1 example that will go ahead and um it something similar today now we can also as I mentioned collect donations so here is a donation page for Mrs ruiz's classroom we've got a nice image at the top a little description of why she is collecting money for her classroom folks in this case can donate any amount we have an open amount um versus the choices down here and they can add um some optional information like uh what they went through donations to be used for questions their contact information Etc finally as um we mentioned you could build an entire school store we can sell our school swag so here we are we have our spirit store where we're selling different athletic jerseys for um our school Whitney Tech we've got the football jersey the B baseball jersey and the basketball jersey all for sale I'm going to be able to go ahead and choose my sizes in concordance with what is available go ahead and pay for those jerseys so I have 2 it's going to go ahead and at my 60 charge I'm going to be charged 627 5 and it reminds your parents in school committee members feel strange transcriptions are secure and and encrypted so with that let's go back to our dashboard and backwards engineer some of these payment when I'm building a form I'm going to come to my hamburger menu and down to forms now we're going to uh create a form together in just a moment first I want to take a look at all of the previous forms that we have so you'll notice as soon as you have created forms this also becomes the repository that houses all of those forms for you so I can see forms whether they're open or closed how many responses they have I can see um when they were last changed if I need to update them and who created them if I want to check the responses for a particular form I can come to my 3 dots and click responses now I'm going to see those responses listed here if I need to edit them I can go ahead and click I can uh drop down delete print I can download the form excuse me not edit um but I save I can also download all the forms to an Excel file or maybe I just want to download those attachments I'm going to go ahead and process the the form um data here but I need to save those attachments so those files I'm asking for folks those signatures at separately so that I have them in case of um a review or audit I'm going to be able to also directly um which would allow me to save as a PDF when you download all the responses as an Excel if you have any attachments so those file attachments or signatures they are going to be hyperlinked in that Excel document going back to forms I also want to show you some um really interesting form options so if I come over here to 3 dotts remember 3 dots across the CMS is always going to let me edit so I can come edit the resp itself I can also click on the form to go ahead and edit so maybe um we went ahead and after this field trip has ended I can go ahead and um uh pull it off of my website um but next year we're going to go on the fifth grade field trip to the Art Institute again I can come and edit my dates so on and so forth and these are all those drag and drop components that we are going to learn together all right awesome let's check out some additional form options coming to my 3 dots I'm going to be able to go to form options now um it lets me know at the top forms of signatures are automatically going to send a PDF of the signed form to the respondent so all of those boxes are checked and we don't have to worry about turning on the confirmation email if you have a simpler form um that you're not accepting payments you're not asking for signatures you may have to turn this confirmation email on by default it's going to have a pretty basic confirmation email message but we can go ahead and edit this depending on what's the form is maybe it's the field trip and we say thank you if you have signed up to chaperone we will reach out by next week or maybe um it is a donation form thank you you are changing the lives and opportunities of our students so on and so forth I can even add some pictures um or a link maybe I have a video of some of our students saying thank you I can link that from YouTube uh you know anything that you can dream of you can go ahead and edit here in your confirmation email now I can also set up my notification emails so we've seen that I can come here into forms and check if my form has a new resp response but I don't need to um monitor like a hawk my edlio dashboard to know if someone has signed up for the field trip or if someone has donated to Mrs Reese's classroom I can simply go ahead and put in the notification email who I want to receive a notification once that this form has been filled out so every person that fills out this form now myself and Betsy are going to get notified maybe I don't want just a notification that the form is filled out but I want to know what they said this is a special useful for folks who maybe don't have a dashboard maybe you're selling T-shirts you're going to go ahead and Link the person that's managing um the production of those t-shirts they don't they're not a web admin can't get into forms but you can go ahead and send the form response so that they know how many t-shirts were ordered in what sizes um directly to their inbox coming over here to behavior you notice at the bottom of our forms we have a submit button if we want that button to say something other than submit like donate or maybe apply we can change that button and we can also edit the page that we were taken to after we fill out that form so once I fill out the entire form I have a just like our confirmation email a um default message on the thank you page but again depending on what this form is I can go ahead and edit thank you for your donation thank you for signing up for a field trip you'll hear from us next week thanks for signing up for uh spring Sports you'll hear from the coaches by the beginning of the month so on and so forth you can even take them to a custom link up a page that you've created to uh give information about this field trip or to say thank you for donations over here at schedule is where we can go ahead and close that form maybe I know right away we're going to start um opening um the field trip permission slip uh at the end of this month and I'm going to go ahead and close it after the field trip has passed that's going to mean that um before and after these specific dates it's no longer live on my website even if I've linked it there and I forget to take it off next year when we're ready to have our fifth grade field trip again I can go ahead and edit the form and edit these dates I can even have it closed after a maximum number of submissions have been reached so maybe I can only sell School swag to 150 families can go ahead and close it after that if you're collecting payments over here in your payment tab you are going to see the funds that this specific form has been made and you're going to be able to add your revenue account that is receiving those funds that's the account you're going to go ahead and Link with your with the client success team making sure to save any changes you made to these form options all right so with those form options that we've gone ahead and seen a few extras if you need to share the URL you're going to be able to do that if you want to copy copy this from a permission for the art museum to a permission slip for a a zoo I can go ahead and just copy over I can also clear the form for next year deleting all responses or deleting the form fully go ahead and create a new form together and I have all the templates that have been created for me um by our team that I can pick through with internal and external purposes I can see the ones that already have payment information I can also search I want a field trip permission slip let's go ahead and click our field trip permission form and go ahead and start to create a permissions for our upcoming spring field trip to the zoo I'm going to go ahead and edit the title clicking the pencil so again this is totally customizable you can edit the template um to meet your exact needs let me go ahead and indicate the date so I can look back um with ease and know exactly when this is for so on and so forth now all of these form Fields as I mentioned are simply drag and drop this first um box as in the case of many of our templates are going to give you that nice text box the top to give folks um you know context to what you're asking them for to give them images we have that at the top right here um so this is really nice to give again some instructions um to what you are asking folks so let's go ahead and drop in some text and some images a drop in my my text I'm gonna add an image I can pull this from my computer once I have my image there I can give it some alt text if you have attended other edlio sessions you know that accessibility is Made Easy um so that you can make sure your site is always accessible and ADA Compliant really important for a school website the best practices give a 2 to 8 word description of what's happening in this image all right we'll go ahead and Save let's try that 1 time and again you can add your images here you can also add hyperlinks um simply select the link that you would like to um be hiperlan and go ahead and Link that here so on and so forth let's start looking at some of our other questions so over here I have all of the questions in the template I can go ahead whenever I see this Domino and change the order I can see the equation is required when I have that asterisk and I can go ahead and unrequired simply by clicking that box um I have all sorts of short and long answer questions that have been brought in maybe I want to ask for the parents email um or their phone maybe I want to ask for the date and time that they are signing this I want to go ahead and pull a signature over and have them time stamp that signature um so really awesome feature is there now you can see we have a preset payment in the template but we're going to be able to add a several different payment types as we saw in our examples coming in the uh example that's brought here is an item so this is assuming that the field trip fee 1 feet um and uh we can go ahead and pay that for however many students we are submitting for if we going to make the form for each student we could go ahead and um just leave this as purchase Max 1 and a parent is going to have to fill out a new permission form for each student that's what we want so that looks good we could also instead add a multiple choice um we can say field trip be with or without lunch and give those options just like we saw on our other field trip form also going to be able to use my other payment types so for example maybe instead of a field trip form we're building a school store um or a donation form if I'm building a donation form maybe I want to create an open donation like in the case of Mrs Ruiz and people can donate any amount or maybe I want to create a donation form with multiple choice and I want to add give folks um some suggested donations ten dollars twenty dollars $50 $100 and I can even give a hunt and other options so that folks can go ahead and give less or more as they want I can also use my item um for a school store so if we head over to our Spirits were and we saw that we could buy our lovely football jersey I can see what the Whitney Tech Jersey looks like I can say all these sizes available and indicate how many I want to buy that is what you're going to use with your item so we can go ahead and say um we want to uh sell some school swag we're we're creating a form especially for our school swag I can go ahead and add an image from my computer or cloud service of these swag I'm selling awesome so I have a red a blue t-shirt option I can go ahead and say the blue t-shirt and give some sizes so on and so forth you might want to indicate adult and youth sizes so that folks have some clarity there and say end of year class of 2025 t-shirts I can even give a description 100% cotton made in the USA for example um I can add more sizes here um I would want to go ahead and add an additional item to go ahead and give the choices support the red t-shirt instead let's say this t-shirt is twenty dollars and I only have 200 being made so only at 200 can be sold I can even say and each household can only buy a maximum of 5 so that everyone gets a chance to buy some again I can go ahead and pull over and keep building my school store maybe I have a hoodie maybe I have some other um some other products I want to add I'm going to do the same add a picture of my hoodie give my description give those sizes Etc awesome um your forms can also include some multiple choice check boxes or drop down menu um so if you're creating more traditional forms um or these are going to be relevant to your orders those are going to be possible for you when you have created your entire form you're going to come down and click save if you need to edit your form I can go ahead and delete any of my items as such and now that my item is saved I can go ahead and share when I come up I'm going to see my link so I can go ahead and grab this link I'm going to be able to see what my form looks like I would be able to also see what my form looks like going back to my form home coming and clicking public view that's always going to take me to the public facing site and there are all of the different elements that we added on our hodgepodge demo form today now um you want to see uh how much payment you've you've Revenue you've collected across all of your forms remember we can go into our form options to see the payment for our specific field trip permission form but maybe I want to know how much how much revenue have we made overall you're going to be able to come up to payment reports see your transaction report over time and your payout statements which are bi-weekly now finally we're going to finish our webinar today looking at how we can now link our forms on our site um there's a few ways that I'll over briefly and I'll share some other resources to dive deeper into these um different features should you want to brush up on these methods 1 is going to be coming to your site management and adding your uh form or your school store to your site navigation menu your site navigation menu is the menu at the top of your page depending on how your site looks like this is another site navigation menu let's go go ahead and add this as a table somewhere in my site navigation menu so maybe I want it under my school store I'm going to go ahead and pull a feature page finding my forms under features and I'll go ahead and find that form um we have a lot of forms this would be a good example of going ahead and um making sure to delete your forms that are no longer relevant we could also simply just drop the URL and voila now this is on my site navigation menu maybe I want this as a homepage widget my homepage widgets are here under page management I can go ahead and um you know couching my link somewhere on my site navigation menu I just want to have it at the top of my on page I'm going to repurpose this button that I have on my homepage going ahead and saying make sure to sign up for spring 2025 field trip and drop that URL here thank to save my changes at the bottom and finally I can add my forms as pages in a section I'm going to come to my management and go over to pages and here I'll be able to choose in page section I want to add um maybe I want to go ahead and add this to um a page about academics or a particular grade level maybe I want to add it to my school store Page section I'm going to go ahead and search for the section that I want to link this form in add a page and now I can simply link my form in your feature page option I'm going to go ahead and look for my form and voila now when I come to this section this is going to be a page in that section menu now remember very easy to get you started using forms with payments simply contact
