hello everyone good afternoon my name is Terry Scrap Iron Man and Leo Trainor and I'll be getting this webinar today about all the things we can do to get our site ready for summer break and have some chips in here to anticipate some of your needs and to give you all the best practices at to step away from your site we know the works as a web admin is never done this to give you the best closure and restitch fiscal year when I come back in the fall as possible congratulations for almost making it through the school year our last several weeks here and so we'll get right into some things you can do and he's coming weeks and as begin summer break a few notes before we get started you'll notice that this is being recorded you'll be able to find this webinar and all of our webinars their recordings on our help center what does come over to our help center and be able to see all of those webinars right here as they come up once we get some new webinar dates you'll also be able to sign up for those right here it's great to be able to review are webinars after they're done if you want to share me with some colleagues as well as to attend lives here because any questions you have make sure to put them in our two in a you'll notice that it's even eight is enabled so I'll do my best to get through as we get through our tips and content here and any questions that come up not able to answer right away I'll stay on after our webinar here we're going to go over in half an hour or less all of the details that you need to know to get ready for summer break including a different tips to give your homepage a freshman look over the summer for the upcoming fall how to update your user management make sure that all your staff are in there that you want in there and we can disable folks who we no longer need in our user management so we can correct news items for next year roll-off some news they're no longer relevant so we can set in forget tomorrow forms function at to be all ready to go update our supply list refresh rnav excite navigation and more so with that let us go into it we're going to be working today in Miguel School District this is an admin site so hopefully your dashboard looks like this you don't have it at 4 that looks like this you're probably a standard user and if you should be a web admin for your school you can contact one of two people when is going to be the Super admin at your school site the super admin is the user type of skin be able to edit other webadmin the other person you can always always reach out to is your CSS that's your client success specialist if you don't know who your CSS is reach out to us and I'll go ahead and get you the name of that person you can always also come down to contact a live support in at your dashboard before we get to some of the things on the dashboard I also just I just want to take a moment to look at the side of the homepage refresh and things that you might want to switch out on your homepage to get it ready for the new school year a lot of you might have a let's go ahead and hide the homepage as you want a lot of folks might have a featured video at the top here or a photo Shuffle the summer is a great time to switch out from one to the other in order to give you your homepage a new-look we also have these lease options many folks have rings on their homepage I'm your able to get those links changed into these hubber boxes that were able to actually edit these images in our photo Shuffle media feature on the dashboard these are all things that you can talk to your CSS about another thing that you might want to add it to your home page is an extra Spotlight message or if we come down here we can add our social seeds we can integrate a news feed for my social encourage folks to self all your schools and social and embed some videos as well as hard-code maybe some stats at a glance at some Partnerships to your page again we have another image back here that we would be able to put there and have you all as weapon and swap out as we want here is another fashion for length and you can also situate a media gallery on your homepage so those are all different ways you can do a full redesign and the summer is best best time to do that but it's also our busiest time I June through August is definitely the busiest time for our sites to talk to your CSS right away if you're interested in a full redesign or just some refresh it's only the elements on you can talk to them about and what those fees are that might be a smaller amount than going for a full redesign if you just want to situate to your existing design summer is get me a great time to do that all right what about some of the things in our dashboard let's start with user management for example Andover to user management getting ready for the end of the school year is a great time to make sure that everyone in our is in our user management that should be do we need to add any new folks coming in for next fall we can do that by creating an individual user here and we can also both update users just reach out again to your CSS they can provide USPS csb Farm you'll drop those new users information and they can bulk upload those folks for you here you can also come here and we can also come through and say that we have some folks that we are going to move it on unfortunately at the end of the school year and we want to go ahead and remove them from our staff directory want to go ahead and remove them as well as get their teacher pages disabled anyone who has a regular user we as webadmin are going to be able to edit if we want to edit any of these into our sites are super mad at me an address but as a regular webadmin is today I can say mister backpack Mr Hunt and scrolling down let's say we have a lot Mr Charlton are all moving on from our district this year I can come over here to the three dots and I can go ahead and disable the user I'm also going to be able when I select those disable all the users and if I am disabled and I can also re-enable them to always have that choice you can force password reset and pick him over to the three the three dots we can also disable password reset same as a lockout and unlock out so you don't have to be worried about accidentally clicking any of these cuz you're always going to be able to undo your actions it's also going to let you know what those actions mean so what is locking out users when they come here it will tell us we're just going to lock everyone out of being able to log into the dashboard for a while but I'm going to keep them on my staff directory users fire useful however give teachers who use their teacher page maybe they want to go ahead and edit that over the summer so you don't want to lock them out for too long so they can use that time to update their teacher page that's also where of course I'm watching users becomes handy disable forced password reset is also handy cuz as soon as we forced password reset that person can be locked out until they forced password reset so they're going to need to be able to get that in order to access their dashboard disabling users if we're ready to remove someone so he said these users are moving on from our school or on our district I'm going to disable them that's going to pull all of their information from our website they're knocking staff directory however this is going to be able to as a web admin to come back and give you their personal Pages if I in the future want to you know that for any reason this is always great to disable user in that case then go ahead and deleting them cuz I'll be able to come back and see that I disable those users how do I come back and see that later let's filter to our disabled users and then I can come here if I want to view the profile I'm going to be able to view if they have any teacher pages so on and so forth excetera edit their pages walleye so that is user management these filters always become super useful I'm to go in filter if you want to take a moment to encourage all your users to enable 2fa we can filter for who is enabled and go ahead and send a reminder to everyone else and it also is a good moment to update profile pictures you going to be able to come and for any regular user again I'm going to be able to come to the three. profile photo if I want to do that I can come scan my staff directory to identify where on my page that is see who's missing their profile photos and ask them to edit sounds for me as an admin come here and be able to add a profile pictures Trudy's 3. If you want to encourage your staff to update their own profile photos they're going to be able to come here to profile and here I'm going to be able to my own photo easily as such here are the optimal pickle pixels and Wella so those are some things that we might want to do for user management now a few other things let's say we have a lot of newsletters that we send out we sent out last year we're going to send out next year we can go and make sure our contact lists are looking to me for next year I'm going to go hamburger menu and now and to contact list now I'm going to want to do a few things maybe third grade parents I'm going to have all the parents be the same and I can simply come here and edit my list change this to 4th grade parents now that these great is moving up maybe had some few parents be added to this class for the next year the students matriculate I could add them as a single contact as such or this is going to allow you to upload your CSV or if you have been sis going to make your life a lot easier you can talk to your CSS about those sis thinks if you have Aries PowerSchool Skyward just download CSV upload all your parents that are missing from your fourth grade list save those and just drop that CSV right here let's go back to our contact list maybe we want to go ahead and refresh the parent list we have our parent list from 2023 to 2020 for I can go ahead and just download that come in after I downloaded it for posterity I could delete that list and re-upload this entire list of all my teachers are all my parents to make sure that that is totally clean just a reminder to refresh your contact list in those first few. ways that you're going to be able to do that now let's say you have a lot of newsletters from last year and you want to go ahead and make up a page of a newsletter archives you're going to be able to do that all of the newsletters we wanted to go ahead and situate on that newsletter archive I'm going to be able to come here public view if I haven't made this newsletter public I'm also going to be able to do that view is going to give us the URL of this newsletter and then I could go and grab all those who use our else and when I come in to page management make it to age for my 2023 Ford newsletter archives and have that situated that I have all those newsletters for posterity for folks what about in calendars I can't find my calendars by plan and going over to calendars that was you don't have and I can tell already integrated I always work setting mad because going to save you a lot of times you have all of those events automatically pulling from your Microsoft 365 or your CMS you going to be able to integrate backup here to settings but let's say you use our manual calendar here in edlio and you have some recurring events that caused during the summer let's say our school board meeting they take a break for these months so we can come scroll down here and disable this event and that's going to disable this event until I come back next year and I re-enable it maybe that's the true for our Friday football games we are we Global Events Club whatever it is that we might want to pause on our Eva calendar we can do that by disabling event and we can disable and next year when I come back I can come down and I'm disabled and save that change now let's go and look at our site navigation menu our site navigation menu we want to give a pass as we close out for the year and see anyting you might want to update if your site navigation menu is getting pretty long like ours here maybe we want to take a review of RC navigation menu QX80 Management in Tennessee what are the things I want to take off of my sight navigation menu because it's getting pretty long on mobile so on and so forth you're able to come and delete with the three dots items of your sight navigation menu off my side navigation menu so I recommend that you come into your page management Open your pages and you can take a look when you open your categories if you've heard folks that edilio chakra for we like to solve this hour that filing cabinet behind RC open those doors of your filing cabinet and take a look at what is situated in your sight navigation menu is going to be indicated with this icon right here and I can see all those sections on my site navigation menu and when I open up a section all of these pages are in my sight navigation menu this is a great example of a section to take some of those off my site navigation menu because when we situate Suites in a section as long as we leave that section menu on that page we're going to have our let our parents and school community members be able to navigate to the other pages in the section so I always recommend as a best practice to leave set navigation menu the most common denominator coming back into my side navigation menu I also might want to can be on the simplifying or renaming I can always rename any items here I could eliminate some items in my drop down by making my chocolate items clickable and I have those options and I might come down to see if there's anything that relates to this school year and now I know that I sent you something on my parents list for this school year I have my bell schedule I can come and make sure that work go to school supply list if I had my supply list for 2023 website for 2024 and 2025 supply lists themselves that change it says my changes are in saved want to go ahead and say that if I want to edit those supply list themselves I'm going to come to my supply list feature pictures of course the teacher is a feature with teacher Lance you're going to follow into teacher list itself and now when you're here you can search your school zip code review all your current list make sure they're ready to go for 2020 for 2025 they're not you can upload them directly here and then once they're uploaded and verified by teacher list you'll be able to pull them on to your site navigation menu as we just saw in our dashboard as well as will be situated in some cages let's go now and see our pages so I might want to search is there anything that is relevant for this school year in my cages what do we have for 2023 in this case action from a 2023 to 2024 school year so I can come here if you want to edit the section name it 2024 or 2025 school year now and rename the section there when I clicked on that first item I'm opening up a page that I have for the school year I can go ahead and edit it maybe I want to change this page 225 for 2020 review patient may be situated a a new my new calendar you're going to be able to embed your PDF from your computer or cloud service here say this is I want to see that uploaded the updated handbook I can come here rename that handbook it's no longer for this year it's for now will you give that PDF and embedded space on my page and I want to pull my supply list for this year I can go and select a few or select all and pull those onto my page I can save a draft and then if I'm not ready to publish it I can also publish right now but let's say I want to get through this school year I want to just leave this as a draft in my section now and when I can come back now during the summer I can just take a moment publish my draft and now I've updated my 2023 page 24 page and I'm ready for summer break we also have a form feature here let's go to farms and talk about what we might want to review on forms of a four-month-old into my page I have lots of fun are there a lot of different things you might want to do for form to clean up for the year maybe we want to go ahead and close our summer camp registration because now we taking it all over hope we've hit here we can come here three dots for more options and I see Tom schedule and close this form on Friday and I can even have open website next year going to go ahead and have this form open April 1st of next year I can go ahead and give more information that we see when they follow that link when they can expect the form to be open give more contacts about our summer camp program a hyperlink to a page better summer camp program save my changes and now set my form to be closed now and reopen next year what's a are spring Sports we can see here status close okay I'm good to go let's say our spring Sports sign up we've already closed spring Sports as well I can come here look at my responses in this case I don't have any responses once I do I would see a little let's go back and find one with responses to be able to save all of those respond is as I want play Chris ponce's I can go ahead and download all of those save them for posterity and then going back to the farm itself once I downloaded it I can delete all those responses and now this is going to be ready for next spring I could do the same thing go to farm options have it open at the end of next February so that folks can sign up for spring Sports and when next every comes around it will be open all responses will be cleared with ready to go with my third grade field trip just go ahead save all those folks that one until trip this year so we have it or record services for the state so on and so forth and have the form itself ready to go next year so those are all different items that you can do to clear your forms any questions please don't hesitate to put them in the human a let's say we took our spring Sports sign up we situated that let's go find that on our table by the Scituate that now on our site navigation menu because we've updated all of our 23 24 24 24 to be public school it's come down and add it new item in the section on the search my section and remember to save my changes there I'm going to see that here under my school year and my spring Sports sign up and I can close that and get that ready for next year updating all those dates as we go update form the form itself is the updated play coming here and I can edit 2024 to Spring 2025 update those days these are all things that you want to go ahead and review so you can update the daily as needed and I already know scrolling down just save my new form now I know I made a news items about Springs to no longer relevant but I'm going to want to reuse that next year let's come over to news I'm going to be able to do a few things with news so let's say it's spring again where they close that I went ahead and I close the form I want I went ahead and save those changes so that closed I can come I no longer want folks signing up for spring Sports it's not relevant so I don't need this on my homepage Carousel I can simply unpublished this news story maybe this is also true for other types of cyclical news stories your sign up for parent volunteer every fall you can go to last fall and unpublished or simply copy it and unpublished copy and when you're ready to publish the New Year spring 2025 rolls around you know that you can come into unpublish news again right here to be able to click three dots edit when next spring comes rolls around I'm simply going to be able to update those items maybe those States again and it's taking me to that same form that I prepared so I can go ahead and save and if I can keep it unpublished and then publish it for next year or let's fast forward in time publish now because now we're ready you're going to have both of those options a few more things and I will get to the Cuban a I see your questions in there and keep them coming you're able again to unpublished news on Public news takes off of the homepage Carousel as well as the news the news you are else would take that off your website completely if I want a copy I want to leave 20 24 2025 school supplies for posterity example but next year I can come and copy this and just switch it 2025 or 2026 anything to save us some time and not having to retype out our work we appreciate you simplify Our Lives as weather Edmond a few final things I'm going to want to take a moment to go through any photo shuffles I have on my homepage and make sure that all those photos are high resolution if you want to rotate any out just to switch up the look of your site and you got new pictures from this year when you come here to upload media I can see my Shuffle Dimensions again make sure those are full resolution that does not necessarily mean making sure that they're 15 MB to that's going to make your home page loads slowly for some of your users that might have a slow internet connection but we definitely want to make those photos super sharp on our home final last thing maybe I want to edit some of the spotlight messages on my homepage I find my Spotlight messages by going to announce and down to Spotlight message and I can stay here my Spotlight message is that senior high life so when senior graduation comes along on my page My Demo my senior highlight is right here we want to leave this we want to honor our seniors graduating and then I want to go ahead and set after graduation welcome back to Miguel drop a new welcome message and switch out that space that's the beauty of Spotlight messages is they gave me to that control to go ahead and switch out an edit what you have on your homepage maybe have one probably message maybe you have multiple we can go ahead and remove this image dragon from one of these destinations I can give it a read more length I'm change of that name of that Reid modeling give between 2 and 8 word description take off that read it more like here I just want to make it simple I deleted the button or I cannot go ahead and put that button on here and change but this text as maybe I wanted to say read more about our new school year I was remembering to save my change now that covers all of the different tips that I wanted to give you one thing that I want to mention is that what I'm doing those page scans and maybe I haven't paid for my new school year and I want to go ahead and for the new school year instead of having this more simple table I want to have something like this you can use tables is more of an advanced option to use those tables in page management were able to use tables media messages photos on and so forth if you have any questions about how to make something like this you can go into those previously recorded webinar so I pointed out we had one last month Pages you can also reach out to UCSF which you do your vision for how you want to make your pages with your homepage or otherwise and they'll always be happy to help again if you want to go ahead and do any updates to your homepage your CS is always super happy to help with that let them know as soon as possible so we can make sure that that's ready for your new school year all right if you don't know do I say aha this is my Spotlight message thanks for the questions publishing supply list can be done a few different places we can come here hamburger menu to supply list and it's going to take us to manage those supply list on teacher this I'm also going to be able to get here from any page adding a page block supply list page blocks say we want to go to our 20-24 2020 quotes I open up that page and I added the supply list right here I can add one so I can go ahead and upload and manage directly from here any icons to update on your home page and you can go ahead and GFS or two you can create a ticket in Texas Port so you can come here to contact support scroll down in Creative ticket you could stay recommend reaching out to CSS so that is correctly put in all the places that you need your updated because in almost all of your school designed this logo up here you're not going to be able to see it in your dashboard that's because it's hard to loaded meeting tech support has to go in and edit it it's not so that is right you're not saying any of that work alright as far as icons for news announcements same thing maybe that you'll talk to your your CSS when I scroll down and find my news done to hear my news the icon depending on your on your design CSS can help you edit creating multiple columns in pages I definitely recommend that you check out some of our Pages webinar or you can on a call your CSS has 30 minute calendly times it can jump in and they can help me troubleshoot and show you different options think through the best ways to prevent information that you need. Just give you a quick preview when we come in two pages and I go ahead let's say I want to add a new I want to add a new page to my new school your section if I open here in opening the section if I open here and opening the pages so I want to go ahead and add a new page at a blank page if I want to change that that lay out my layouts and populate right here and I can move my side column to the left or back to the right and if I want to create a table I can go ahead and use my content box and add a table like coming to my three dots here and adding a table and again I recommend you check out that advanced stages webinar open the PDF of the slides to see how you can go ahead and insert content in some unique and compelling ways into those cells thank you for the question any last questions please feel free to drop them in the Q and A's so if you do have multiple schools maybe your District schools and you don't have multi-site management meaning you come here and you're not able to quickly search through and change the desk for that you're looking in this makes your life as a weapon much easier you can come to the Health Center multisite management and you can see how you can easily add that to your ears yourself and connect those websites organic always always reach out to your CSS yes there is an option to add a video again for anything more in-depth I definitely recommend you look in our other videos or a hop on a call with your CSS but I will show you there's two ways I can add the using a news and alerts looks I have my end-of-year talent show coming up and I want to give you some information here all the content here for let's say my text sign up I can give the hyperlink here how is taking Cokes to H-E-Bs from taking it outside the website two forms within my website whatever that that URL is hope that didn't bite hyperlink was going to give you an easy example for time play I batted I've all the texts I want to add to your and then I want to give some videos there's two different ways that I can ask some videos I can come to Three Dots and I can pull a picture or if I take this little place I can drop off a video here so this is going to allow me to pull a video from YouTube video so on and so forth I can just pull that YouTube link drop it here that's going to automatically record also paste in Bedford into my news content I can also call videos from my gallery so from here media and videos, Selective Video my video gallery I can upload videos each episode 2 MB each that I've seen to as up in 2 hours that I've seen videos that are even longer if you lessen the quality you click the video that you want to upload rated above or below all of the content you put in your contact box if you want to have to go ahead maybe you want to add a video to a previously published news and republish it for this next school year we can go ahead and copy and Happy the music program for off to an amazing year for next year this will stay here and in our copy we can add one of our videos that way is also great time at the end of the year to review which of your videos you have featured but if you do video gallery into one of your sections as a featured page or maybe you have a media gallery on your homepage features that something you can talk to your CSS about at your featured photos videos are going to be the one who said have your star active so I'm going to see this is the video where call that's on the top of my homepage and I can know because it's the first feature video all the other videos that maybe have stars I'm going to have as the featured videos in my video gallery thanks for the question again thank you so much for your time today to ask questions in the chat otherwise you can feel free to review this video in content at the bottom of the section in a in a page or as as a page in a section I believe the fastest way is still Yes using those Domino's to drag to relocate it to the top but again if you have a particular case where you have a lot of content to work through your csska always jumping to your specific dashboard and work through your case should you have a lot of relocation to do see if they might have some tips ways to troubleshoot making your easier there all right folks thank you so much again for taking your time to join us today I hope this was helpful and please reach out to us if do want to redesign your home page summer is a great time to do that but summer those take that times can extend a little bit as it is our busiest time so we have some time before things ramp up in
